¿Qué es Fixed Assets & Lease Accounting (IFRS 16 / ASC 842)?

A NetSuite SuiteScript 2.1 application for asset depreciation and IFRS 16 / ASC 842 lease accounting. Built to order for your chart of accounts and subsidiaries after a scoping call and fixed quote. Built to order by ECOSIRE for Oracle NetSuite (build-to-order) — indicative price from $999.00 USD; request a quote for a scoped proposal.

Fixed Assets & Lease Accounting (IFRS 16 / ASC 842) — A NetSuite SuiteScript 2

What we build

  • Custom asset record with cost, in-service date, useful life, residual value, method, and prorate convention, segmented by subsidiary, department, class, location, and your custom segments
  • Straight line, reducing balance, sum-of-years-digits, and unit-of-production depreciation implemented as configurable SuiteScript 2.1 calculation rules
  • Child schedule records storing one row per period with opening NBV, charge, accumulated depreciation, and closing NBV for every asset
  • User Event script on Vendor Bill and Item Receipt proposing capitalisation when a line posts to a mapped asset-class account
  • IFRS 16 and ASC 842 lease record capturing term, payment timing, incremental borrowing rate, non-lease components, index escalations, and renewal or termination options
  • Lease liability and right-of-use asset amortisation schedules with interest unwind, plus the ASC 842 operating-lease single straight-line cost where that classification applies
  • Versioned remeasurement on modification, index reset, or early termination, retaining superseded schedules with the catch-up adjustment computed
  • Map/Reduce script posting period depreciation and lease entries as summarised or per-asset Journal Entries, writing the posted internal ID back to each schedule row
  • Idempotent posting with accounting-period state checks that block re-posting a closed period and prevent duplicate entries in an open one
  • Disposal, partial disposal, inter-subsidiary transfer, revaluation, and impairment actions that close the remaining schedule and post the gain or loss
  • OneWorld handling for subsidiary-level asset ownership, functional currency schedules, and consolidated exchange rate treatment of the right-of-use asset and liability
  • Saved searches and SuiteAnalytics datasets for the asset movement schedule, lease maturity buckets, ROU roll-forward, weighted-average term and rate disclosures, and GL control-account reconciliation

The problem

Most NetSuite finance teams keep two parallel worlds. Fixed assets live in a spreadsheet with a depreciation tab that one person maintains, and leases live in a second spreadsheet that recalculates the right-of-use asset and lease liability every month by hand. Both feed journal entries that get keyed into NetSuite manually. At year end, the auditor asks for the movement schedule, the discount rate applied to each lease, and evidence that the modification in March was remeasured correctly — and the answer takes a week to assemble.

The accounting itself is not the hard part. IFRS 16 and ASC 842 are prescriptive: discount the remaining payments, recognise a liability, recognise a right-of-use asset, unwind interest, amortise the asset, and remeasure when the lease changes. What is hard is doing it consistently across dozens or hundreds of contracts, in the right subsidiary, in the right currency, every single period, with a defensible audit trail. That is a systems problem, and it belongs inside NetSuite.

What ECOSIRE builds

We build this as a set of custom records and SuiteScript 2.1 scripts deployed into your own NetSuite account as an unmanaged bundle or SDF project. Nothing is hidden — you own the source and the objects.

Asset register

A custom record for the asset holds the acquisition source (vendor bill, item receipt, or manual capitalisation), cost, in-service date, useful life, residual value, depreciation method, asset class, subsidiary, department, class, location, and any custom segments you already use for reporting. A User Event script on the vendor bill can propose capitalisation when the line hits an asset-class account, so the register is populated from the source document rather than retyped.

Depreciation methods are implemented as configurable calculation rules — straight line, reducing balance, sum-of-years-digits, and unit-of-production — with a prorate convention you set per asset class. Each asset carries a child schedule record holding one row per period: opening net book value, charge, accumulated depreciation, and closing net book value, generated at creation and regenerated on any change.

Lease register under IFRS 16 and ASC 842

A separate custom record models the lease: commencement date, term, payment schedule and timing, incremental borrowing rate, non-lease components, index-linked escalations, renewal and termination options, and the classification you have concluded (finance or operating under ASC 842; IFRS 16 has a single lessee model). The script builds the amortisation schedule — discounted liability, interest unwind, right-of-use asset amortisation, and the ASC 842 operating-lease single straight-line cost where that classification applies — and stores it as period rows you can inspect line by line.

Modifications, remeasurements, index resets, and early terminations create a new schedule version. The prior version is retained and flagged superseded, so an auditor can see the before, the after, and the catch-up entry between them.

Posting and period close

A Map/Reduce script runs the period charge across the whole register. It groups by subsidiary and posting period, creates summarised or per-asset journal entries against the accounts you map, applies the correct GL segmentation, and writes the resulting internal ID back onto each schedule row so every posted amount traces to its source. Re-running a closed period is blocked; re-running an open one is idempotent and will not double-post.

