Subscription Billing & Revenue Recognition Suite — A NetSuite subscription billing and ASC 606 revenue recognition suite built to order for your account — usage rating, mid-term amendments and multi-element allocation, scoped and quoted before we build

What we build

  • Custom records for subscription contract, contract line, rate plan and rate plan tier, related to standard Customer, Subscription and Item records
  • SuiteScript 2.1 RESTlet endpoint for real-time usage event ingestion, with token-based authentication and idempotency keys to reject duplicate submissions
  • Map/Reduce usage rating script that groups raw usage by contract line and applies flat, per-unit, tiered, volume or committed-minimum-plus-overage pricing
  • Amendment records for upgrade, downgrade, quantity change, plan swap, term extension, pause and cancellation, with effective dating and preserved prior state
  • User Event script on amendment approval that writes delta lines and recalculates proration on actual-days, 30/360 or full-period conventions
  • Scheduled billing run script that creates Invoices or Sales Orders from due contract lines, grouped by billing cycle and by subsidiary for OneWorld accounts
  • Billing-run preview record with approval gate so a controller inspects proposed invoices before any transaction is created
  • Performance obligation records carrying standalone selling price, with allocation of transaction price across multi-element arrangements
  • Revenue schedule generation per obligation supporting ratable, point-in-time, percentage-of-completion and usage-as-consumed recognition
  • Map/Reduce recognition script posting period journal entries to your revenue, contract asset and contract liability accounts
  • Custom segment for revenue stream applied to schedules and journals so deferred revenue and waterfall reports slice by product line
  • Saved searches and datasets for deferred revenue rollforward, revenue waterfall, MRR/ARR movement, unbilled usage and allocation audit trail
  • SuiteFlow approval workflows for amendments and billing runs, with role and permission changes so preparation and approval are separated

Sobre este producto

The problem you are actually facing

NetSuite handles a clean, flat, annual subscription well. The trouble starts the moment your commercial model stops being clean. A customer wants to upgrade from 50 seats to 90 seats on the 14th of the month and expects a prorated invoice on the next cycle, not a credit memo and a re-issued contract. A usage-based plan needs to rate 4.2 million API calls against a tiered price book with a committed minimum and an overage rate. A bundle sells a platform subscription, a one-off implementation service and a hardware unit on one line group, and your auditors want each element allocated at its own standalone selling price with its own revenue timing.

What happens instead is that someone rebuilds the arrangement in a spreadsheet, calculates the allocation by hand, and journals the result into NetSuite at period close. The revenue arrangement in NetSuite becomes a record of what finance decided offline rather than a system of record. Every amendment widens the gap, every audit request means reconstructing the working, and closing the books gets slower as the subscription base grows.

What ECOSIRE builds

This is not an existing app you download. We build it as a NetSuite customization inside your own account, scoped to your commercial model, and you own the resulting SDF project.

Contract and plan model

We create custom records for subscription contracts, contract lines, rate plans and rate plan tiers, related to the standard Customer, Subscription, Item and Contract records so that everything stays navigable from the customer record. Rate plan tiers support flat fee, per-unit, tiered, volume and committed-minimum-plus-overage shapes. Item types are respected: a service item behaves differently from an inventory item or a non-inventory item for sale, and the build reflects the item types actually in your account rather than a generic assumption.

Usage rating engine

Usage events land in a custom usage record either through a SuiteScript 2.1 RESTlet that your product calls directly, or through a scheduled pull from a staging table or SFTP drop. A Map/Reduce script rates the accumulated usage for each billing period: the map stage groups raw events by contract line and rating dimension, the reduce stage applies the tier structure and writes a rated usage summary. Map/Reduce is used specifically because it yields between stages, so a month of high-volume usage does not hit governance limits the way a single scheduled script would.

Mid-term amendments and proration

Amendments are first-class records rather than edits that destroy history. An upgrade, downgrade, quantity change, plan swap, term extension, pause or cancellation is captured as an amendment record with an effective date. A User Event script on approval writes the resulting delta lines, calculates proration on your chosen convention (actual days, 30/360, or full-period), and adjusts the downstream billing schedule. The prior state remains readable, which is what makes an audit trail worth having.

Billing generation

A scheduled script builds the billing run: it selects due contract lines through saved searches, pulls in rated usage, applies proration deltas, and creates Invoices or Sales Orders depending on the flow you use. Runs are grouped by billing cycle and subsidiary so that a OneWorld account can bill each subsidiary on its own calendar and its own base currency. A pre-run preview record lets a controller inspect and approve the run before invoices are created.

ASC 606 revenue recognition

Performance obligations are identified per contract line and carry a standalone selling price, either from a configured SSP list, a saved-search-derived observable price, or an estimation method you specify. Allocation runs across the arrangement, writing allocated transaction price back to each obligation. Revenue schedules are generated per obligation with the recognition method that fits it: ratable over term, point in time on delivery, percentage of completion against milestones, or usage-as-consumed. A Map/Reduce recognition script produces the period journal entries against your revenue and contract-asset or contract-liability accounts, tagged with a custom segment for revenue stream so reporting slices cleanly.

Reporting and controls

We deliver saved searches and dataset-backed reports for deferred revenue rollforward, revenue waterfall by period, MRR and ARR movement (new, expansion, contraction, churn), unbilled usage, and an allocation audit trail showing SSP inputs and the resulting allocated amounts. SuiteFlow workflows route amendment and billing-run approvals to the right roles. Permissions are set so a billing clerk can prepare a run but only a controller can approve recognition journals.

