Your product is configurable. The quote is a spreadsheet.
A rep picks options that cannot physically be built together. A required accessory is left off and shows up as a shortage on the shop floor. Pricing is copied from a quote issued eight months ago at a discount nobody approved. Margin is discovered after the deal, in a variance report. And when the customer says yes, someone rebuilds the whole thing by hand as a NetSuite Estimate and then again as a Sales Order, with a fresh chance to get it wrong at each step.
The cost is not just the rework. It is the quotes that were wrong before they were sent, and the discounts that were never anyone's decision.
A configure-price-quote engine that lives inside NetSuite, drives a guided configuration experience, enforces your real product and pricing rules, and produces a clean Estimate — no spreadsheet in the path.
We model your configurable products as data, not as code, so your team can change them without a developer. Custom records hold option groups, options, and the relationships between them: requires, excludes, implies, at-least-one-of, and quantity dependencies. Each option resolves to a real NetSuite Item — inventory, assembly, kit or non-inventory as appropriate — with its own units of measure and item pricing.
Where a configuration produces a manufactured product, the engine can resolve the selected options to an assembly item and a component list, so what was quoted is what gets built.
A Suitelet configurator walks the rep through option groups in a defined sequence. Invalid combinations are disabled as they are selected, not rejected after submission, and each block states which rule caused it. The running configuration shows list price, applied discounts, net price and margin live, so the rep sees the commercial consequence of a choice at the moment they make it — not after approval routing.
Guided-selling questions can front-run the technical options: answer what the customer is trying to achieve, and the configurator narrows the valid option set accordingly.
Pricing is rule-driven and evaluated server-side so it cannot be edited in the browser. The engine supports:
Every calculated line records which rules fired and in what order. When someone asks why a line is priced the way it is, the answer is on the record.
Discount authority is enforced, not advisory. Thresholds are configured per role, per product family and per margin floor, and the engine evaluates the whole quote — not just the worst line — before deciding routing. SuiteFlow handles the approval chain with escalation by discount depth or margin breach, and the quote is locked against edits while an approval is pending, so nothing changes underneath an approver.
Approvers see the configuration, the applied rules, the resulting margin and the requested exception in one place, and their decision is recorded against the quote.
An approved configuration becomes a NetSuite Estimate with correct line items, quantities, prices and segment values — Subsidiary, Department, Class, Location and any custom segments you post to. Customer-facing quote documents are generated as PDFs with your branding and the configuration summary. On acceptance, the Estimate converts to a Sales Order with the configuration carried through intact, including the component detail needed downstream.
Re-quoting is first class: any quote can be copied and reconfigured, with current pricing re-evaluated and the differences from the original shown explicitly.
User Event scripts prevent post-approval tampering and prevent an unconfigured or rule-violating line reaching a Sales Order. Saved searches and a dashboard portlet cover quote-to-close rate by configuration, average discount by rep and product family, margin distribution, approval turnaround, and the option combinations that are quoted most and won least.
Manufacturers and distributors whose products have real option complexity — machinery, equipment, assemblies, configured systems, service packages with tiered components. It fits organisations where discount authority is a policy that currently exists only in an email, and where the same configuration knowledge lives in two or three experienced heads.
If your catalogue is a flat list of items sold at list price, you do not need this and we will say so.
1. Scoping call. We work through your actual product structure, the option rules as they really are including the exceptions, your pricing logic, your discount authority matrix, and your NetSuite edition and OneWorld status. Configurable-product rules are almost always more nuanced than the first description — this session is where that surfaces. 2. Fixed quote. A written scope covering the product model, the rule types supported, the pricing rule set, approval matrix, quote output and Sales Order handoff, plus what is out of scope. Price fixed against that document. 3. Build. Developed as an SDF project against your sandbox account, with the product and pricing model as configuration on custom records so you are not dependent on us for rule changes. 4. Install in test. Deployed to sandbox and loaded with your real product data. Your sales team quotes live deals in parallel with their current process — that comparison is what proves the rules are right before anything reaches a customer. 5. Install in production. After sign-off, deployed as an unmanaged bundle or SDF deployment, typically rolled out to one product family or one team first. 6. Support. A defined support window for defect fixes and rule adjustments, plus training for reps, approvers and the admin who will own the rule tables afterwards.
You own everything: SuiteScript 2.1 source, custom records, the rule data, the saved searches, delivered as an SDF project with no licence key.
A CPQ engine encodes rules you already have. Where those rules are undocumented, contradictory or held only in an expert's judgement, the build surfaces the ambiguity and someone on your side has to decide. That work is real and we scope time for it — but we cannot decide your commercial policy for you, and any vendor who says they can is selling you a longer project than the one they quoted.
A short call to confirm the workflow, your platform version and where the integration boundaries sit.
You receive a written scope and a fixed price. Nothing is built until you approve it.
We develop against a copy of your configuration and test it there. Typically two to four weeks.
We install on your instance, hand over the source, and support it for twelve months.
Rebuilds the same configurations in a spreadsheet and is the last line of defence against a rep quoting a combination that cannot be built. The configurator enforces the compatibility rules directly, so invalid options are blocked at selection and their expertise is encoded once rather than re-applied deal by deal.
Discovers unapproved discounting after the quarter closes and cannot see which product configurations actually convert. Discount authority is enforced before a quote leaves the building, and saved searches show win rate by configuration, discount by rep and margin distribution across the pipeline.
Receives Sales Orders whose configuration does not resolve cleanly to a buildable assembly, then chases sales for clarification while the schedule slips. Approved configurations carry through to the Sales Order with resolved assembly and component detail, so what was sold matches what can be built.
