Services firms run into the same wall in NetSuite at roughly the same stage. Finance is well served: invoices, revenue and the ledger are solid. Delivery is not. Project managers keep their own plans in spreadsheets, resource requests travel by message, timesheets are approved late, and the first time anyone sees whether a project is profitable is after the invoice has gone out.
NetSuite does have project capability of its own, and the right answer for many firms is to use it as it comes, or to license NetSuite's dedicated professional-services products. This extension is for the firms that have done that and still have gaps specific to how they sell and deliver: their own project templates, their own approval rules, their own billing patterns, a utilisation view the way their practice leads read it.
What ECOSIRE builds
We start by reading how your projects actually run, then build only the missing pieces on your NetSuite account. We confirm up front which project features your edition and licences already include, so we never rebuild something you own.
Project templates that match how you sell
A sales order line for a defined service creates a project from a template: phases, tasks, default roles, planned hours and budget, and the billing schedule. Templates are records you maintain, one per service line, so a new engagement starts structured instead of copied from the last one.
Resource planning and utilisation
A planning view shows who is allocated to what, by week, against capacity from the employee record and approved time off. Project managers request named people or roles; practice leads approve. A utilisation report compares planned, booked and actual hours by person, role and practice, using definitions of billable and utilisation that you set, because those definitions differ between firms and the report is useless if it does not match yours.
Timesheets and approval rules
Timesheet entry and approval rules are built around your routes: project manager approval for billable time, line manager for internal time, escalation when a week is overdue, and a lock after approval. Rules sit in configuration records, so a policy change is an edit, not a release.
Milestone, fixed-fee and time-and-materials billing
Billing schedules are generated from the template and driven by progress: milestones marked complete, percentage complete on fixed-fee work, approved hours at the agreed rates for time and materials. Invoices are created as drafts for finance to review, with the supporting time or milestone evidence attached.
Margin and forecast views
A project dashboard built on saved searches and SuiteAnalytics shows budget against actual cost and hours, billed against earned, and forecast at completion, using the cost rates your finance team has approved. Alerts flag a project that crosses a threshold you define, before it becomes a surprise.
Change control
Scope changes are recorded as change orders linked to the project: what changed, the effect on budget and schedule, who approved it, and the resulting billing change.
Who this is for
NetSuite customers who deliver services: consulting, implementation, engineering, agencies, managed services. It suits firms whose project work has outgrown spreadsheets but whose process is specific enough that an unmodified project module does not fit.
How delivery works
1. Discovery. We review your service lines, project types, roles, billing patterns and the project features your NetSuite licences already include. 2. Written quote. The scope, exclusions, assumptions and delivery date are agreed in writing before the build starts. 3. Build in your sandbox. Templates, rules, views and billing are built and tested with your real service lines and rates. 4. Pilot project. One live project runs through plan, time, billing and close before wider rollout. 5. Rollout and handover. We deploy to production, train project managers, practice leads and finance, and hand over documentation.
What this is not
It is not a replacement for NetSuite's own project products, a delivery methodology or a licence to a pre-built package. The extension is written for your account after discovery and a written quote, which states the scope, the exclusions and the delivery date. Where NetSuite already does the job, the quote says so and leaves that part alone.
