If you sell into grocery, pharmacy, hardware or any large retail channel, your gross price is a fiction. What matters is net after volume rebates, growth incentives, listing fees, promotional allowances and off-invoice discounts — and after the deductions your customers take from remittances whether or not you agreed to them.
Most suppliers manage this in spreadsheets that live on one person's laptop. The rebate accrual booked each month is an estimate nobody can trace back to a line of source data. Deductions arrive against a remittance, get posted to a suspense account because there is no time to validate them, and sit there until year end when someone writes them off. Promotion profitability is calculated after the fact, if at all, and always too late to change the next promotion.
Standard F&O rebate management covers straightforward volume and value rebates and posts accruals. It does not cover tiered and retroactive structures with multiple bases, growth-over-prior-period agreements, promotion planning with funds and budgets, or a deduction lifecycle that matches a customer's short payment back to a specific promotion and either validates it or raises a chargeback.
We build a rebate and trade promotion layer as X++ extensions in your F&O environment, no overlayering, deployed through your own LCS pipeline. It sits on top of and alongside standard rebate management rather than replacing the parts of it that already work for you.
Agreements are modelled with the structures your commercial team actually signs: tiered rates with retroactive or incremental application, growth agreements measured against a prior period, multi-item and hierarchy-based scope, mixed bases (invoiced quantity, invoiced value, net after other rebates), caps and floors, and effective-dating so a mid-term renegotiation does not require destroying history. Agreements are scoped to customers, customer hierarchies, item groups or product hierarchies, and can span multiple legal entities where a single trading partner buys from several of your companies.
Qualifying transactions are evaluated against every applicable agreement as sales invoices post, and accruals are generated with a full audit trail from the accrual amount back to the specific invoice lines and the agreement clause that produced it. Posting uses your existing ledger posting setup and honours financial dimensions, so accruals land against the right cost centre, brand or channel dimension rather than a single lump account. Period-end revaluation adjusts accruals when actual volumes move a customer into a different tier, and the adjustment is posted and explained rather than silently overwritten.
Promotions are planned with a defined period, mechanic, participating items and expected volume, funded from budgets you control. Planned spend, committed spend and actual settlement are tracked against each fund so a promotion cannot quietly overspend without it being visible. Approval routes through the standard F&O workflow system, so a promotion above a threshold requires the approvals your finance policy demands, with the workflow history retained.
When a customer short-pays, the deduction is captured as a working record with its own lifecycle rather than dropped into suspense. It is matched against open promotions, rebate accruals and agreement clauses, then routed for validation. Valid deductions settle against the corresponding accrual. Invalid ones become chargebacks with supporting documentation. The whole queue is visible with ageing, owner and status, so deductions are worked while the evidence still exists.
Settlement produces credit notes or payments against your customers with a clear statement of what is being settled and against which agreement period. Profitability views compare planned versus actual promotional spend against uplift in invoiced volume for the promoted items, using ledger dimensions so the analysis reconciles to the general ledger rather than sitting beside it. Heavy calculation and revaluation run under the F&O batch framework in their own batch group, so a large rebate recalculation does not compete with financial period close.
Consumer goods manufacturers and distributors selling through retail, wholesale or pharmacy channels on Dynamics 365 Finance & Operations, where trade spend is a material percentage of revenue and the current process is spreadsheet-driven.
