A law firm's unit of work is the matter, not the deal. A matter has a client, an opposing party, a court or forum, a case number, a responsible partner, a team of fee earners, a fee arrangement, a stream of hearings and deadlines, a document set, a running time ledger and a billing history. It stays open for months or years, and its financial position is the difference between recorded time, billed time and collected cash.
Generic CRM pipelines flatten all of that into a stage and an amount. Vertical practice-management software solves it, but arrives with its own database, its own login, its own billing and no relationship with the accounting system the firm already runs. That is why firms already on Zoho so often decide to build the matter layer on Creator instead of buying a second platform: the client, the invoice, the ledger and the tax configuration already exist in Zoho Books, and Creator can model the matter properly on top of them.
This is a build-to-order application. There is no pre-built product to download or trial. After scoping, ECOSIRE builds it against your firm's practice areas, fee arrangements, court structure and Zoho Books organization.
A Matter form is the spine of the application: matter code, client, practice area, matter type, opposing party, court or tribunal, case/file number, jurisdiction, responsible partner, assigned fee earners, open date, status and expected closure. Matter codes are generated by a Deluge function following your firm's own numbering convention rather than a generic auto-number, so the code on the file cover matches the code in the system.
Related lists hang off the matter: Hearing, Time_Entry, Disbursement, Matter_Document, Task_Deadline, Party and Note. Every one of them is a record, so every one of them is reportable, searchable and permission-controlled.
A Hearing record holds date, time, court, bench or judge, appearance type, attending fee earner, outcome and next date. When a hearing is marked heard with a next date, a Deluge function creates the follow-on hearing automatically so the diary never depends on someone remembering.
Task_Deadline records carry limitation dates, filing deadlines and internal review dates, with configurable lead-time reminders. Reminders are delivered by scheduled Deluge workflows and, where you want them in a channel outside Creator, through Zoho Flow into Cliq, email or your calendar. Creator calendar reports give each fee earner a personal diary and the firm a consolidated court diary by day, week and court.
A Time_Entry form captures date, fee earner, matter, activity code, narrative, duration and billability. Entry is deliberately fast: duration accepted in minutes, in decimal hours or from a start/stop timer field, with the rate resolved by a Deluge function against the applicable rate rule — fee earner rate, client-specific rate, matter-specific rate or the firm default, in the precedence you define.
Work in progress is computed per matter and per fee earner from unbilled entries, so a partner can see what is sitting unbilled before month end rather than after it. Disbursement records track court fees, filing fees, expert fees, travel and other outlays with a recoverable flag and a link to the eventual invoice line.
Billing is where most home-grown legal systems stop and re-keying starts. Here, a Deluge custom function assembles a draft bill from the selected unbilled time entries and recoverable disbursements on a matter and creates the Invoice against the correct Customer in your Zoho Books organization through the Books API, applying your tax treatment — VAT, GST or the exemption handling your practice requires. The Books invoice id and number are written back onto the matter and onto every time entry consumed, which is what stops the same hour being billed twice.
Fee arrangements are modelled explicitly rather than assumed: hourly, fixed fee, staged/milestone, retainer drawdown and capped fee. A capped matter warns when recorded value approaches the cap. A retainer matter tracks the balance held and drawn.
Where your jurisdiction requires client money to be held and reported separately, the application tracks Client_Account_Transaction records per matter — receipts, transfers to office account against a specific bill, and refunds — with a running per-matter balance and a rule that blocks a transfer exceeding the balance held. This is a record-keeping and control layer that reconciles to the dedicated client account you already hold in Zoho Books; the statutory ledger and reconciliation requirements of your jurisdiction are confirmed during scoping and configured to match, and your compliance officer signs off the reports before go-live.
Matter_Document records hold file upload fields with document type, version, author and date, and can be linked to Zoho WorkDrive folders created per matter through Zoho Flow so drafting continues where your team already drafts. Creator permission profiles and criteria-based sharing rules restrict matters to the responsible partner and assigned team, which is how you implement ethical walls between teams acting on opposing sides — the rules are defined with you during scoping and tested before go-live.
Enquiries and prospective clients stay in Zoho CRM as Leads and Deals. On instruction, a Flow or an API call converts the record into a Matter, carrying the client and contact across so nobody retypes it. Conflict-check searching runs across existing matters and parties before a matter is opened.
Litigation and disputes practices, corporate and commercial firms, property and conveyancing practices, in-house legal teams tracking matters and external counsel spend, and multi-office firms that need one matter register with per-office reporting. It suits firms already running or moving to Zoho who want the matter layer to sit beside their accounting rather than in a separate silo.
