About this Product
Dental and orthodontic clinics run on clinical detail that generic ERP screens simply don't capture. A front-desk team juggling chair availability across operatories, a dentist who needs to record a distal-occlusal amalgam on tooth 36 in FDI notation, and a billing clerk who has to split a crown-and-buildup into insurance-covered and patient-pay portions are all working against ERPNext's stock Healthcare module. ERPNext core gives you Patient, Patient Appointment, Clinical Procedure, and Healthcare Practitioner DocTypes, but it has no concept of a tooth, no odontogram, no recall cadence, and no dental-specific fee schedule. Teams end up tracking tooth-level history in spreadsheets or free-text notes, which breaks reporting, insurance claims, and continuity of care.
ECOSIRE builds a dedicated Frappe app (for example dental_clinic) that extends ERPNext Healthcare rather than fighting it. The centerpiece is an interactive odontogram rendered by a Client Script / custom Frappe page: a clickable adult and pediatric dental chart (FDI, Universal, or Palmer notation, configurable per clinic) where each surface (mesial, distal, occlusal, buccal, lingual) is addressable. Charting a finding or completed procedure writes structured child-table rows against a Dental Chart Entry DocType linked to the patient, so tooth-level history is queryable, not buried in prose. Treatment plans are modeled as a parent Dental Treatment Plan DocType with procedure lines drawn from a Dental Procedure catalog (ADA/CDT-style codes, default fee, estimated chair time, default insurance coverage). A hooks.py doc event on plan acceptance can auto-generate the ERPNext Sales Order / Sales Invoice lines and the scheduling backlog.
Scheduling is handled as an extension of Patient Appointment with an operatory/chair dimension and the practitioner's working hours, so the front desk books against a real resource, not just a clinician. Imaging and consent forms attach through the standard Frappe File / attachments framework against the patient and the specific tooth entry, so an X-ray sits next to the finding it documents. Billing uses ERPNext's native Sales Invoice and pricing engine, but we add a per-procedure insurance-estimate layer: a whitelisted server method (@frappe.whitelist()) computes the estimated insurance portion versus patient responsibility from the procedure's coverage rule and the patient's plan, exposed to the chart UI and to the invoice. Everything respects Frappe's permission model — role profiles for Dentist, Hygienist, Front Desk, and Billing scope who can chart, who can schedule, and who can post invoices — and a scheduler event drives recall: patients due for a six-month cleaning are flagged and can trigger a reminder Notification or email.
Because this is build-to-order, nothing is a shrink-wrapped download. We start with a short scoping call, confirm your notation standard, procedure catalog, insurance rules, and role structure, then build against your ERPNext version (v15 or v16). You get the app validated on a staging bench, a UAT pass, and then installation on your instance with the git repository handed over. Typical delivery is one working week from confirmed scope, and you own the source.
What you get
- Installable source code of your version of the app (a proper Frappe app, e.g. `dental_clinic`)
- Installation and configuration on your ERPNext v15 or v16 instance, including role profiles and Dental Settings
- Technical documentation: DocType schema, hooks, whitelisted methods, and scheduler events
- User guide plus a live training session for dentists, front desk, and billing staff
- Post-go-live support window for defect fixes and configuration questions
- UAT on a staging bench with a documented rollback plan before production install
- Git repository handover so you own and can extend the source
- Seed data: a starter dental procedure catalog with codes and default fees you confirm during scoping
Who this is for
Solo and group dental practice owner
Runs one or several operatories on ERPNext and needs tooth-level clinical records, treatment plans, and dental invoicing without leaving the ERP or paying per-seat SaaS fees.
Orthodontic practice manager
Needs specialty charting, phased multi-visit treatment plans, and recall scheduling that generic Patient Appointment screens can't model, plus clean per-procedure billing.
Dental clinic front-desk and billing lead
Books against real chairs, manages the recall pipeline, and needs per-procedure insurance estimates split into covered and patient-pay portions before invoicing.
Healthcare-group IT / ERPNext administrator
Maintains the ERPNext instance and wants a well-structured Frappe app with clean DocTypes, permissions, and REST endpoints they can own, audit, and extend in-house.
How Dental Clinic Management for ERPNext Compares
| Criterion | ECOSIRE | Custom Build | Competitor | ERPNext Native |
|---|---|---|---|---|
| Tooth charting / odontogram | Interactive per-surface odontogram, structured entries | Possible but you design and build it from scratch | Often a static image or limited chart | None — no concept of a tooth |
| Treatment plans | Phased plan DocType with procedure catalog and billing hooks | Depends entirely on your build effort | Basic plans, rarely dental-specific | Generic Clinical Procedure only |
| Chair / operatory scheduling | Appointment extended with chair resource + conflict checks | Build the resource dimension yourself | Practitioner scheduling, chair often absent | Practitioner appointments, no chair dimension |
| Per-procedure insurance estimate | Whitelisted method splits covered vs patient-pay | Bespoke logic you specify and maintain | Varies; often generic, not dental | None |
| ERPNext-native billing | Uses core Sales Invoice + pricing engine | Should reuse core if built well | May bolt on a separate ledger | Native but with no dental context |
| Recall scheduling | Scheduler event flags due patients + reminders | You implement the scheduler logic | Sometimes included | Not available |
| Source code ownership | Full git repo handover, you own it | You own it, but you build and debug it | Usually closed or license-locked | ERPNext core, not dental-specific |
| Time to value | one working week from confirmed scope, installed + supported | Months of internal build and QA | Fast install but weak dental fit | Immediate but missing dental workflows |
Frequently Asked Questions about Dental Clinic Management
Is this a ready-made app I can download and install today?
No. This is build-to-order. ECOSIRE builds the app against your confirmed scope, notation standard, procedure catalog, and ERPNext version, then installs and supports it. There is no instant Marketplace download.
How long does delivery take?
Typical delivery is one working week from confirmed scope. The clock starts once we finish the scoping call and agree on your tooth notation, procedure catalog, insurance rules, roles, and target ERPNext version. Larger orthodontic workflows can extend the timeline, which we confirm before starting.
Which ERPNext and Frappe versions are supported?
We build for Frappe/ERPNext v15 and v16, on top of the ERPNext Healthcare domain (Patient, Patient Appointment, Clinical Procedure). Tell us your exact version and we target it; if you're on an older release we'll advise on upgrade or backport during scoping.
How do updates and support work after go-live?
You get a post-go-live support window for defect fixes and configuration questions. Because we hand over the git repository and you own the source, your team can extend it directly, or you can engage ECOSIRE for enhancements and version migrations under a separate support agreement.
Will it work with our existing ERPNext data and invoicing?
Yes. The app extends ERPNext natively — patients, appointments, and billing use core ERPNext DocTypes and the standard Sales Invoice and pricing engine, so accounting, taxes, and reporting stay in one system. Charting and treatment-plan data link to your existing Patient records.
Do you support our tooth-numbering system and insurance rules?
The chart supports FDI, Universal, and Palmer notation, chosen in Dental Settings. Insurance estimates are driven by per-procedure coverage rules we configure with you during scoping, so estimates reflect your clinic's fee schedule and plans rather than hardcoded assumptions.
Can it feed a patient portal or other systems?
Yes. Chart, treatment-plan, and estimate data are exposed through whitelisted methods on the Frappe REST API, so you can drive a patient portal, imaging integration, or third-party tools using standard token-authenticated calls.
