AI Bookkeeping Categorisation Assistant — A build-to-order Zoho Books extension that suggests chart-of-accounts categorisation with a confidence score, routes low-confidence items to a bulk review queue and learns from every correction

What we build

  • Confidence-scored account suggestions for uncategorised transactions, bank feed lines, expenses and bills, ranked with candidate alternatives
  • Plain-language reason on every suggestion stating whether it matched on vendor history, description pattern, recurrence shape or no strong signal
  • Configurable high and low confidence thresholds controlling auto-apply, queued-with-suggestion and human-decision-required routing
  • Deterministic signals derived from your own Zoho Books history via the REST API, blended with a language-model pass for transactions history cannot resolve
  • Sigma widget review queue inside Zoho Books grouping transactions by suggested account, vendor, confidence band and organization
  • Bulk accept, bulk reassign and exception split-out from the queue, writing categorisations back through the Zoho Books API
  • Learning records capturing transaction signature, suggested account, chosen account, entity and reviewer on every override
  • Promoted rule proposals generated from stable correction patterns, requiring human approval before they become deterministic matches
  • Tax treatment carried with the suggestion using the Books organization's configured GST or VAT settings, with conflicts flagged rather than auto-resolved
  • Guardrails limiting selection to existing chart-of-accounts entries, with per-account-group auto-apply controls and a permanent review list
  • Zoho Flow automations for scoring new bank feed imports, queue-threshold notifications and a month-end uncategorised summary
  • Reporting on auto-apply rate by confidence band, override rate by account and vendor, and queue trend for threshold tuning

Sobre este Produto

The problem

Zoho Books already predicts field values from what you entered before. That works when a vendor is regular and the coding never changes, and it stops working exactly where bookkeeping gets expensive. A new supplier has no history. A supplier you code three different ways depending on the project has a history that argues with itself. A bank feed line reading as an acquirer settlement reference tells the predictor nothing. And a suggestion with no confidence attached gives the reviewer no way to triage: everything has to be checked, so nothing is really automated.

The practical result in most Zoho Books organizations is a month-end where someone opens uncategorised transactions one at a time, applies knowledge that exists only in their head, and repeats the same corrections next month because nothing captured what they decided. Bank rules help for exact string matches and become unmanageable past a few dozen. Multi-entity groups multiply the problem, because the same supplier may be coded differently in different Books organizations for perfectly good reasons.

What accountants ask for is narrower than general automation: a categorisation suggestion with a number attached to how sure it is, a way to accept or fix hundreds at once, and a system that remembers the fix.

What ECOSIRE builds

ECOSIRE builds a categorisation assistant into your Zoho Books environment. It is built to order against your chart of accounts, your entity structure and your actual transaction history. There is no downloadable version and no trial build.

Confidence-scored categorisation

Each uncategorised transaction, bank feed line, expense or bill is scored against your chart of accounts and returns a ranked set of candidate accounts with a confidence value and a plain-language reason: matched on this vendor's prior coding, matched on description pattern, matched on amount and recurrence shape, or no strong signal found. The scoring blends deterministic signals drawn from your own history through the Zoho Books REST API with a language-model pass over transaction descriptions and vendor names for the cases history cannot answer. Thresholds are yours to set: above the high threshold the assistant can apply the category automatically, between thresholds it queues for review with the suggestion pre-filled, below the low threshold it is flagged as needing a human decision with no suggestion offered.

Bulk review queue

A Sigma widget inside Zoho Books gives reviewers a working queue rather than a record-by-record slog. Transactions group by suggested account, by vendor, by confidence band and by entity. A reviewer can accept an entire group, reassign a group to a different account, split out exceptions, and see the confidence and reason on every line. Actions write back to Zoho Books through the API as proper categorisations, and every accept or override is recorded.

Learning from corrections

Corrections are the point. Every override writes a learning record capturing the transaction signature, the suggested account, the account the reviewer actually chose, the entity and the reviewer. Those records feed the next scoring pass, so a supplier corrected once is scored differently the next time. Where a correction pattern is stable enough, the assistant proposes a promoted rule for a human to approve, which turns a repeated judgement into a deterministic match rather than leaving it to inference. Learning is scoped per Books organization by default so one entity's coding conventions do not bleed into another's.

Tax and compliance awareness

Categorisation carries the tax treatment with it. Suggestions respect the tax settings configured on the Books organization, so a GST or VAT registered entity gets suggestions that include the applicable tax rate and treatment rather than an account alone. Where a vendor's historical coding and its tax treatment disagree, the transaction is flagged for review rather than silently resolved, because a wrong tax code is more expensive to unwind than a wrong expense account.

Guardrails

The assistant is constrained deliberately. It only ever selects from accounts that exist in your chart of accounts, and never invents one. Auto-apply is off until you enable it and is configurable per account or account group, so control accounts and anything sensitive can be held for review permanently. Every automated action is logged with its confidence, its reason and its inputs, and an audit view lists everything auto-applied in a period for spot-checking. Nothing is posted or approved beyond categorisation.