Who this is for

Software and SaaS companies on NetSuite whose pricing has outgrown flat annual plans. Managed service providers billing a committed minimum plus consumption. Equipment businesses selling hardware with an attached subscription and installation service. Any NetSuite finance team currently allocating revenue in a spreadsheet and journaling the answer in.

It is a poor fit if your subscriptions are genuinely flat, annual and never amended — native functionality already covers that, and we will say so on the scoping call rather than sell you a build you do not need.

How delivery works

1. Scoping call. We walk your actual contracts, rate cards and current close process, and look at your account: edition, whether OneWorld is in play, which item types you use, what already exists in your revenue arrangements.

2. Fixed quote and specification. You receive a written specification listing every custom record, script, workflow, saved search and role change, plus the fixed price and timeline. Nothing gets built before you approve that document.

3. Build. Development happens as an SDF project under source control, against your requirements rather than a generic template.

4. Install in sandbox. We deploy to your sandbox or a Release Preview account first, load representative contracts and usage volumes, and run a parallel billing and recognition cycle against your existing numbers so you can see the two agree before anything touches production.

5. Install in production. After your sign-off we deploy to production during a window you choose, migrate open contracts, and stay on hand through the first live billing run and the first period close.

6. Support window. A defect-fix support window follows go-live, with the code and SDF project handed to you so your own team or any other partner can extend it.

How delivery works

  1. 1

    Scoping call

A short call to confirm the workflow, your platform version and where the integration boundaries sit.

  2. 2

    Fixed quote

You receive a written scope and a fixed price. Nothing is built until you approve it.

  3. 3

    Build and test

We develop against a copy of your configuration and test it there. Typically two to four weeks.

  4. 4

    Install and support

Instalamos en su instancia, le entregamos el código fuente e incluimos dos semanas de soporte tras la puesta en marcha. Los defectos en el código que entregamos se corrigen sin coste.

lo que obtienes

  • SDF project containing every SuiteScript 2.1 file, custom record, custom field, custom segment, workflow and saved search, delivered to you as source you own
  • Installation into your sandbox or Release Preview account, including a parallel billing and recognition cycle reconciled against your current numbers
  • Production installation during an agreed window, with migration of open subscription contracts and in-flight revenue arrangements
  • Configuration of rate plans, proration conventions, SSP sources, recognition methods and accounting mappings to match your policy
  • Role and permission setup separating billing preparation from recognition approval, documented per role
  • Written administrator and finance-user documentation covering the billing run, amendment handling, allocation logic and month-end recognition steps
  • Live training sessions for your billing team and your controller, recorded so later joiners can watch them
  • A post-go-live defect-fix support window covering the first live billing cycle and the first period close

¿Para quién es esto?

Corporate Controller

Closes the books while reconstructing revenue allocation from spreadsheets that live outside NetSuite, and cannot show an auditor how a number was derived without rebuilding the working. This gives them allocation, schedules and journals inside NetSuite with the SSP inputs and calculation preserved on the record.

Billing Operations Manager

Manually calculates proration for every mid-term seat change and chases product teams for usage totals before each invoice run. They get an approved billing run that pulls rated usage and amendment deltas automatically, with a preview to check before invoices exist.

NetSuite Administrator

Inherits undocumented scripts and is asked to explain revenue logic nobody wrote down. They receive an SDF project under source control, a per-record specification, and permission boundaries they can defend during an access review.

Preguntas frecuentes

How long does the build take, and is anything available to download today?
Nothing is pre-built and there is no instant download. Every engagement starts from your requirements. Typical lead time from approved specification to sandbox installation is one working week depending on how many rate plan shapes and recognition methods are in scope; complex multi-element arrangements with several subsidiaries sit at the longer end. You get a firm date in the quote before you commit.
Which NetSuite versions and editions do you support?
We build on SuiteScript 2.1 and support currently supported NetSuite releases, including OneWorld accounts. Subsidiary-aware billing and multi-currency recognition require OneWorld. Advanced Revenue Management being enabled changes the design — we integrate with your existing revenue arrangements where it is on, and build standalone schedules where it is not. We confirm your exact edition, enabled features and release on the scoping call before quoting.
Do you replace NetSuite's native subscription billing, or extend it?
Either, and we recommend one after seeing your account. Where you already run native subscriptions successfully, we extend them: usage rating, amendment handling and allocation layer on top and reference the existing records. Where the native model does not fit your contracts at all, we build the contract model as custom records and feed standard Invoices and journals. We will tell you plainly if native functionality already covers your case.
How does usage data get into NetSuite?
Three options, chosen on scope. A RESTlet your product posts to in near real time, with idempotency keys so retries do not double-count. A scheduled pull from an SFTP drop or staging location, parsed and loaded by a Map/Reduce script. Or CSV import into the usage record for lower-volume cases. Volumes and governance limits drive the choice; we size that during scoping rather than guessing.
Will this survive a NetSuite release upgrade?
It is built as a standard SDF project using supported SuiteScript 2.1 APIs and documented record types, which is the configuration NetSuite's own upgrade process is designed to carry forward. We do not modify NetSuite core behaviour in unsupported ways. We recommend testing in your Release Preview account each cycle, and the support window covers defects arising from a release change during its term.
What happens to contracts and revenue arrangements that already exist when we go live?
Migration is part of the production install. Open contracts are loaded with their remaining term, current price and billed-to-date position, and in-flight revenue arrangements are brought across with recognised-to-date and remaining deferred balances so the rollforward stays continuous. We reconcile the migrated position against your pre-cutover trial balance before you approve go-live.
