India Payroll and Statutory Compliance — A build-to-order SAP Business One payroll add-on for India: PF, ESI, professional tax and salary TDS computed per employee, with statutory return files and Form 16 inputs, built for your company database

What we build

  • Employee master extended with UDFs for PAN, Universal Account Number, ESI number, work state, joining date and posting cost centre
  • Salary structure UDO where each component is separately flagged into the PF wage base, ESI gross, professional tax gross and taxable salary
  • Effective-dated salary structure history producing correct arrears on mid-year revisions instead of overwriting the prior structure
  • Provident fund employee, employer and pension-share computation with statutory ceiling handling and above-ceiling opt-in support
  • Monthly provident fund electronic challan-cum-return file generation, reconciled to the payroll Journal Entry before filing
  • ESI eligibility resolved against the wage threshold with correct contribution-period continuation after an employee crosses the limit
  • State-wise professional tax slabs in a User-Defined Table keyed by work state, supporting monthly, half-yearly and annual filing frequencies
  • Salary TDS projection per employee under the elected tax regime, net of exemptions and declared investments, spread over remaining months
  • Investment declaration and proof-submission capture in a UDO, triggering automatic TDS re-projection on any change to declarations or salary
  • Quarterly TDS return input and annual Form 16 Part B salary and tax detail extracted per employee from the same deduction records
  • Payroll Journal Entry posted with cost centre and department dimensions, each statutory deduction to its own liability account for challan clearing
  • Crystal Report payslips, PF/ESI/professional tax registers and TDS computation sheets, with PDF payslip email distribution and approval-gated payroll runs

Sobre este Produto

The problem

Indian payroll is not a calculation, it is a chain of statutory obligations that each have their own base, their own ceiling, their own due date and their own return format. SAP Business One ships none of it.

Provident fund is computed on a defined wage base with a statutory ceiling, split between employee contribution, employer contribution and the pension share, and reported monthly in an electronic challan-cum-return. Employee state insurance applies only below a gross wage threshold, and an employee who crosses it mid-contribution-period stays in for the rest of that period rather than dropping out immediately. Professional tax is a state subject — different slabs, different frequencies, different forms in Karnataka, Maharashtra, West Bengal and Tamil Nadu, and an employer with offices in three states files three ways. Salary TDS is not a flat deduction at all: it is the employee's projected annual tax liability, computed under whichever tax regime they have elected, net of declared and then proof-verified investments, spread across the remaining months of the financial year and re-projected every time anything changes.

Most SAP B1 users in India run this in a spreadsheet or an unconnected payroll tool, then post a single summarised Journal Entry. The consequences show up at year end: TDS deducted across twelve months does not reconcile to the quarterly returns, Form 16 Part B has to be assembled by hand, and nobody can produce the audit trail linking a specific deduction to a specific declaration.

What ECOSIRE builds

This is a build-to-order add-on. There is no pre-built download and no trial — we scope your states, your salary structure, your regime handling and your return formats, quote a fixed price, then build and install into your company database.

Salary structure and employee master

Employees are extended with User-Defined Fields for PAN, Universal Account Number, ESI insurance number, date of joining, work state and location, and the cost centre the salary posts to. Salary structure lives in a User-Defined Object: basic, house rent allowance, special allowance, conveyance, reimbursements, variable pay, employer contributions and deductions. Each component carries flags for whether it enters the provident fund wage base, the ESI gross, the professional tax gross and the taxable salary — four different bases that the law defines differently, and the place most manual payrolls go wrong. Structure changes are effective-dated rows so a mid-year revision produces correct arrears rather than an overwritten history.

Provident fund

Employee and employer contributions computed on the statutory wage base with ceiling handling, the pension split calculated separately, and support for employees who have opted for contribution above the ceiling where your policy allows it. The monthly electronic challan-cum-return file is generated in the prescribed layout, and the contribution register reconciles to the payroll Journal Entry before you file.

Employee state insurance

Eligibility resolved from gross wages against the threshold, with correct handling of the contribution-period rule that keeps an employee covered for the remainder of the period after they cross the limit. Employee and employer shares computed separately, and the monthly contribution file produced in the required format.

Professional tax

State-wise slab configuration in a User-Defined Table keyed by work state, with each state's own slab boundaries, amounts and filing frequency — including states that levy an annual or half-yearly amount rather than monthly. Employees are resolved to their work state, so a multi-state employer gets a separate liability and return per state from one payroll run.

Salary TDS

The engine projects annual taxable income per employee from actual earnings to date plus projected earnings for the remaining months, applies the tax regime the employee has elected, deducts eligible exemptions and declared investments, computes the annual liability including surcharge and cess where applicable, credits TDS already deducted, and spreads the balance over the remaining months. Investment declarations and later proof submissions are captured in a UDO, and re-projection runs automatically when a declaration, a proof, a salary revision or a regime election changes. Every month's deduction is traceable to the projection that produced it.

