Why gym operators outgrow generic tools
A fitness business is not a simple subscription business. Members freeze for a month while they travel, and the end date has to move. They upgrade mid-term and expect a prorated difference, not a fresh contract. They buy a ten-class pack that expires in ninety days and want to know how many they have left. Personal training sessions are sold in blocks and consumed one at a time by a specific trainer whose commission depends on it. Classes have capacity limits, waitlists and no-show policies.
Most operators end up running this across three or four disconnected systems: a booking tool, a spreadsheet of freeze dates, a payment gateway that does not know what a freeze is, and an accountant who reconstructs revenue at month end. Members get billed during a freeze. Class capacity gets exceeded because two staff booked from different screens. Trainer payouts are calculated by hand.

Membership plans and contracts
Plan definitions carry duration, price, billing cycle, joining fee, minimum term, notice period and what facilities or class types the plan admits. A member record links to a contract with a start date, an end date, a status, and a full history of every change applied to it. Upgrades, downgrades, transfers and cancellations are actions on that contract, each writing an audit entry, so you can always answer why a member's end date is what it is.
Freezes that actually work
A freeze is a first-class object with a start date, an end date, a reason and an approval. The application extends the contract end date by the frozen days, suspends the recurring billing schedule for the frozen period, and blocks class booking during it if your policy says it should. Freeze allowances per plan — maximum days per year, maximum number of freezes, minimum notice — are enforced by the application rather than remembered by whoever is on the desk.
Class booking and trainer schedules
Classes are scheduled against a studio, a time slot and a trainer, with a capacity. Members book from a member-facing Creator portal page or the front desk books on their behalf. Capacity, waitlist promotion, cancellation windows and no-show marking are handled by the application. Trainer rosters show availability and prevent double-booking across group classes and personal training. Personal training packs decrement on session completion, and the remaining balance is visible to both the trainer and the front desk.
Recurring dues into Zoho Books
Billing schedules generate dues from the contract, and a scheduled Deluge function raises the corresponding transaction in your Zoho Books organisation through the Books REST API — as a Recurring Invoice where the cycle is stable, or as an Invoice per period where proration, freezes and mid-term changes make each period different. Payments recorded against those invoices flow back onto the member record, so the front desk sees an accurate dues status without opening Books. Tax treatment uses your Books tax settings, including GST or VAT configuration where your organisation is set up for it, rather than hard-coded rates.
Day-to-day operations
Check-in captures attendance against the member and, where relevant, against a class booking. Dashboards built as Creator report pages and charts show active members, joins and cancellations in the period, freeze counts, class fill rates and dues outstanding. Automated reminders — renewal approaching, dues overdue, pack nearly exhausted, class starting — run on Zoho Creator schedules with email and, where your setup supports it, SMS. Leads captured from the website or walk-ins can be pushed into Zoho CRM through the Zoho Creator to CRM integration so your sales follow-up lives where your sales team already works.
Who this is for
Single-site gyms, multi-site chains, boutique studios, martial arts academies, swim schools and anywhere memberships, class capacity and trainer time have to be managed together and land in accounts. It suits operators already committed to Zoho — particularly those running Zoho Books — who want one system rather than a booking tool bolted to a spreadsheet.
It suits you less well if you have no membership contracts and simply sell drop-in classes for cash; that is a much smaller build and we will scope it as one rather than sell you this.
How delivery works
Scoping call. We walk through your plans, your freeze and cancellation policies, your class types and capacities, your trainer commission basis and your Books setup. Policies are where gym builds succeed or fail, so this session is detailed.
Fixed quote. You get a written scope listing the plan types, the membership lifecycle actions, the booking rules, the Books integration behaviour and the reports, at a fixed price. Work starts only when you approve it.
Build. Developed as a Zoho Creator application with Deluge scripting, using your real plan structures and representative member data.
Install in test. Installed into a test Creator environment and a test Books organisation. You run the scenarios that matter — freeze a member and check the end date and the next invoice, oversubscribe a class and check the waitlist, upgrade a plan mid-term and check the proration — and we adjust before anything touches live accounts.
Production go-live. Installed into your production Creator environment and connected to your live Books organisation. Existing member data is migrated as an agreed, verified pass with reconciliation counts, not a blind import.
Support. A post-go-live support window covers defect fixes and rule adjustments, with documentation and staff training handed over.
Typical lead time from approved quote to production is two to four weeks, depending on plan complexity, number of sites and whether member data migration is in scope.
