O que é Marketing CRM Connector (HubSpot)?

Connects HubSpot and NetSuite: companies, contacts and deals sync with NetSuite customers and sales orders, and revenue is written back for attribution. Built to order by ECOSIRE for Oracle NetSuite (build-to-order) — indicative price from $999.00 USD; request a quote for a scoped proposal.

Marketing CRM Connector (HubSpot) — A build-to-order NetSuite integration that syncs your marketing CRM's companies, contacts and deals with NetSuite customers and sales orders, and writes revenue back for attribution

What we build

  • Bidirectional sync between CRM companies/contacts and NetSuite Customer and Contact records, including the contactroles sublist
  • Custom record customrecord_eco_crm_link storing CRM id, NetSuite internal id, object type, direction, last sync and last error
  • Deduplication saved searches on email domain, companyname and custom entity identifiers before any customer is created
  • Deal-stage-triggered creation of Estimate or Sales Order records with configurable initial approval status
  • Product mapping custom record covering inventory items, non-inventory sale items, service items and kit/package items
  • OneWorld subsidiary, currency, terms and sales rep resolution from a configurable mapping table
  • Department, class, location and custom segment population on every synced transaction line
  • Inbound RESTlet secured by token-based authentication against a purpose-built integration role with least-privilege permissions
  • Outbound calls via SuiteScript N/https with retry, exponential backoff and payload logging
  • Map/Reduce script for bulk backfill and nightly reconciliation that stays inside SuiteScript governance limits
  • Revenue write-back of invoiced, collected and open balance figures from Invoice, Credit Memo and Customer Payment records onto CRM deal properties
  • Sync-log custom record plus saved searches and optional saved-search email alerts for every failed or skipped record

Sobre este Produto

The problem

Marketing runs the funnel in a CRM. Finance runs revenue in NetSuite. Nobody can join the two.

A deal closes in the CRM, someone retypes it as a NetSuite sales order, and the two records drift apart within a week. The campaign that produced the pipeline is recorded on the CRM deal, but the invoice, the credit memo, the renewal and the eventual cash are in NetSuite — so nobody can answer "which campaign produced collected revenue last quarter?" without exporting two CSVs and joining them in a spreadsheet. Duplicate customers accumulate because sales creates a company record while finance creates a customer record, and neither knows the other exists. Sales reps ask AR for payment status and get a screenshot.

The usual fixes make it worse. A generic sync tool maps fields one-to-one and ignores the fact that a NetSuite customer in a OneWorld account belongs to a subsidiary, needs a currency, a terms record and a tax registration, and that a sales order needs valid item internal IDs, a location, and a price level. So the sync fails silently, or it creates half-formed records that finance has to clean up.

What ECOSIRE builds

ECOSIRE builds a bidirectional connector as a NetSuite customization in your own account. This is not a pre-built app you download — it is scoped to your record structure, your subsidiaries, your item catalogue and your deal stages, then built, installed and supported.

Identity and deduplication

A custom record (customrecord_eco_crm_link) holds the mapping between each CRM object id and the NetSuite internal id, with the object type, last sync timestamp, sync direction and last error. Every sync goes through this table rather than matching on name, so a company renamed in the CRM does not spawn a second NetSuite customer. Before creating a customer, the connector runs a saved search on email domain, companyname and custentity_* external identifiers to catch existing records, and routes ambiguous matches to a review queue rather than guessing.

Company and contact sync

CRM companies map to NetSuite Customer records (or Lead/Prospect/Customer depending on the deal stage, using the standard entitystatus progression). Contacts map to NetSuite Contact records attached to the parent customer through the contactroles sublist. In a OneWorld account the connector resolves the correct subsidiary from a mapping table you define — by CRM pipeline, by country, or by owning team — and sets currency, terms and salesrep from the same mapping. Custom entity fields carry the CRM record id, lifecycle stage, original source and campaign so they are queryable inside NetSuite saved searches.

Deal to sales order or estimate

When a deal reaches the stage you nominate, a User Event or the inbound RESTlet builds a NetSuite Estimate or Sales Order. Deal line items map to NetSuite item internal ids through a product mapping custom record covering inventory items, non-inventory sale items, service items and kits. Quantity, rate, price level, department, class, location and any custom segments are populated from the mapping and from deal properties. Orders land in a pending-approval state you choose, so nothing hits the ledger without a human. Where a deal has no clean item mapping, the connector writes it to an exception record instead of forcing a wrong item.

Revenue write-back and attribution

This is the half most integrations skip. A scheduled Map/Reduce script walks invoices, credit memos and customer payments linked to synced orders and pushes the values back onto the CRM deal and company as custom properties — invoiced amount, collected amount, open balance, first invoice date. A saved search on the NetSuite side reports pipeline source against posted revenue using the campaign and source fields stamped at creation, so attribution is answerable from either system.

