Nonprofits run on money that comes with strings attached. Donors restrict gifts to specific programs, grantors demand budget-versus-actual reports on their own fiscal calendars, and boards want to see fund balances the way a treasurer thinks about them, not the way a for-profit P&L presents them. Out of the box, Odoo Accounting is built for commercial trading: customer invoices, vendor bills, and a single retained-earnings model. There is no native concept of a restricted fund, a donor-acknowledgement receipt, a grant with reporting deadlines, or a program that must never overspend its earmarked money. Teams end up bolting fund tracking onto analytic accounts and side spreadsheets, which breaks the moment an auditor asks to see the release of restriction on a specific grant.
This is a build-to-order module that ECOSIRE designs and builds to fit how your organization is actually structured. Technically, we introduce first-class models: a restricted-fund model, a grant model with reporting schedules, and a donation/contribution model, each defined as a models.Model with proper fields, @api.depends computes for live fund balances and restriction-release amounts, and _inherit extensions on res.partner (donor stewardship fields, lifetime giving, tax-receipt history) and account.move / account.move.line (fund and grant tags on journal items). Restricted-fund rules are enforced server-side with @api.constrains and automated actions (ir.actions.server) so an expense cannot post against a fund that lacks available balance, and temporarily-restricted revenue releases to unrestricted only when the associated program condition is met.
On top of the data model we build the operational surface your team actually uses: OWL/XML form and list views for gift entry and pledges, a fund-balance dashboard, and QWeb PDF reports for donor tax receipts, grant budget-vs-actual, and a statement of functional expenses that maps expenses across program/administrative/fundraising columns. Security is scoped through ir.model.access.csv plus record rules so program managers see only their funds while finance sees everything, and multi-company record rules keep chapters or entities separated. Where you already collect gifts online or run a CRM, we wire the module to those systems over Odoo's XML-RPC / JSON-RPC API so donations flow in without re-keying. Everything is delivered as a versioned addon compatible with your Odoo edition, and we are explicit about Community vs Enterprise: fund accounting and receipts work on Community, while some analytic and consolidation conveniences lean on Enterprise features, which we confirm during scoping.
Because this is made to order, nothing is downloaded from an app store and switched on the same afternoon. We start with a scoping call to map your chart of accounts, fund structure, grant reporting cadence, and integrations, then build against your Odoo version (17.0, 18.0, or 19.0), test on a staging database, run UAT with your finance team, and deploy with a rollback plan. Typical delivery is 2 to 4 weeks from confirmed scope. Pricing starts from $349 (indicative, single-company base scope); multi-entity/chapter consolidation, deeper grant-reporting logic, third-party donation-platform integrations, and historical data migration volume increase the quoted scope. You receive a fixed quote after the scoping call, never a surprise on the invoice.
Owns the audit and the 990/statutory filing. Needs restricted-fund balances that reconcile to the GL, a Statement of Functional Expenses, and grant budget-vs-actual reports without maintaining parallel spreadsheets.
Manages donors, pledges, and stewardship. Needs accurate lifetime giving, timely tax-acknowledgement receipts, and gifts flowing in from the online donation platform without manual re-entry.
Accountable to funders for how restricted money is spent. Needs to see the available balance on each grant, spend-down against the funder budget, and reporting-deadline visibility scoped to only their programs.
Already administers the Odoo instance and wants fund accounting delivered as a clean, maintainable addon with proper security rules and a git handover, not a pile of manual analytic-account workarounds.
| Criterion | ECOSIRE | Custom Build | Competitor | Odoo Native |
|---|---|---|---|---|
| Restricted fund model | First-class fund models with computed balances and release-of-restriction logic | Possible but you design and maintain the model yourself | Often reuses analytic accounts; limited true fund semantics | |
| Overspend prevention | Server-side `@api.constrains` blocks posting against under-funded restrictions | Only if your developers build and test the constraints | Rarely enforced at the ledger level | |
| Donor receipts | QWeb PDF tax-acknowledgement and year-end statements with statutory wording | Build QWeb templates from scratch | Generic receipt if offered; wording may not fit your jurisdiction | |
| Grant budget vs actual | Grant model with reporting schedule and spend-down report | Bespoke build and ongoing maintenance | Basic tracking, often no funder-calendar reporting | |
| Functional expense reporting | Program/admin/fundraising Statement of Functional Expenses | You define the mapping and report yourself | Column tagging may be partial | |
| Fit to your structure | Scoped to your chart of accounts, funds, and workflows | Fully tailored but you own all decisions and risk | Configure within the vendor's fixed assumptions | |
| Security scoping | Record rules limiting managers to their funds; finance sees all | Depends on your team's rule design | Coarse-grained access typical | |
| Support and handover | Training, post-go-live window, git repo and source handover | Whatever your contractor agrees to | Vendor support tier; source usually closed |
No. This is a build-to-order module. ECOSIRE scopes it to your fund structure, chart of accounts, and reporting needs, then builds, tests, and installs it for you. It is a productized service, not an existing app-store download.
Typical delivery is 2 to 4 weeks from confirmed scope. After the scoping call we build against your Odoo version, test on a staging database, run UAT with your finance team, and deploy with a rollback plan. Larger data migrations or multi-entity consolidation can extend the timeline, which we state in the quote.
Pricing starts from $349 as an indicative single-company base scope. Drivers such as multi-entity/chapter consolidation, deeper grant-reporting logic, donation-platform integrations, and historical data migration volume increase the quoted scope. You receive a fixed quote after the scoping call, so there are no surprises on the invoice.
Every build includes a post-go-live support window for defect fixes and configuration adjustments, plus the full source in a git repository so any developer can maintain it. We can quote an ongoing support and Odoo-version-upgrade retainer separately if you want us to keep it current across future releases.
Core fund accounting, donor receipts, and grant tracking run on Community. Some analytic and consolidation conveniences lean on Enterprise features. We confirm exactly what your edition supports during the scoping call and build to that reality rather than assuming.
Yes, where an API exists. We wire the module to external systems over Odoo's XML-RPC / JSON-RPC API so gifts flow in without re-keying. The specific integration is scoped based on the platform and the data you want synced.
Yes. We enforce restriction rules server-side with `@api.constrains` so an expense cannot post against a fund without available balance, and automated actions release temporarily-restricted revenue to unrestricted only when the program condition is met.
