A deal closes in Zoho CRM and the same facts are typed into QuickBooks all over again: customer, address, items, price. Sales cannot see whether the invoice has been sent or paid without asking finance. Finance cannot see what was promised without opening the CRM. Customer records drift apart, and the first sign is a duplicate customer or an invoice to an old address.
If you are open to changing accounting systems, Zoho's own accounting product sits natively beside the CRM, and that is a legitimate answer (our QuickBooks to Zoho Books migration toolkit exists for it). This integration is for the businesses that are staying on QuickBooks Online and want the CRM and the books to agree.
What ECOSIRE builds
We build a two-way integration between Zoho CRM and QuickBooks Online, scoped to the modules and fields you use. It is built on the Zoho CRM API and the QuickBooks Online Accounting API, with OAuth 2.0 authorisation on both sides.
One customer, matched on a rule you agree
Accounts and Contacts in Zoho CRM are paired with Customers in QuickBooks Online using a key we settle with you: a tax or company identifier, an email address or an explicit link field, but not the name by itself. The QuickBooks customer ID is stored on the CRM record and the CRM record ID is stored on the QuickBooks customer, so a re-run updates instead of duplicating. A duplicate-candidate queue holds ambiguous matches for a person to decide.
Items and pricing
Products in Zoho CRM are linked to Items in QuickBooks, so a quote line and an invoice line mean the same thing and post to the right income account. Price differences are reported rather than silently overwritten.
From quote to invoice
A Zoho CRM quote, or a deal moved to the stage you choose, creates an Estimate or an Invoice in QuickBooks Online with the mapped customer, items, quantities, tax code and terms. Scoping settles which stage creates which document, and whether finance gets a draft or a sent one. Each document carries the CRM deal reference so it can be traced back.
Payment status back to sales
What QuickBooks knows about an invoice (its status, balance, due date and any payments received) comes back to the Deal or to a custom invoice module in Zoho CRM. A rep can see paid, part paid or overdue at a glance, and CRM workflows can respond to it.
Sync you can supervise
QuickBooks change notifications, backed by a scheduled reconciliation, keep the two in step. Each sync is written to a custom CRM module, so an administrator can see what failed and why, and retry that one record.
Who this is for
Businesses that sell in Zoho CRM and keep their books in QuickBooks Online, and are tired of typing the same customer twice. It suits teams that work from quotes or recurring invoices, and finance teams that want a customer and item list that matches the CRM.
How delivery works
1. Scoping call. We go through your CRM modules, your QuickBooks company, tax setup, items and the stages that should create documents. 2. Written quote. Scope, exclusions, assumptions and the delivery date are fixed in writing before we start. 3. Build against sandboxes. We build against a Zoho CRM sandbox and a QuickBooks Online sandbox company with copies of your real record shapes. 4. Reconciliation and acceptance. Customers and items are reconciled and reviewed with you before any live document is created. 5. Go-live and support. Production sync is switched on and we remain available through your first billing cycle.
What this is not
This is not a marketplace add-on you install in an afternoon. It is written for your CRM organisation and your QuickBooks company after a scoping call, against a quote that fixes scope, exclusions and the delivery date. It does not decide your accounting policy or replace your accountant, and it targets QuickBooks Online: QuickBooks Desktop follows a different integration path and is scoped separately.
