Sports clubs and academies lose money and goodwill in the seams between systems: memberships in a spreadsheet, court bookings on a whiteboard or WhatsApp, coaching batches in a coach's head, and fees chased by hand every month. Odoo out of the box gives you contacts, invoicing and a calendar, but it has no native concept of a "member on an active plan," a "bookable court with opening hours and clash detection," a "coaching batch with a capped roster," or "attendance that rolls up into a player's performance record." Teams end up bolting the Events, Rental and Subscription apps together and still hand-stitching the parts that matter — which is exactly where a purpose-built module earns its keep.
ECOSIRE builds a dedicated Sports Club & Academy Management module for your Odoo. At its core are new ORM models declared in a proper __manifest__.py — a member/player record related to res.partner, a membership-plan model, a facility/court model, a booking model, a coaching-batch model and an attendance model. Each carries real fields, @api.depends computed values (plan expiry date, outstanding balance, batch occupancy, attendance percentage) and @api.constrains guards so a court cannot be double-booked and a batch cannot exceed capacity. Bookings and batch sessions surface in Odoo's Calendar and (on Enterprise) Gantt views; on Community we ship a Calendar plus list/kanban fallback so scheduling stays workable without Enterprise-only widgets.
Billing is wired into Odoo's real accounting stack rather than reinvented. Membership plans and coaching packages map to product.product records, and a scheduled automated action (ir.cron) generates the recurring account.move invoices for active plans on their billing cycle, flags overdue members, and can trigger reminder emails through Odoo's mail templates. Front-desk attendance capture (barcode/QR check-in or a one-tap OWL kanban) writes attendance lines that feed both the player's performance history and the coach's session roster. QWeb reports produce membership cards, batch attendance sheets, fee receipts and coach payout summaries as branded PDFs, and every model is exposed over Odoo's XML-RPC / JSON-RPC API so a club website, mobile app or turnstile can register members and read booking availability.
Access is locked down with ir.model.access.csv plus record rules — front-desk staff see today's bookings and can check members in, coaches see only their own batches and rosters, and finance sees fees and payouts — so the receptionist never lands in your general ledger. The build targets Odoo 17.0, 18.0 or 19.0 (Community or Enterprise; we tell you up front which capabilities need Enterprise) and follows core conventions so it survives future upgrades.
Because this is build-to-order, nothing is pre-listed for instant download. We start with a short scoping call, confirm the exact plans, facilities, batch rules and fee logic your club runs on, and return a fixed-scope proposal. On sign-off we build against your Odoo version on a staging instance, run UAT with your team, then install to production. Typical delivery is 2–4 weeks from confirmed scope depending on complexity, and you receive the full installable source and a git repository so you are never locked in.
Runs day-to-day memberships, bookings and coaching schedules and is tired of reconciling spreadsheets, whiteboards and chat threads. Needs one system where a member's plan, dues, court time and attendance all live together.
Wants predictable recurring revenue, automatic invoicing and clear reporting on outstanding fees and coach payouts — inside Odoo accounting, not a bolted-on tool, with role-scoped access so staff never see the ledger.
Manages batches, rosters and player progress. Needs capped enrolment, quick attendance capture and attendance/performance rollups per player and per season without touching billing.
Operates several courts, fields or branches and needs per-facility calendars, clash-free booking, per-branch pricing and one consolidated view across locations.
| Criterion | ECOSIRE | Custom Build | Competitor | Odoo Native |
|---|---|---|---|---|
| Fit to sports-club workflows | Purpose-built for memberships, bookings, batches and fees | Whatever you specify and can maintain in-house | Generic; rarely models courts + batches + fees together | No club concepts — only contacts, invoicing, calendar |
| Court/field clash detection | Enforced via `@api.constrains` and opening hours | Only if you build and test it yourself | Often absent or partial | None — calendar allows overlapping events |
| Recurring fee billing | `ir.cron` generates `account.move` invoices per cycle | DIY cron and invoicing logic | Sometimes via a separate subscription add-on | Manual invoicing only |
| Attendance & performance | Check-in feeds rosters and player rollups | Built to your spec, at your cost | Rarely tied to billing or plans | Not available |
| Role-scoped access | Record rules for front-desk, coach, finance, manager | You design the access matrix | Basic groups, often coarse | Generic Odoo groups only |
| Ownership & lock-in | Full source + git repo handover | You own it but carry all build risk | Vendor-controlled, closed updates | N/A — no module |
| Delivery & support | 2–4 weeks build + UAT + support window | Depends on your team's capacity | Instant install, limited bespoke support | Immediate but does nothing club-specific |
| Odoo version coverage | Built for 17.0/18.0/19.0, upgrade-aware | Whatever you target and maintain | May lag new Odoo releases | Ships with your Odoo version |
No. This is a build-to-order module. ECOSIRE builds it for your specific Odoo version and your club's plans, facilities, batch rules and fee logic, then installs and supports it. There is no instant download — you start with a scoping call and receive a fixed-scope proposal first.
Typical delivery is 2–4 weeks from confirmed scope, depending on complexity (number of facilities, billing rules, integrations and reports). After the scoping call we send a fixed-scope proposal with a firm timeline; the clock starts once you sign off.
We build for Odoo 17.0, 18.0 or 19.0, on Community or Enterprise. Some scheduling features (Gantt) are Enterprise-only — on Community we ship a Calendar plus list/kanban fallback. We confirm which capabilities need Enterprise before you commit.
Every build includes a post-go-live support window for defect fixes and configuration tweaks, plus the full git repository so you own the code. Beyond the window, we offer ongoing support and version-upgrade retainers (for example, migrating the module when you move to a newer Odoo release).
Yes. Membership plans and packages map to Odoo products, and a scheduled `ir.cron` action generates standard `account.move` invoices on each plan's billing cycle. Nothing about the accounting is reinvented — it flows through Odoo's native invoicing, payments and reporting.
Yes. Every model is exposed over Odoo's XML-RPC / JSON-RPC API, so a website, mobile app or turnstile can read live availability, create bookings and register members. Website/app front-end build can be scoped as part of the project or handled by your team against the API.
Data migration from spreadsheets or an existing system can be included in scope. We map your current members, plans, balances and schedules to the new models and verify the import during UAT on staging before go-live.
