Gym and Membership Management Application — A build-to-order Zoho Creator application for gyms and fitness studios — memberships, freezes, class booking, trainer schedules and recurring dues tied into Zoho Books

What we build

  • Membership plan definitions in Zoho Creator with duration, billing cycle, joining fee, minimum term, notice period and facility or class-type entitlements
  • Member contract records with full lifecycle history for upgrades, downgrades, transfers, cancellations and renewals, each writing an audit entry
  • Freeze management with start and end dates, approval, automatic contract end-date extension and suspension of the billing schedule for frozen periods
  • Per-plan freeze policy enforcement — maximum frozen days, maximum freeze count and minimum notice — applied by the application rather than by staff memory
  • Class scheduling against studio, slot, trainer and capacity, with waitlist promotion, cancellation windows and no-show marking
  • Trainer roster and availability management preventing double-booking across group classes and personal training sessions
  • Class packs and personal training blocks with expiry dates, per-session decrement and remaining-balance visibility for trainers and front desk
  • Recurring dues generation posting to Zoho Books via the Books REST API as Recurring Invoices or per-period Invoices, with proration for mid-term changes
  • Payment write-back from Zoho Books onto the member record so dues status is current at the front desk without opening Books
  • Tax applied through your Zoho Books organisation tax settings including GST and VAT configurations, never hard-coded
  • Member check-in capture with attendance linked to the member and, where applicable, to the class booking
  • Scheduled Deluge functions for renewal reminders, overdue dues notices, pack-expiry warnings and class reminders by email, plus Creator dashboards for active members, churn, fill rates and outstanding dues

About this Product

Why gym operators outgrow generic tools

A fitness business is not a simple subscription business. Members freeze for a month while they travel, and the end date has to move. They upgrade mid-term and expect a prorated difference, not a fresh contract. They buy a ten-class pack that expires in ninety days and want to know how many they have left. Personal training sessions are sold in blocks and consumed one at a time by a specific trainer whose commission depends on it. Classes have capacity limits, waitlists and no-show policies.

Most operators end up running this across three or four disconnected systems: a booking tool, a spreadsheet of freeze dates, a payment gateway that does not know what a freeze is, and an accountant who reconstructs revenue at month end. Members get billed during a freeze. Class capacity gets exceeded because two staff booked from different screens. Trainer payouts are calculated by hand.

What ECOSIRE builds

ECOSIRE builds a Zoho Creator application for your gym, chain or studio, with the membership rules your business actually runs, wired into Zoho Books for invoicing and revenue. Nothing here is a pre-built product you install yourself — we scope your plans and policies, quote a fixed price, and build it into your Zoho org.

Membership plans and contracts

Plan definitions carry duration, price, billing cycle, joining fee, minimum term, notice period and what facilities or class types the plan admits. A member record links to a contract with a start date, an end date, a status, and a full history of every change applied to it. Upgrades, downgrades, transfers and cancellations are actions on that contract, each writing an audit entry, so you can always answer why a member's end date is what it is.

Freezes that actually work

A freeze is a first-class object with a start date, an end date, a reason and an approval. The application extends the contract end date by the frozen days, suspends the recurring billing schedule for the frozen period, and blocks class booking during it if your policy says it should. Freeze allowances per plan — maximum days per year, maximum number of freezes, minimum notice — are enforced by the application rather than remembered by whoever is on the desk.

Class booking and trainer schedules

Classes are scheduled against a studio, a time slot and a trainer, with a capacity. Members book from a member-facing Creator portal page or the front desk books on their behalf. Capacity, waitlist promotion, cancellation windows and no-show marking are handled by the application. Trainer rosters show availability and prevent double-booking across group classes and personal training. Personal training packs decrement on session completion, and the remaining balance is visible to both the trainer and the front desk.

Recurring dues into Zoho Books

Billing schedules generate dues from the contract, and a scheduled Deluge function raises the corresponding transaction in your Zoho Books organisation through the Books REST API — as a Recurring Invoice where the cycle is stable, or as an Invoice per period where proration, freezes and mid-term changes make each period different. Payments recorded against those invoices flow back onto the member record, so the front desk sees an accurate dues status without opening Books. Tax treatment uses your Books tax settings, including GST or VAT configuration where your organisation is set up for it, rather than hard-coded rates.

Day-to-day operations

Check-in captures attendance against the member and, where relevant, against a class booking. Dashboards built as Creator report pages and charts show active members, joins and cancellations in the period, freeze counts, class fill rates and dues outstanding. Automated reminders — renewal approaching, dues overdue, pack nearly exhausted, class starting — run on Zoho Creator schedules with email and, where your setup supports it, SMS. Leads captured from the website or walk-ins can be pushed into Zoho CRM through the Zoho Creator to CRM integration so your sales follow-up lives where your sales team already works.

Who this is for

Single-site gyms, multi-site chains, boutique studios, martial arts academies, swim schools and anywhere memberships, class capacity and trainer time have to be managed together and land in accounts. It suits operators already committed to Zoho — particularly those running Zoho Books — who want one system rather than a booking tool bolted to a spreadsheet.

