À propos de ce produit
Equipment rental is not selling stock — it is selling time on an asset that must come back, get inspected, get serviced and go out again. ERPNext core gives you Item, Serial No, Asset, Sales Order, Delivery Note and Maintenance Schedule, but none of them answer the question a hire desk fields fifty times a day: is this 5-tonne excavator actually free from the 14th to the 22nd, and if not, what is the nearest equivalent? A native Sales Order has no reservation window, the Stock Ledger has no concept of an asset that is owned but physically unavailable because it is on hire, rate cards collapse into a single Item Price rather than daily/weekly/monthly tiers with minimum-hire rules, and there is nowhere to record that the unit came back with a cracked screen and forty hours on the meter. Rental firms end up running the real business on a whiteboard and a spreadsheet while ERPNext holds only the invoice.
ECOSIRE builds a proper Frappe application — its own app on the bench, its own module, its own DocTypes — rather than a pile of Custom Fields bolted onto Sales Order. The core is a submittable Rental Contract DocType with a child table of hired units, each line carrying an equipment-unit link (backed by ERPNext Serial No or Asset, your choice at scoping), off-hire and on-hire datetimes, a rate card line and a computed charge. A whitelisted get_availability() method runs the overlap query against every open contract line and blocks a double-booking in validate, so the reservation board and the REST API tell exactly the same truth. Rate cards live in a Rental Rate Card DocType with tiered daily, weekly and monthly rates, minimum hire period, part-day rules, and customer- or contract-specific overrides; pricing resolution is a single server-side function, so the availability board, the quotation and the sales invoice can never diverge. Delivery and pickup become their own Rental Movement documents — out, return, exchange, site transfer — with driver, vehicle, planned window, signature capture and a condition checklist that writes back to the unit.
The technical wiring is deliberately conventional Frappe so your own team can maintain it. Doc events registered in hooks.py on Rental Contract and Rental Movement post the stock and accounting effects: on off-hire the unit's status flips and a Delivery Note or Stock Entry records the physical move; on return the condition checklist decides whether the unit re-enters the available pool or drops to Under Repair and raises an ERPNext Maintenance Visit or Job Card. Damage charges post as additional lines on the rental invoice with their own Item and tax treatment. Scheduler events run the overdue-return sweep, generate periodic hire invoices on long-running contracts, and refresh a nightly utilization snapshot so reports read a materialized table instead of scanning ledgers. Client scripts drive the reservation board — a calendar/Gantt view with drag-to-reserve — but every write goes through the same whitelisted methods any integration would call, so a telematics feed, a driver app or a customer portal inherits identical rules and identical permissions.
Permissions are modelled as real role profiles — Hire Desk, Yard and Logistics, Workshop, Rental Manager, Accounts — with user permissions scoping depot, branch or company so a branch controller sees only their own fleet. Reporting ships as Query and Script Reports plus a rental dashboard: utilization by unit, category and depot (on-hire days over available days, with workshop and off-fleet days excluded honestly rather than flattered), revenue per unit and per category, idle-asset aging, overdue returns, damage recovery and forward committed hire. Everything targets Frappe/ERPNext v15 and v16, is tested on the version you actually run, and ships as a versioned app with migration patches so bench update and bench migrate stay routine.
This is a build-to-order product, not a marketplace download. You request a quotation, we run a scoping call and agree in writing exactly which DocTypes, statuses, rate rules, movement types, integrations and reports belong in the first release, and we build against that scope. Typical delivery is one working week from confirmed scope. We install on a staging site first, run UAT with your hire desk and yard staff, then deploy to production with a documented rollback plan, hand over the git repository, and stay with you through an agreed post-go-live support window.

Pour qui c'est
Hire Desk Manager
Answers availability questions all day and needs one board that is authoritative. Wants to see which units are free for a date range, hold a reservation with no double-booking risk, and quote straight off the rate card instead of phoning the yard.
Operations / Fleet Director
Owns utilization and return on capital. Needs honest utilization by unit, category and depot with workshop and off-fleet days accounted for, plus idle-asset aging and revenue-per-unit so purchase and disposal decisions rest on data rather than instinct.
Yard and Logistics Supervisor
Schedules delivery and pickup runs, assigns drivers and vehicles, and needs condition checklists and signatures captured at handover so damage disputes have evidence attached to the movement record.
Workshop / Maintenance Lead
Receives damaged and due-for-service units and needs them held out of the available pool until sign-off, with the servicing job linked to the return that caused it and parts and labour costed back to the asset.
