QuickBooks to NetSuite Migration Toolkit — A built-to-order loader and reconciliation toolkit that takes your QuickBooks exports into NetSuite — chart of accounts mapping, opening balances, open AR/AP and inventory, proven against a parity report

What we build

  • Staging custom records for every object — customers, vendors, items, open transactions, inventory, opening balances — validated before any record is created
  • CSV import templates shaped to real QuickBooks Online and QuickBooks Desktop exports, with optional direct read from the QuickBooks Online API where you grant access
  • Mapping held in editable custom records: QuickBooks account to NetSuite account, class and location to class, department, location or custom segment, terms, payment methods and tax codes
  • Map/Reduce loaders that create customer, vendor and contact records with address subrecords, terms and preferred currency
  • Item creation across inventory item, non-inventory sale item, service sale item, other charge item and assembly item types with correct income, asset and COGS account assignment
  • External IDs derived from QuickBooks identifiers so a corrected re-run updates the existing record instead of duplicating it
  • Opening balance journal entries posted per subsidiary and currency into the accounting period you nominate, tied to the QuickBooks trial balance
  • Open AR and AP loaded as real invoices, credit memos, vendor bills and vendor credits with original dates and terms, preserving aging and statements
  • Inventory quantity and cost loaded via inventory adjustments against the correct location, with lot and serial detail written to the inventory detail subrecord
  • Outstanding checks and deposits loaded so the first NetSuite bank reconciliation agrees to the bank statement
  • Exception custom record capturing every rejected row with the failing rule, so a partial load is visible rather than silent
  • Reconciliation saved searches for trial balance parity by account and period, AR/AP aging parity, inventory value parity and per-object record counts

Sobre este Produto

Companies do not leave QuickBooks because the bookkeeping stopped working. They leave because the business outgrew it — a second entity, a foreign currency, inventory that needs real costing, a board that wants consolidated numbers before the fifteenth. The NetSuite decision is usually the easy part. The go-live is where it hurts, and it almost always hurts in the same four places.

The chart of accounts is the first. QuickBooks accounts have drifted over a decade into a mixture of real accounts, tracking buckets and things somebody created once to make a bank feed reconcile. Dropped into NetSuite unmapped, they produce a ledger nobody trusts in month one. The second is opening balances: a lump-sum journal into a receivables control account balances the trial balance and destroys your aging, your statements and your ability to apply a payment. The third is inventory — quantity is the easy half, cost basis and costing method is the half that misstates COGS from the first shipment. The fourth is history, where the argument about how many years to carry gets settled late, badly, and usually after the load has already run.

This toolkit exists to make each of those four a decision made in advance and then proven with a report.

What ECOSIRE builds

Everything is built as NetSuite customizations in your own account using SuiteScript 2.1, so the load, the validation and the reconciliation all live where your auditors can see them.

### Staging and validation We build custom records that stage every object before anything is created: customers, vendors, contacts, addresses, items, open transactions, inventory positions, opening balances and historical journals. Your QuickBooks data lands in staging through CSV templates matched to the shape of the exports you can actually produce — QuickBooks Online or QuickBooks Desktop reports exported to CSV or Excel. Where you can give us API access to QuickBooks Online instead, we can read directly, but the toolkit never depends on it, because the export route works for every edition and every historic file.

Validation runs before creation, not during it. Every staged row is checked for a mapped account, a resolvable currency, a valid accounting period, a subsidiary, and required fields for its record type. Rows that fail land on an exception custom record with the reason attached, so the load never half-finishes in silence.

### Mapping tables you control Mapping lives in custom records rather than in code: QuickBooks account to NetSuite account, QuickBooks item to NetSuite item type with its income, asset and COGS accounts, QuickBooks class and location to NetSuite class, department, location or a custom segment, payment terms, payment methods and tax codes. You review and sign the mapping before any load runs, and you can correct it and re-run without a developer.

### Master data load Map/Reduce loaders create customer, vendor and contact records with their address subrecords and terms, and items across inventory item, non-inventory sale item, service sale item, other charge item and assembly item types, each pointed at the correct posting accounts and preferred vendor. Records are keyed by an external ID derived from the QuickBooks identifier, so a corrected re-run updates rather than duplicates.

### Opening balances done properly Opening balances post as a journal entry per subsidiary and currency into the accounting period you specify, tied to the QuickBooks trial balance at the cutover date. Receivables and payables are not lumped into that journal — open invoices, credit memos, vendor bills and vendor credits are loaded as real transactions with their original dates, terms and due dates, so aging buckets, customer statements and payment application all work from day one.

Inventory is loaded through inventory adjustments against the correct location, carrying quantity and cost basis consistent with the costing method configured on your item records. Where you track lots or serial numbers, that detail loads into the inventory detail subrecord rather than being flattened away.

We also load your outstanding checks and deposits so your first bank reconciliation in NetSuite matches the bank statement instead of starting from an unexplained difference.

### History, on your terms Historical transactions are optional and quoted explicitly. You can load posted historical transactions for drill-down, summarised monthly journals for a clean fast ledger, or a mix — detail for recent years, summary before that — while keeping QuickBooks archived for statutory lookback. We will give you the honest trade-off on load time, and let you choose.

