The reporting request you cannot answer yet
A large buyer sends a supplier sustainability questionnaire. A Gulf government tender includes an environmental and social section. A bank asks for emissions figures as part of a facility review. Each one wants numbers you have never been asked for: fuel consumption converted to tonnes of CO2 equivalent, electricity by site, water withdrawal, waste diverted from landfill, workforce composition, training hours, incident rates.
The underlying data mostly exists. Fuel is on vendor bills in Zoho Books. Electricity invoices are there too. Headcount and training sit in Zoho People. Waste collection is a purchase order. But nothing converts an invoice line into an emissions figure, nothing holds the emission factor you applied or the version of it, and nothing keeps the evidence attached for the moment someone asks how you arrived at the number.
So the first submission is assembled by hand in a spreadsheet, under deadline. The second one, three months later, is assembled by hand again — and the two do not agree, because a different person made different assumptions.
This is a build-to-order application. Nothing is pre-built or downloadable. ECOSIRE scopes it against the framework you report under and the Zoho applications you already run, then builds and installs it in your own Zoho org.
What ECOSIRE builds
An ESG data model in Zoho Creator
The foundation is a proper model rather than a spreadsheet: reporting entities and sites with their boundaries, reporting periods, metric definitions with units and calculation rules, and the activity data itself. Every metric states its scope, its unit, its owner and its evidence requirement, so the definition survives the person who set it up.
Emission factors are held as versioned records with source, publication, valid-from and valid-to dates. When a factor set is updated, historic periods keep the factor they were calculated with, and a restated figure is visibly a restatement rather than a silent overwrite.
Activity data pulled from where it already lives
Deluge functions read from the Zoho Books API to pick up utility, fuel, freight and waste-service spend against the vendors and expense accounts you nominate, and turn each into an activity record awaiting a quantity. Where the invoice carries litres or kWh, it is captured directly; where it carries only value, the record prompts for the physical quantity so you are never converting money into emissions.
Zoho People supplies workforce metrics — headcount, composition, turnover, training hours, leave — for the social side. Zoho Inventory can supply production or shipment volumes used as intensity denominators. Meter readings, fuel logs and site-level entries that have no system of record are captured directly in Creator, on mobile at the site, with the utility bill or meter photograph attached.
Calculation with the working shown
A Deluge calculation engine converts activity data to reported metrics: consumption multiplied by the applicable factor, unit conversions handled explicitly, results stored per site and per period. Scope 1 (direct fuel and refrigerants), Scope 2 (purchased electricity, with location-based and market-based variants where you need both) and the Scope 3 categories you actually report are kept as separate structures rather than one lump.
Every calculated figure retains its inputs: which activity records, which factor version, which conversion. That is the difference between a number you can defend in a supplier audit and a number you cannot.
Intensity metrics — emissions per unit produced, per square metre, per full-time employee, per unit of revenue from Zoho Books — are derived from the same denominators every period.
Data quality, approval and evidence
A collection cycle tracks which site owes which metric for which period, with reminders driven by Zoho Flow. Submitted values run through validation: missing periods, gaps against the prior period, out-of-range readings and unit mismatches are flagged for review before anything reaches a report. Each figure carries a data quality rating (metered, invoiced, estimated) so the report can state its own confidence honestly.
Submissions are approved by a site owner then by the ESG lead, with the evidence file attached to the record. Once a period is locked, changes create a restatement with a reason rather than editing history.
Dashboards and disclosure output
Zoho Analytics dashboards are built over the ESG tables: emissions by scope and by site, trend against baseline year, energy and water consumption, waste by disposal route, workforce and safety metrics, and progress against any reduction target you have set. Filters follow entity, site and period.
A disclosure export assembles the metric set into the structure your framework or your customer's questionnaire asks for, with the calculation basis and factor sources included so the recipient can see the methodology. Where you respond to the same buyer questionnaire repeatedly, the mapping is configured once and reused.
Who this is for
Suppliers to large corporates who are being pushed for emissions data down the value chain; contractors and service companies bidding into Gulf government and semi-government tenders with sustainability sections; manufacturers and logistics operators with multi-site energy and fuel consumption; and groups beginning voluntary reporting who want a defensible baseline before it becomes mandatory. It assumes you already run Zoho — the point is to build the ESG layer on the ledger and HR data you have, not to start a separate system.
How delivery works
1. Scoping call. We establish which framework or questionnaire you are reporting to, your organisational and operational boundaries, the sites and entities in scope, which scopes and categories you will report in year one, the emission factor source you will use, and which Zoho applications hold the source data. 2. Fixed quote. A written scope and a fixed price. The metric list is part of the scope, so both sides know exactly what is being built. 3. Build. ECOSIRE develops the Creator application, the Deluge calculation engine and factor library, the Zoho Books and Zoho People integrations, the validation and approval workflows, and the Zoho Analytics dashboards. 4. Install in test. Deployed to a sandbox and loaded with one real historic period of your data. You reconcile the calculated figures against whatever you produced by hand, and we resolve any difference before going further. 5. Production. Installed in production, baseline year loaded, sites and metric owners configured, collection cycle scheduled. 6. Support. Handover documentation covering methodology and calculation basis, training for site data owners and the ESG lead, and a post go-live support window for defect fixes and configuration adjustments.
Lead time is typically two to four weeks from an accepted quote, depending on the number of sites, the breadth of the metric set and how much historic data is loaded for the baseline.
One honest limitation worth stating up front: ECOSIRE builds the collection, calculation and reporting system. It does not audit or assure your figures, and it does not certify your organisation against any standard — that is the role of an accredited assurance provider, and a well-structured record set is exactly what makes their job cheaper.
