Built for your chart of accounts after a fixed quote. Built to order by ECOSIRE for Oracle NetSuite (build-to-order) — indicative price from $999.00 USD; request a quote for a scoped proposal.

Sage to NetSuite Migration Toolkit — A build-to-order toolkit that extracts, maps, stages and loads Sage master data, dimensions and multi-year transactional history into NetSuite, with reconciliation reports at every step

What we build

  • Staging custom records with source system, source key, batch id, row hash, validation status and error text on every row
  • Editable mapping custom records for account codes, dimensions, entities, tax codes and item codes — no code change to remap
  • Sage dimension to NetSuite department, class, location and custom segment translation with per-value overrides
  • Chart of accounts load with account type, parent hierarchy and subsidiary restriction in OneWorld
  • Customer, vendor, contact and employee load via Map/Reduce with duplicate detection against existing NetSuite records
  • Item master load supporting inventory, non-inventory, service, assembly and kit item types with costing method
  • Open AR load as Invoice and Credit Memo records with original dates, terms and payment application so aging is correct at go-live
  • Open AP load as Vendor Bill, Vendor Credit and Bill Payment records with the same date and application fidelity
  • Historical GL load as period-batched Journal Entries, including intercompany handling for OneWorld accounts
  • Inventory load as Inventory Adjustment or Item Receipt transactions carrying quantity and cost by item and location
  • Reconciliation saved searches for trial balance by account and period, AR and AP aging, inventory value and per-batch control totals
  • Batch reversal and re-run capability so a failed or rejected load is rolled back and reloaded rather than unpicked record by record

The problem

The decision to leave Sage is easy. The history is what stalls the project.

Masters are the visible part — customers, vendors, items, employees, the chart of accounts. The part that kills timelines is everything underneath. Sage dimensions, departments, cost centres and locations do not map cleanly onto NetSuite's department, class, location and custom segment model, and the mapping has to be decided line by line before a single journal can load. Open AR and AP have to arrive as real open transactions so aging and collections work on day one, not as a lump-sum opening balance. Multi-year GL history has to tie to the trial balance you signed off in Sage, per period and per subsidiary, or the first month-end in NetSuite becomes an audit. Bank reconciliations, partially applied payments, credit notes, prepayments, foreign-currency revaluation and inventory cost layers all have to land somewhere defensible.

And it has to be repeatable. Nobody migrates once. You run it in sandbox, find twelve mapping errors, fix them, and run it again — and again — until the reconciliation is clean, then you run it one final time on cutover weekend under time pressure.

What ECOSIRE builds

ECOSIRE builds a migration toolkit inside your NetSuite account as a SuiteScript 2.1 project. This is not a downloadable product. It is engineered around your specific Sage configuration, your chart of accounts and your dimension structure, then built, run with you, and supported through cutover.

Extract and staging

Sage data arrives as structured exports — CSV, ODBC extract or API payload depending on which Sage product and deployment you run. Everything lands first in NetSuite staging custom records (customrecord_eco_mig_stage_*) with the source system, source record key, batch id, row hash, validation status and error text on every row. Nothing is written to a real NetSuite record until its staging row has passed validation. This is what makes the migration re-runnable: you reload a batch, revalidate, and only the rows that changed move.

Mapping layer

A set of mapping custom records holds every translation decision as data rather than code: Sage account code to NetSuite account internal id, Sage dimension value to department, class, location or a custom segment, Sage customer and vendor codes to NetSuite entity internal ids, Sage tax codes to NetSuite tax codes, Sage item codes to NetSuite item internal ids and item types. Your finance team edits these in the NetSuite UI. Changing a mapping never requires a code change or a redeployment, which matters when you are on the third rehearsal and the controller changes their mind about cost centres.

Master data load

Customers, vendors, contacts, employees, items and the chart of accounts load through Map/Reduce scripts with per-record validation — required fields, subsidiary assignment in OneWorld, currency, terms, tax registration, item type and costing method. Duplicate detection runs against existing NetSuite records so a partially completed run does not create a second copy of every customer.

Transactional history

Open AR loads as Invoices and Credit Memos with original dates, terms and applied payments so aging buckets are correct from go-live. Open AP loads as Vendor Bills, Vendor Credits and Bill Payments. Historical GL loads as Journal Entries batched by period and subsidiary, with intercompany handling where OneWorld requires it. Inventory arrives as Inventory Adjustments or Item Receipts carrying quantity and cost so valuation is right, and open sales and purchase orders load as live transactions where you need fulfilment continuity. Everything is written through Map/Reduce so multi-year volume completes within SuiteScript governance rather than timing out.

Reconciliation

Every load produces reconciliation saved searches comparing NetSuite to the Sage source: trial balance by account and period, AR aging total and by customer, AP aging total and by vendor, inventory quantity and value by item and location, and a row-count and control-total report per batch. A variance report lists every difference with its source key so it can be traced back to the exact Sage row. Cutover sign-off is a document, not an opinion.