Error handling and volume

Inbound calls arrive on a RESTlet secured with token-based authentication against a dedicated integration role whose permissions are limited to exactly the records in scope. Outbound calls use N/https with retry and backoff, and bulk work runs in Map/Reduce so a backlog of several thousand records processes within governance limits rather than dying at a usage exception. Every failure writes a row to a sync-log custom record with the payload, the NetSuite error and the retry count, surfaced in a saved search and an optional saved-search email alert.

Who this is for

Mid-market companies running NetSuite as the system of record with a separate marketing CRM owning the top of the funnel — typically SaaS, professional services, distribution and light manufacturing. It fits best where sales and finance both maintain customer data today and the duplication is causing real reconciliation work.

How delivery works

1. Scoping call. We walk your NetSuite account, your CRM pipelines and deal properties, subsidiary structure, item catalogue, and the direction each object should flow. We agree the field map and the exception behaviour in writing. 2. Fixed quote. You receive a fixed-price quote and a delivery schedule. No hourly drift. 3. Build. ECOSIRE develops the SuiteScript 2.1 project — RESTlets, Map/Reduce, User Event and Scheduled scripts, custom records, saved searches, the integration role and any SuiteFlow steps — against a sandbox refresh of your account. 4. Install in test. We deploy to your sandbox as an SDF project or unmanaged bundle, run the field map against real records with you, and iterate until the mapping is right. 5. Production. After your sign-off we deploy the same artefacts to production, configure script deployments and schedules, and run a supervised first sync. 6. Support. A support window follows go-live for defects and configuration adjustments, with the source and the SDF project handed to you so you are never locked out of your own customization.

Lead time is typically one working week from signed quote to production, depending on how many objects are in scope and how quickly sandbox access and field decisions come back.

Para quem é isso

NetSuite Administrator

Owns the account and inherits every duplicate customer and malformed sales order that a naive sync creates. This connector routes ambiguous matches to a review queue, logs every failure with the payload, and hands over readable SuiteScript they can maintain rather than a black box.

VP of Marketing

Reports pipeline created by campaign but cannot show which campaigns produced invoiced or collected revenue, because that data never leaves NetSuite. The revenue write-back pushes invoiced, collected and open balance figures back onto the deal so attribution is reportable from the CRM side.

Financial Controller

Spends month-end reconciling sales orders that sales entered twice and chasing missing subsidiary or currency values on new customers. Mapped subsidiary, currency and terms plus an approval-gated order creation mean nothing reaches the ledger without valid dimensions and a human check.

Perguntas frequentes

Is this ready to download and install today?
No. Every ECOSIRE NetSuite app is build-to-order. After a scoping call we issue a fixed quote, then build the customization against your account. Typical lead time is one working week from signed quote to production deployment, driven mainly by how many objects are in scope and how fast sandbox access and field-mapping decisions come back to us.
Which NetSuite versions and editions are supported?
Current NetSuite releases running SuiteScript 2.1, on both standard NetSuite and OneWorld. SuiteCloud Development Framework and token-based authentication must be enabled, and the account needs the SuiteScript and Web Services / REST Web Services features on. OneWorld adds subsidiary, currency and tax-registration mapping to the scope. If your account is on a locked-down or heavily bundled configuration we confirm compatibility during scoping before quoting.
How do you stop the sync creating duplicate customers?
Two mechanisms. First, a persistent link record stores the CRM object id against the NetSuite internal id, so identity survives renames on either side. Second, before any create, the connector runs deduplication saved searches on email domain, companyname and any custom identifier you nominate. When the result is ambiguous the record goes to an exception queue for a human decision instead of being created or silently merged.
Will deals automatically become approved sales orders that post to the ledger?
Only if you ask for that. By default a qualifying deal creates an Estimate or a Sales Order in a pending-approval status you nominate, so a person reviews it before anything moves. We can wire the transition through SuiteFlow to match your existing approval routing, including subsidiary-specific approvers.
What happens when a deal contains a product that has no NetSuite item?
The connector does not guess. The line is written to an exception record with the deal id, the unmapped product and the reason, and the order is either held or created without that line depending on the rule you choose during scoping. Your administrator adds the mapping in a custom record and re-runs the batch — no code change or redeployment needed.
Who owns the code, and what happens if we want to change it later?
You do. Delivery includes the full SuiteScript 2.1 source as an SDF project plus the unmanaged bundle, installed in your own account. Because the bundle is unmanaged, your team or any developer you choose can modify the scripts and redeploy. ECOSIRE provides a post-go-live support window for defects and configuration changes, and you can engage us for later enhancements, but you are not dependent on us to keep running.
