इस उत्पाद के बारे में
HubSpot already has a QuickBooks Online integration available, and for many companies it is the right place to start: try it first. The reason this page exists is the companies that tried it and still re-key. Their deals carry several product lines with different income accounts, their invoices follow a billing schedule rather than a single close date, they invoice from more than one legal entity, or they need to decide in HubSpot which deals are billable at all. At that point the question becomes one of mapping, and mapping is what we build.
Meanwhile the symptoms are the same everywhere: finance asks sales for the details of a closed deal, sales asks finance whether an invoice has been paid, and the customer's address is different in the two systems.
What ECOSIRE builds
A custom integration between HubSpot and QuickBooks Online, built on the HubSpot CRM API (with a private app and the scopes it needs) and the QuickBooks Online Accounting API (OAuth 2.0). Scope is set by your pipeline, not by a template.
Company and contact to customer, matched deliberately
Each HubSpot Company is paired with a QuickBooks Customer by a key chosen in scoping, never by name alone, and the pairing is kept as a property on the company and a reference on the customer. Anything unclear is held for a person to review. Billing addresses, terms and tax treatment are mapped so an invoice is correct the first time.
Closed-won deals to invoices, on your rules
A deal reaching the stage you name, and passing the checks you define (a billable flag, a complete billing address, a customer match), creates an invoice in QuickBooks Online. Line items on the deal are mapped to QuickBooks Items and income accounts. Billing schedules, such as deposits, instalments and recurring periods, are created from deal properties. You decide whether finance receives a draft or a sent document; either way the invoice carries the HubSpot deal reference.
Multiple entities and classes
Where you invoice from more than one QuickBooks company, or use classes and locations, the deal's properties choose the target, with a rule for the case where they are missing, rather than a default that quietly posts to the wrong books.
Payment status back to the deal
The invoice number and its status, balance, due date and receipts are written into deal properties or a custom object in HubSpot, so the deal itself shows whether it has been paid, and HubSpot workflows can respond to a late or settled invoice.
A log you can read
Every sync action is logged with its outcome where an administrator can read it, and a single failed record can be retried on its own. Webhook subscriptions or workflow actions start the work, depending on your HubSpot subscription tier, and a scheduled reconciliation picks up anything missed.
Who this is for
Companies selling through HubSpot with their books in QuickBooks Online, whose billing goes beyond what a standard connector handles: several product lines, instalments, more than one entity or a billable-deal rule. If a standard connector fits, use it.
How delivery works
1. Mapping review. We look at your pipeline, deal properties, QuickBooks items, accounts and entities, and at what the standard connector left you doing by hand. 2. Quote. You receive a written scope with exclusions, assumptions and a delivery date, and nothing is built until you accept it. 3. Test-account build. Everything is built against a HubSpot test or developer account and a QuickBooks Online sandbox company. 4. Dry run. Customers and items are reconciled first, then a batch of your real deals is run through to draft invoices for you to inspect. 5. Production. Sync goes live and we are on hand for your first billing cycle.
What this is not
It is not a second copy of the standard connector and it is not a download. The build covers only the mapping gaps we find together in scoping, against a written quote with scope, exclusions and a delivery date. Your accountant still owns accounting policy. It targets QuickBooks Online; QuickBooks Desktop is a different integration path and is scoped on its own.
What you get
- Integration code and settings deployed to your hosting, with a description of each function
- Mapping sheet covering customers, items, accounts, terms and entities, approved by you ahead of any production write
- Billable-deal rules and billing-schedule definitions agreed in scoping, with a worked example of each
- A customer and item reconciliation report, with each ambiguous match settled with you before go-live
- Evidence from the HubSpot and QuickBooks test accounts, including how a failure and its retry behaved
- HubSpot administrator guide: retrying records, reconnecting authorisation and the faults we have planned for
- Handover training for sales operations and finance
Who this is for
RevOps Lead
Owns the HubSpot pipeline and needs closed-won deals to become correct invoices according to rules that live in the pipeline, not in someone's memory.
Finance Manager
Wants every invoice to carry the right items, income accounts and entity, and to be traceable to the deal that produced it.
HubSpot Administrator
Wants a documented integration with a readable log in place of the workflow and spreadsheet patchwork that grew around the standard connector.
How HubSpot QuickBooks Integration Compares
| Criterion | ECOSIRE | मैन्युअल विकल्प |
|---|---|---|
| Which deals become invoices | Only deals that pass your billable and data-quality checks | Whatever finance notices |
| Product lines and accounts | Deal line items mapped to QuickBooks items and income accounts | Free-text invoice lines |
| Billing schedules | Deposits, instalments and recurring periods from deal properties | Built by hand each time |
| More than one entity | Target chosen from deal properties, with a rule when missing | Everything posts to a default |
| Payment visibility for sales | Status and balance on the deal | Ask finance |
| Seeing a failure | Sync log with per-record retry | Found when a customer complains |
Frequently Asked Questions about HubSpot QuickBooks Integration
Is this a ready-made connector?
No. It is a custom build for your HubSpot account and QuickBooks Online company, quoted in writing after scoping. Nothing is pre-built or available for download.
HubSpot already has a QuickBooks integration. Why would we need this?
You may not. If the standard integration does what you need, use it. This is for the cases it does not cover for you, such as several product lines with different accounts, billing schedules, more than one entity or a billable-deal rule, and we will tell you in scoping if the standard connector already fits.
Does it work with QuickBooks Desktop?
This integration targets QuickBooks Online. QuickBooks Desktop uses a different integration path, so it is scoped separately and the quote says so.
Which HubSpot subscription do we need?
That depends on the triggers in scope and on HubSpot's own plan terms, which HubSpot controls. We confirm it against your account during scoping, and where a feature needs a higher tier we propose an alternative trigger.
Will invoices be sent automatically?
Only as far as you want. Most teams start with drafts for finance to review and move well-understood cases to automatic sending later.
What stops a duplicate customer?
Matching is on a rule we agree, never on a name alone, and ambiguous matches go to a review queue. Nothing is merged automatically.
