We build a dedicated student.organization module that models this domain natively. A new student.organization model carries the org category (academic, cultural, sports, service), lifecycle status, faculty advisor (Many2one to hr.employee or res.users), and a Many2many roster of student members. Officer positions are their own student.organization.role model — president, secretary, treasurer — with @api.depends computed term dates, so seats are first-class records with history rather than free-text fields. Roster size, active-officer counts, and vacancy flags are compute fields that stay correct automatically. Chartering and event requests run through Odoo automated actions and activity scheduling so advisors approve, and audit trails are captured in the chatter (mail.thread).
Technically, the build ships as a proper Odoo module: __manifest__.py declaring dependencies (base, mail, contacts, optionally calendar and account for dues), models under models/ extending models.Model, security wired through ir.model.access.csv plus record rules so a club advisor sees only their organizations, backend views in XML/OWL (list, form, kanban board of clubs by category), and QWeb reports for a printable membership roster or officer directory. Events link to calendar.event; optional dues integrate with account.move for invoicing membership fees. Everything is reachable over the standard XML-RPC / JSON-RPC API for your student information system to sync rosters.