Statutory returns and Form 16

Quarterly TDS return input is extracted per employee and per deduction, in the structure the return utility consumes. The annual salary and tax detail behind Form 16 Part B is produced per employee from the same records, so the certificate and the returns are built from one source rather than reconciled after the fact. Provident fund, ESI and professional tax returns are extracted per their own formats and periods.

Posting and control

Each payroll run posts a real Journal Entry into SAP Business One, dimensioned by cost centre, department or project, with net pay to the payable account and each statutory deduction to its own liability account — so the PF payable, ESI payable, professional tax payable and TDS payable balances on your balance sheet are the amounts you actually owe, clearing when you pay the challan. The payroll run is gated behind SAP Business One approval procedures, and payslips and registers are Crystal Reports distributable as PDF.

Who this is for

Companies running SAP Business One 10.0 in India — manufacturers, distributors and services businesses with salaried and wage staff across more than one state, and Indian subsidiaries of overseas groups that need statutory compliance locally while the group consolidates from SAP B1. It is particularly relevant where payroll currently sits outside the ERP and the year-end TDS reconciliation is a recurring problem.

Technical framing

Built as a SAP Business One extension using the Service Layer (REST) for computation, validation and posting, with DI API where a specific object requires it. Employee data, salary structures, slab tables, declarations and payroll runs live in User-Defined Tables and User-Defined Objects; master data extensions are UDFs. Payslips, registers and statutory schedules are Crystal Reports. Runs are approved through SAP Business One approval procedures. Compatible with SAP Business One 10.0 on Microsoft SQL Server and SAP HANA, on-premise or cloud-hosted, delivered per tenant.

How delivery works

1. Scoping call. States you employ in, headcount and salary structure, PF and ESI registration details, regime handling policy, and your chart of accounts and cost centre structure. 2. Fixed quote. Written scope and fixed price agreed before the build starts. 3. Build. Typical lead time one working week, at the longer end for multi-state professional tax and complex salary structures. 4. Install into test. Installed into your test company database with real employee data, then a parallel run against a month you have already paid, reconciled with you deduction by deduction. 5. Production install. After sign-off, install into production with year-to-date earnings and TDS already deducted loaded as opening balances, so the first live projection is correct. 6. Support. A support window follows go-live covering defects, the first live challan generation and the first quarterly return extraction.

Para quem é isso

Payroll Administrator

Maintains a spreadsheet that recomputes every employee's TDS projection whenever a declaration or a salary changes, and rebuilds the PF and ESI files by hand each month. The engine re-projects automatically on any change and generates the statutory files from the run, so the monthly cycle stops depending on one person's formulas.

Finance Controller

Carries PF, ESI, professional tax and TDS payable balances that were entered as a single summarised journal and cannot be tied back to individual employees. Each deduction posts to its own liability account from a dimensioned Journal Entry and clears against the challan payment, so the balance sheet position is provable at any date.

HR Compliance Lead

Answers for quarterly TDS returns that must reconcile to twelve months of deductions and for Form 16 certificates assembled manually at year end. The return input and the Form 16 salary and tax detail are extracted from the same deduction records the payroll produced, so the certificate and the return agree by construction.

Perguntas frequentes

This is build-to-order — how long before we can run a live payroll?
Typically one working week from the signed fixed quote to installation in your test company database, at the longer end for multi-state professional tax or a complex salary structure. We then run a parallel payroll against a month you have already paid and reconcile it deduction by deduction with you before production. Nothing is pre-built or instantly downloadable.
Which SAP Business One versions and editions are supported?
SAP Business One 10.0 on Microsoft SQL Server and on SAP HANA, on-premise or cloud-hosted, delivered per tenant. Built primarily on the Service Layer with DI API where a specific object requires it. If you are on an older release, raise it at scoping and we will confirm what is feasible.
How do you handle employees choosing between tax regimes?
The employee's regime election is recorded against them and drives which exemptions and deductions the projection applies. Changing the election re-projects the remaining months so the annual liability still lands correctly by March, and the computation sheet shows which regime produced each month's deduction.
Statutory rates and slabs change. Who updates them?
Contribution rates, wage ceilings, professional tax slabs and tax rate bands are configuration in effective-dated User-Defined Tables, so you add new rows when the law changes and they apply from the date you set. A change to the calculation logic itself, or a new statutory return format, is a build we scope and quote separately.
Does this file the returns for us?
No. We generate the input files and schedules in the prescribed formats — the PF electronic challan-cum-return, ESI contribution file, professional tax returns and quarterly TDS return input — and reconcile them to the payroll Journal Entry. Submission through the statutory portals and utilities remains with your team or your consultant, which is where the legal responsibility sits.
We are going live mid-financial-year. Will TDS still come out right?
Yes, provided we load year-to-date earnings and TDS already deducted as opening balances, which is a standard part of the production install. The first projection then accounts for what has already been earned and deducted rather than assuming the year starts at go-live. We reconcile those opening balances with you before the first live run.