Comment Equipment Rental Management se compare
| Critère | ÉCOSIRE | Construction personnalisée | Concurrent | Natif ERPNext |
|---|---|---|---|---|
| Availability and double-booking prevention | Server-side overlap check in `validate` plus a drag-to-reserve board; UI and API enforce the identical rule | Achievable, but the overlap query and its race conditions are exactly where in-house builds leak | Often a calendar view only, with the check in client script and bypassable via API or import | No reservation window at all — Sales Order has no concept of an asset being out on hire |
| Rate cards and pricing | Tiered daily/weekly/monthly with minimum hire and customer overrides, resolved by one shared server function | Usually starts simple and fragments as pricing rules are duplicated across quote and invoice paths | Fixed tier structure; overrides and part-day rules typically require forking the app | Item Price is a single unit rate — no duration tiers, no minimum-hire logic |
| Delivery, pickup and condition capture | Dedicated Rental Movement DocType with driver, vehicle, signature and a checklist that writes back to the unit | Often deferred to phase two, leaving damage disputes resting on WhatsApp photos | Commonly a status field on the contract rather than a movement document with its own audit trail | Delivery Note records the stock move only — no condition, meter reading or return inspection |
| Damage and servicing flow | Return checklist drops the unit to Under Repair, raises the Maintenance Visit / Job Card and recharges damage as invoice lines | Buildable, but linking return to workshop to recharge is the part in-house versions usually skip | Damage typically a free-text note; a workshop hold rarely blocks re-hire | Maintenance Schedule exists but is neither triggered by nor linked to a rental return |
| Utilization reporting | Nightly materialized snapshot; on-hire over available days with workshop and off-fleet time excluded, by unit, category and depot | Reports written against live ledgers get slow and are rarely reconciled back to finance | A headline utilization number, usually without honest handling of workshop or off-fleet time | No utilization concept — you export to a spreadsheet and compute it by hand |
| Permissions and multi-depot | Named role profiles plus user permissions scoping depot, branch or company | Permission modelling is usually retrofitted after the first branch complains | A single generic role; branch scoping normally needs customisation anyway | Standard ERPNext roles with no separation of hire desk, yard and workshop |
| Integration surface | Whitelisted methods and REST endpoints shared by UI, telematics, driver app and portal, with identical validation | Business logic tends to live in client scripts, so API writes bypass the rules | Limited or undocumented endpoints; integration often means database-level writes | Full Frappe REST API, but no rental logic behind it to call |
| Upgrades and ownership | Versioned app with migration patches, tested on v15/v16, full git repo handover and a support window | You own it and you also own every upgrade break, usually undocumented | Upgrades follow the vendor roadmap; forking for your rules forfeits future releases | Upgrades stay clean, but the rental gap remains permanently unaddressed |
Foire aux questions sur Equipment Rental Management
How long does delivery take?
This is a build-to-order product. Typical delivery is one working week from confirmed scope. The clock starts after the scoping call, once we have written agreement on the DocTypes, rate rules, movement types, integrations and reports in the first release — not from the date you request a quotation. Larger scopes such as telematics feeds, a customer portal or multi-company depot structures are phased and quoted with their own timeline.
Is this an existing app I can download today?
No. It is not a Frappe Cloud Marketplace listing and there is no instant download. ECOSIRE builds it for your ERPNext instance, installs it and supports it. You receive the full source code and the git repository at handover, so you are never locked to us for maintenance.
Which ERPNext and Frappe versions are supported?
Frappe/ERPNext v15 and v16. We build and test against the exact version and bench configuration you run in production — Frappe Cloud, a self-hosted bench or a containerised deployment. If you are mid-upgrade, we scope against your target version and supply the migration patches.
What happens to support and updates after go-live?
Every engagement includes a post-go-live support window, agreed in writing at scoping, covering defect fixes and configuration adjustments. After that we offer an ongoing support and maintenance agreement including compatibility work for ERPNext point releases and major-version upgrades. Because you hold the repository, your own team or another partner can also take it on.
Does it use ERPNext Serial No, Asset, or its own equipment record?
Your choice, decided at scoping. Most plant hire firms link each rentable unit to an ERPNext Asset (for depreciation and capitalised maintenance) and use Serial No for stock-tracked accessories. We model the equipment unit as a link so the rental logic works either way, and so utilization and revenue roll up to the same asset your finance team already reports on.
Can it integrate with telematics, a driver app or a customer portal?
Yes. Every operation the UI performs goes through whitelisted server-side methods, so the Frappe REST API exposes the same validated behaviour with the same permissions. Meter readings from telematics can post to the unit record and drive service intervals, a driver app can complete Rental Movements with signatures, and a portal can expose availability and open contracts to customers. Each integration is scoped and quoted separately.
How do you handle long-running hires and periodic invoicing?
A scheduler event generates periodic hire invoices on open contracts at the interval you configure — weekly, monthly, or on the anniversary of off-hire — using the same pricing resolver as the quotation, with proration and minimum-hire rules applied. On final return, the closing invoice reconciles actual on-hire dates, damage charges and deposit release in one document.