Disposals, partial disposals, transfers between subsidiaries, revaluations, and impairments each have a dedicated action that computes the gain or loss, closes the remaining schedule, and posts the entry. A Scheduled script can run the whole thing unattended on your close calendar.

Reporting

Saved searches and SuiteAnalytics-ready datasets deliver the asset movement schedule, the lease maturity analysis by undiscounted cash flow bucket, the right-of-use asset roll-forward, the weighted-average remaining lease term and discount rate disclosures, and a reconciliation between the register and the GL control accounts. Roles and permissions restrict who can post versus who can only view.

Who this is for

Finance teams running NetSuite — OneWorld or single-instance — who hold a meaningful asset base or lease portfolio and report under IFRS or US GAAP. It suits organisations with property, vehicle, or equipment leases across multiple subsidiaries and currencies, and any team whose auditors have flagged spreadsheet dependency as a control weakness.

How delivery works

This is a build-to-order application. It does not exist as a finished download; we build your instance of it.

1. Scoping call. We walk your chart of accounts, subsidiary structure, existing asset and lease data, depreciation policies, discount rate methodology, and close calendar. We confirm which standards apply and which classifications you have concluded — we implement your accounting policy, we do not set it. 2. Fixed quote. You receive a written scope, an object list, and a fixed price. No hourly drift. 3. Build. Typical lead time is one working week depending on the number of depreciation methods, lease variations, and integrations in scope. 4. Install in your sandbox. We deploy to your sandbox or Release Preview account first, load a sample of your real assets and leases, and reconcile the generated schedules against your existing spreadsheets line by line until they agree. 5. Production. After you sign off on the sandbox reconciliation, we deploy to production, migrate the opening balances, and run the first period alongside your existing process. 6. Support. A defined post-go-live support window covers defect fixes and configuration questions, with the option to extend.

You receive the SuiteScript source, the SDF project, and the object definitions. If you later want to change a calculation rule yourself, nothing stops you.

How delivery works

  1. 1

    Scoping call

A short call to confirm the workflow, your platform version and where the integration boundaries sit.

  2. 2

    Fixed quote

You receive a written scope and a fixed price. Nothing is built until you approve it.

  3. 3

    Build and test

We develop against a copy of your configuration and test it there. Typically two to four weeks.

  4. 4

    Install and support

Instalamos en su instancia, le entregamos el código fuente e incluimos dos semanas de soporte tras la puesta en marcha. Los defectos en el código que entregamos se corrigen sin coste.

¿Para quién es esto?

Group Financial Controller

Owns the numbers the auditor tests and currently defends a lease spreadsheet that only one person fully understands. Moving the register and its schedules into NetSuite with versioned remeasurements and posted journal traceability removes the single point of failure and shortens the audit request list.

Technical Accounting Manager

Concludes lease classification and discount rates but has no reliable way to see the downstream effect of a modification until the month is closed. Versioned schedules and a per-period breakdown let them model and evidence a remeasurement before it posts.

NetSuite Administrator

Fields recurring requests to import depreciation journals and fix mis-keyed entries every period. A Map/Reduce posting job on the close calendar with idempotent re-runs turns a manual monthly task into a scheduled one they can monitor rather than perform.

Preguntas frecuentes

Is this available to download and install today?
No. This is built to order. After a scoping call we issue a fixed quote, then build your instance against your chart of accounts, subsidiaries, and accounting policies. Typical lead time is one working week from quote acceptance, longer if you have unusual depreciation methods or a large historic portfolio to migrate.
Which NetSuite editions and versions does this support?
It is built on SuiteScript 2.1 and targets currently supported NetSuite releases, including OneWorld for multi-subsidiary and multi-currency asset and lease accounting. It works on single-instance accounts too. We confirm your exact account edition, enabled features, and any existing fixed asset configuration during scoping, because that determines the object design.
Does this replace an existing NetSuite fixed assets setup?
That depends on what you already run and what you want to keep. Some clients want a complete asset and lease solution in one place; others already have depreciation working and only need the IFRS 16 and ASC 842 lease side, posting to their existing accounts. We scope both patterns and will tell you plainly if part of what you have should stay.
Who decides lease classification and the discount rate?
You do, with your auditors. We implement the policy you give us and make the inputs — incremental borrowing rate, term, options reasonably certain of exercise — explicit fields on the lease record so your conclusions are visible and auditable. We build accounting software; we do not provide accounting opinions.
What happens when a lease is modified mid-term?
You record the modification on the lease record. The script recalculates the remaining liability at the revised inputs, creates a new schedule version, marks the prior version superseded rather than deleting it, and computes the catch-up adjustment to the right-of-use asset and liability. Both versions and the resulting journal remain visible for audit.
Can we migrate our existing spreadsheet schedules in?
Yes, and this is part of the standard delivery. We import the register and lease portfolio with opening balances at your chosen cut-over date, then reconcile the generated schedules against your spreadsheet in the sandbox until they agree line by line. We do not deploy to production until that reconciliation passes.