It suits you less well if you have no membership contracts and simply sell drop-in classes for cash; that is a much smaller build and we will scope it as one rather than sell you this.

How delivery works

Scoping call. We walk through your plans, your freeze and cancellation policies, your class types and capacities, your trainer commission basis and your Books setup. Policies are where gym builds succeed or fail, so this session is detailed.

Fixed quote. You get a written scope listing the plan types, the membership lifecycle actions, the booking rules, the Books integration behaviour and the reports, at a fixed price. Work starts only when you approve it.

Build. Developed as a Zoho Creator application with Deluge scripting, using your real plan structures and representative member data.

Install in test. Installed into a test Creator environment and a test Books organisation. You run the scenarios that matter — freeze a member and check the end date and the next invoice, oversubscribe a class and check the waitlist, upgrade a plan mid-term and check the proration — and we adjust before anything touches live accounts.

Production go-live. Installed into your production Creator environment and connected to your live Books organisation. Existing member data is migrated as an agreed, verified pass with reconciliation counts, not a blind import.

Support. A post-go-live support window covers defect fixes and rule adjustments, with documentation and staff training handed over.

Typical lead time from approved quote to production is one working week, depending on plan complexity, number of sites and whether member data migration is in scope.

How delivery works

  1. 1

    Scoping call

A short call to confirm the workflow, your platform version and where the integration boundaries sit.

  2. 2

    Fixed quote

You receive a written scope and a fixed price. Nothing is built until you approve it.

  3. 3

    Build and test

We develop against a copy of your configuration and test it there. Typically two to four weeks.

  4. 4

    Install and support

We install on your instance, hand over the source, and include two weeks of go-live support. Defects in the code we deliver are fixed free of charge.

What you get

  • Zoho Creator application containing your membership, booking, trainer and billing modules with Deluge scripts installed in your Creator environment
  • Zoho Books connection and API configuration, with invoice, item and tax mapping for your organisation documented
  • Member-facing Creator portal pages for booking, pack balances and contract status, where in scope
  • Test-environment installation with a supervised trial run against a test Books organisation before any live billing
  • Verified member data migration pass with reconciliation counts, where existing data is in scope
  • Administrator and front-desk documentation covering plans, freeze policy, booking rules, billing and the reporting pages
  • Staff training session plus a post-go-live support window for defect fixes and policy rule adjustments

Who this is for

Gym Owner or General Manager

Cannot get a straight answer on how many members are active, frozen or overdue without three exports and a spreadsheet. One application holding contracts, freezes and dues gives a single, current answer and shows churn and class fill rates in the same place.

Front Desk and Membership Coordinator

Spends the day applying freezes, chasing dues and re-explaining why a member was billed during a holiday. Freeze rules, billing suspension and end-date extension are applied automatically, so the desk records the request instead of manually correcting the consequences.

Studio Manager or Head Trainer

Juggles class capacity, waitlists and trainer availability across a paper roster and a group chat. Trainer schedules, capacity limits, waitlist promotion and personal-training pack balances live in one place, and double-bookings are blocked before they happen.

Frequently asked questions

How long before we can use it — is this an instant download?
No. Every application is built to order for the operator who commissions it; nothing is pre-built or downloadable. After a scoping call we issue a fixed quote, and once approved, typical delivery to production is one working week. Multi-site operations, unusual freeze or proration policies, and migrating existing member data extend that, and we tell you which applies before you commit.
Which Zoho editions and versions are required?
You need a Zoho Creator plan that supports custom applications, Deluge scripting, scheduled functions and the user or portal counts your business needs. For the accounting side you need Zoho Books with REST API v3 access enabled. Zoho CRM is optional and only required if you want lead capture and sales follow-up integrated. We confirm your exact editions during scoping and will say directly if your current plan cannot carry the scope.
How are freezes handled against billing so members are not charged while frozen?
A freeze suspends the billing schedule for its duration and extends the contract end date by the frozen days. Where your billing cycle means a period is partly frozen, the application prorates that period rather than skipping or charging it in full. The exact proration rule is agreed with you during scoping and written into the scope document, because operators differ on this and it must match your member terms.
Can members book classes themselves, or is it front-desk only?
Both are supported. Member-facing booking runs through Zoho Creator portal pages with capacity, waitlist and cancellation-window rules applied identically to front-desk bookings, so the two cannot contradict each other. Whether you enable member self-service, and which classes it covers, is a scoping decision. Native mobile applications on the app stores are not part of this build.
What happens to our existing member data?
If migration is in scope, we take your existing member, contract and balance data, map it to the new structure and run a verified migration pass with reconciliation counts you check before go-live. We do not run blind imports against a live billing system. If your existing data is in a state that cannot be reliably mapped, we tell you at scoping rather than discovering it at go-live.
Does it handle multiple locations under one business?
Yes, where that is scoped. Sites, studios, trainers and class schedules are modelled per location, and reporting can be viewed per site or consolidated. If your locations bill through separate Zoho Books organisations, routing to the correct organisation is part of the build. Multi-site adds to the scope and to the lead time, so it is priced explicitly in the quote.