### Reconciliation Saved searches deliver the proof: trial balance parity by account and period against the QuickBooks report, AR and AP aging parity by customer and vendor, inventory quantity and value parity by item and location, and record counts per object with the exception list. Nobody signs off on a feeling.

Who this is for

Finance teams moving from QuickBooks to NetSuite, typically at the point where a second entity, inventory costing, or consolidated reporting has made the old system untenable. It also fits implementation partners who want the data workstream handled to a fixed scope so their configuration work is not held hostage by a migration that keeps discovering new problems.

How delivery works

This is built to order. There is no download, because the toolkit is configured to your chart of accounts, your item set and your subsidiary structure.

1. Scoping call. We look at real exports — your QuickBooks trial balance, chart of accounts, item list, open AR and AP aging, and inventory valuation summary — and agree the cutover date, the history strategy, and what happens to classes and locations in NetSuite. 2. Fixed quote and specification. A written scope naming every object in and out, the mapping approach, the reconciliation reports and the cutover plan, at a fixed price with dates. 3. Build. Staging records, mapping tables, loaders and reconciliation searches are developed as an SDF project against your sandbox or a NetSuite developer account. 4. Rehearsal in test. A full dry run into your sandbox, with the parity reports delivered for your controller to review. Mapping corrections at this stage are expected and included. 5. Production load. Deployed to production, run against the final exports taken at the cutover date, reconciled, and signed off against the agreed numbers. 6. Support window. A defect-fix window after go-live, plus the source, so your administrator can re-run any object.

Typical lead time is one working week from approved quote to rehearsal. We are explicit about one boundary: this scope is your data. If you also want NetSuite configured — approval routing, saved searches, roles, custom forms — ECOSIRE quotes that separately so you can see precisely what the migration itself costs.

How delivery works

  1. 1

    Scoping call

A short call to confirm the workflow, your platform version and where the integration boundaries sit.

  2. 2

    Fixed quote

You receive a written scope and a fixed price. Nothing is built until you approve it.

  3. 3

    Build and test

We develop against a copy of your configuration and test it there. Typically two to four weeks.

  4. 4

    Install and support

Instalamos na sua instância, entregamos o código-fonte e incluímos duas semanas de suporte após a entrada em produção. Defeitos no código que entregamos são corrigidos gratuitamente.

Para quem é isso

Financial Controller

Is being asked to close the first month in NetSuite while still defending last year's numbers in QuickBooks. Gets an opening journal tied line by line to the QuickBooks trial balance, open AR and AP loaded as real documents so aging and statements work immediately, and a parity report to hand the auditor.

Head of Operations

Knows the item list has grown organically for years and that a bad cost basis will misstate margin on every order after go-live. Gets inventory loaded by location with quantity and cost consistent with the costing method on each item record, plus a valuation parity report before anything is signed off.

NetSuite Implementation Consultant

Cannot start meaningful configuration or user testing until real data is in the account, and cannot price the data work confidently. Gets the load and reconciliation delivered to a fixed scope inside the client account, with a rehearsal pass that surfaces mapping problems weeks before cutover.

Perguntas frequentes

Can we buy this and run the migration ourselves this week?
No. The toolkit is built to order against your chart of accounts, item set and subsidiary structure — there is no ready-made package to download and no trial. Typical lead time is one working week from an approved fixed quote to a full rehearsal load in your sandbox, with the production load scheduled after your controller has reviewed the parity reports.
Which QuickBooks and NetSuite versions and editions are supported?
On the QuickBooks side we work from exports, so QuickBooks Online and QuickBooks Desktop editions are all viable — we agree the exact report set during scoping. Direct reading of the QuickBooks Online API is optional and only used if you grant access. On the NetSuite side, current releases using SuiteScript 2.1 on both standard NetSuite and OneWorld, with SuiteCloud customization features enabled.
Do you need direct access to our live QuickBooks file?
Not necessarily. The standard route is CSV or Excel exports that your bookkeeper produces — trial balance, chart of accounts, item list, AR and AP aging, inventory valuation, and transaction detail for whatever history you are carrying. That keeps your live file untouched and works for archived company files too.
How much history should we bring into NetSuite?
It is your call and we will give you the honest trade-off rather than a default. Posted historical transactions give you drill-down in NetSuite at the cost of load time and clutter; summarised monthly journals give you a clean ledger while QuickBooks stays archived for lookback. Many teams take detail for the current and prior year and summary before that.
What if the trial balance does not tie after the load?
The rehearsal exists for exactly that, and mapping corrections at that stage are included in the fixed price. The parity report shows the variance by account and period so the cause is found — an unmapped account, a period boundary, a currency basis — and the load is re-run by external ID rather than rebuilt. Production cutover does not proceed until the agreed figures match.
Does this include configuring NetSuite itself?
No, and we would rather be clear about it than pad the scope. This price covers data: staging, mapping, loading and reconciliation. Configuration work — approval routing, custom forms, roles, saved searches, reporting — is quoted separately, either by ECOSIRE or by your implementation partner, so you can see exactly what the migration alone costs.