Automation and reporting

Zoho Flow schedules the recurring work: scoring newly imported bank feed lines, notifying reviewers when the queue crosses a threshold, and issuing a month-end summary of items still uncategorised. Reporting covers auto-apply rate by confidence band, override rate by account and by vendor, and the queue trend over time, which is how you decide whether to raise or lower your thresholds.

Who this is for

Accounting teams running high transaction volume in Zoho Books, bookkeeping and outsourced-accounting firms handling several client organizations, multi-entity groups with different coding conventions per entity, and finance teams whose bank rules have grown past the point of maintenance. It suits organizations that want review to remain human but want the volume of review to fall.

How delivery works

Scoping call. We review your chart of accounts, entity structure, transaction volume and mix, current bank rules, tax registrations and where categorisation currently costs the most time. We look at your live Zoho Books configuration and a sample of historical transactions.

Fixed quote. You receive a written scope covering the scoring signals, review interface, learning mechanism, guardrails and integrations, with a fixed price. Anything additional is quoted before work begins.

Build. We develop the Deluge functions, scoring logic, Creator configuration, Sigma widget and Flow automations. Typical lead time is one working week depending on entity count and chart complexity.

Install in test. We install into a test Zoho Books organization and score a period of your own historical transactions where the correct answer is already known. You see the accuracy and confidence distribution on your own data before deciding on thresholds. Auto-apply stays off during this phase.

Install in production. We deploy to production in suggest-only mode. You run it, review, and turn on auto-apply per account group when the measured accuracy in your own reports justifies it.

Support. A defined support window covers defect fixes, threshold tuning and configuration help after go-live.

A note on scope: this is an assistant, not an accountant. It proposes categorisations and learns from your corrections. Reviewing, approving and filing remain with your finance team. ECOSIRE holds no certification or partnership with Zoho Corporation; this is custom development on Zoho's documented extensibility surfaces.

Para quem é isso

Financial Controller

Owns a month-end close where uncategorised transactions are the recurring bottleneck and cannot accept a black-box tool touching the ledger. Confidence scores, per-account auto-apply controls and a full audit log of automated actions let categorisation volume drop without giving up reviewability.

Bookkeeping Practice Owner

Runs several client Zoho Books organizations where each client has its own coding conventions, and currently rebuilds that knowledge every time staff change. Per-organization learning means each client's corrections improve that client's suggestions without contaminating another's chart of accounts.

Senior Accountant

Spends hours categorising transactions one at a time and re-applying the same corrections every month. The grouped bulk queue turns hundreds of similar lines into a handful of decisions, and the learning record means a correction made once changes what is suggested next time.

Perguntas frequentes

How long is the build and can I try it before committing?
Nothing is downloadable and there is no trial build, because the assistant is developed against your chart of accounts and your transaction history. After a scoping call we issue a fixed quote; typical lead time is one working week from acceptance depending on entity count and chart complexity. What you do get before production is a baseline accuracy report on your own historical data, produced in the test organization, so you can see how it performs on your transactions before enabling anything.
Which Zoho products and editions does it need?
It is built for Zoho Books, using Zoho Creator for configuration and learning records, Zoho Flow for scheduling and a Sigma widget for the review queue. You need Books editions with custom function and REST API access. The language-model component requires an AI service credential, which is configured in your environment and covered at scoping. We confirm your editions and flag any upgrade requirement before quoting.
How is this different from Zoho Books field prediction and bank rules?
Field prediction suggests values seen in your prior transactions and does not attach a confidence level, so a reviewer cannot triage. Bank rules match deterministically and become hard to maintain past a few dozen. This assistant adds a confidence score with a stated reason, routes by threshold, provides a grouped bulk review queue, and records every correction so the next suggestion changes. It also proposes promoting stable patterns into deterministic rules rather than relying on inference forever.
Can it post entries or change my books without a human?
It only ever applies a category, and only within limits you set. Auto-apply ships disabled and is enabled per account or account group once your own accuracy reports justify it, so control and sensitive accounts can be held for permanent review. It cannot create a new account, and it does not post journals, approve bills or file returns. Every automated action is logged with its confidence, reason and inputs for spot-checking.
We run several entities with different coding conventions. Will they interfere?
Learning is scoped per Zoho Books organization by default, so corrections made in one entity do not change suggestions in another. If you want a shared learning pool across entities that genuinely follow the same conventions, that is a configuration decision we take at scoping and build accordingly. Multi-entity scope affects build effort and is reflected in the quote.
What accuracy should we expect?
We do not publish an accuracy figure, because it depends entirely on your data: how consistent your historical coding is, how many vendors recur, how granular your chart of accounts is and how much information your bank descriptions carry. That is why the test phase scores a period of your own already-categorised transactions and reports measured accuracy and confidence distribution on your data. You set thresholds from that evidence rather than from a marketing number.