Cutover support

We run at least one full rehearsal in your sandbox against a production-scale extract, and we run the production load with you on the agreed cutover window, with a documented rollback position — the toolkit's batch model means a batch can be reversed and reloaded rather than unpicked record by record.

Who this is for

Companies moving from a Sage product to NetSuite that carry real accounting history: multi-year GL, live AR and AP, inventory with cost, and dimension structures that were built up over years and never documented. It fits both single-entity migrations and OneWorld consolidations where several Sage instances collapse into one NetSuite account.

How delivery works

1. Scoping call. We review your Sage product, version and deployment, sample extracts, your chart of accounts, dimension structure, entity counts, transaction volumes and how many years of history you need in NetSuite versus archived elsewhere. 2. Fixed quote. You receive a fixed-price quote covering the object set, the number of rehearsals, and the cutover window. 3. Build. ECOSIRE develops the SuiteScript 2.1 toolkit — staging records, Map/Reduce loaders, validation, mapping records, reconciliation saved searches and RESTlets for automated extract handoff. 4. Install in test. We deploy to your sandbox as an SDF project or unmanaged bundle and run a full rehearsal against real extract volume, producing reconciliation reports you review with your controller. 5. Production. After sign-off on the rehearsal reconciliation, we deploy to production and run the cutover load with your team in the agreed window. 6. Support. A post-cutover support window covers reconciliation questions, remedial batches and adjustments found during the first close.

Lead time is typically one working week from signed quote to the first sandbox rehearsal, with the cutover date set jointly around your close calendar.

  • Production installation and a supervised cutover load run inside your agreed window
  • Migration runbook covering extract preparation, batch sequencing, validation error resolution, batch reversal and re-run
  • Training for your finance and administrator team on the mapping records and reconciliation reports, plus a post-cutover support window through your first NetSuite close

これは誰のためのものですか

Financial Controller

Has to sign off that the NetSuite opening position matches the final Sage trial balance, per account and per period, and carries personal risk if it does not. The reconciliation saved searches and variance report give a traceable document per batch instead of a spreadsheet comparison done under cutover pressure.

ERP Project Manager

Is judged on the cutover date and knows that mapping rework is what historically slips it. Because mappings live in editable custom records and every load batch can be reversed and re-run, a mapping change costs a rerun rather than a redevelopment cycle.

NetSuite Administrator

Inherits whatever the migration leaves behind and will be the one explaining orphaned records months later. Staging tables retain the source key and batch id on every row, so any NetSuite record can be traced back to the exact Sage row it came from long after go-live.

よくある質問

Is this an off-the-shelf tool we can buy and run ourselves this week?
No. It is build-to-order. Sage configurations differ enough between products, versions and customers that a generic loader creates more reconciliation work than it saves. After a scoping call we quote a fixed price and build the toolkit around your chart of accounts, dimension structure and extract format. Typical lead time is one working week from signed quote to the first sandbox rehearsal; the cutover date is set jointly with your close calendar.
Which Sage products and which NetSuite versions are supported?
On the source side we work from structured extracts, so the approach covers Sage 50, Sage 200, Sage Intacct and other Sage lines — what matters is that we can obtain a complete, repeatable export via CSV, ODBC or API, which we confirm during scoping using your real sample files. On the NetSuite side: current releases running SuiteScript 2.1, standard or OneWorld, with SuiteCloud Development Framework, token-based authentication and the SuiteScript feature enabled. ECOSIRE is not affiliated with or certified by any Sage entity.
How much transactional history can realistically be migrated?
Technically, as much as you are willing to reconcile. Practically, most companies load open AR, open AP, open orders and inventory in full, plus two to three years of summarised or detailed GL, and archive older years in a reporting extract outside NetSuite. Loaders run as Map/Reduce so volume is a scheduling question rather than a governance limit. We size this during scoping against your actual row counts, because every additional year adds reconciliation effort, not just load time.
What happens if the trial balance does not tie after a load?
That is the expected outcome of the first rehearsal, which is why there is a rehearsal. The variance report lists every difference with its account, period and originating source key, so you trace it back to the specific Sage row. Most variances resolve to a mapping decision — a dimension pointed at the wrong segment, a tax code unmapped, an account of the wrong type. You correct the mapping record and re-run the batch. We do not go to production until the rehearsal reconciliation is signed off.
Can we run the migration more than once, and can a bad batch be undone?
Yes to both, and it is designed for exactly that. Every loaded record carries its batch id and source key, so a batch can be reversed and reloaded as a unit. Re-running a batch only moves rows whose hash changed. Most projects run three or more rehearsals in sandbox before the production cutover.
Who does what during cutover weekend?
Your team produces the final Sage extract and confirms the Sage cut-off. ECOSIRE runs the load batches, monitors validation, and produces the reconciliation pack. Your controller reviews and signs off the trial balance, AR aging, AP aging and inventory value against the Sage close position before you go live. The runbook, batch sequence and rollback position are agreed in writing before the window opens, and the support window afterwards covers remedial batches and adjustments found during your first NetSuite close.
