Advanced Card Billing and Payout Bridge क्या है?

A build-to-order Zoho app that breaks a lump card-processor payout into its underlying charges, fees, refunds and chargebacks, and posts each to the correct Zoho Books account. Built for your processor and chart of accounts after a fixed quote. Built to order by ECOSIRE for Zoho One (build-to-order) — indicative price from $999.00 USD; request a quote for a scoped proposal.

Advanced Card Billing and Payout Bridge — A build-to-order Zoho app that breaks a lump card-processor payout into its underlying charges, fees, refunds and chargebacks, and posts each to the correct Zoho Books account

What we build

  • Scheduled Deluge function that pulls balance transactions per payout from the processor REST API and stores them as typed line records
  • Configurable account map from each line type to a nominated Zoho Books account, held per Books organization
  • Zoho Books payment records created against matched invoices so customer ledgers close correctly
  • Processing fees, platform fees and chargeback fees posted to separate expense accounts rather than netted against revenue
  • Chargebacks posted to a dedicated Zoho Books account with automatic reversal when a dispute is won
  • Single net bank deposit created in Zoho Books matching the actual bank statement line for clean reconciliation
  • Configurable charge-to-invoice matching by processor metadata, reference, or amount plus date window
  • Zoho Creator reconciliation workspace for manually matching exceptions, with the decision remembered for future matching
  • Multi-currency posting using Zoho Books currency records, separating realised exchange difference from processor conversion fees
  • Subscription lifecycle sync into Zoho Books recurring invoices or Zoho CRM, including failed-payment and retry events
  • Zoho Flow error routing so a failed API call or unmatched payout raises a visible task instead of silently stopping
  • Refund handling that creates or matches Zoho Books credit notes and keeps the customer ledger consistent

इस उत्पाद के बारे में

The business pain

A global card processor deposits one figure into your bank account. Inside that figure are hundreds of individual charges, per-transaction processing fees, a monthly platform fee, three refunds, a chargeback, a chargeback fee, a currency conversion spread, and possibly a reserve being held or released. Zoho Books sees one bank line.

So the bookkeeping shortcut appears: post the whole deposit to revenue, or post it against a handful of invoices and dump the difference into a suspense account. Neither survives an audit. Revenue is understated because fees were netted off before they reached you. Chargebacks disappear entirely, so no one notices a fraud pattern. Foreign-currency payouts get booked at the invoice rate rather than the actual settled rate, and the exchange difference silently accumulates. When the processor issues a monthly statement, nobody can tie it back to Zoho Books without a full manual rebuild.

The fix is not more spreadsheets. It is to treat the payout as what it is — a batch of typed lines — and post each type where it belongs.

What ECOSIRE builds

We build a reconciliation bridge that lives inside your Zoho org. It uses Deluge custom functions and scheduled functions in Zoho Books, Zoho Flow for orchestration and error routing, REST API calls against your processor's balance and payout endpoints, and a Zoho Creator application for the reconciliation workspace where a real interface is needed.

Payout decomposition

When a payout is announced or lands, a scheduled Deluge function pulls the underlying balance transactions from the processor's API for that payout. Each line is typed — charge, refund, adjustment, processing fee, platform fee, chargeback, chargeback fee, dispute reversal, reserve hold, reserve release, currency conversion. The lines are stored as records so the payout is auditable line by line, not just as a total.

Posting to the right Zoho Books accounts

Each line type maps to an account you nominate during scoping. Charges close their matching Zoho Books invoice via a payment record. Processing and platform fees post to expense accounts. Refunds create or match credit notes. Chargebacks post to a dedicated account so disputed revenue is visible rather than netted away, and a released dispute reverses that posting. The net of all lines is created as a single bank deposit whose amount equals the actual bank statement line, which is the whole point — your Zoho Books bank reconciliation matches without adjustment.

Matching charges to invoices

The hard part is knowing which invoice a charge belongs to. We use the metadata your checkout already writes to the processor where it exists, and fall back to a configurable matching strategy — reference, amount plus date window, customer email — that you tune during scoping. Anything that cannot be matched confidently is queued rather than guessed at. A Creator screen lets a finance user match the exception manually in a few clicks, and the choice is recorded so the same pattern matches automatically next time.

Multi-currency payouts

Where you invoice in one currency and are paid out in another, we record both the presentment amount and the settlement amount, use the Zoho Books multi-currency mechanism to post the invoice payment at the correct rate, and book the realised exchange difference to your nominated gain or loss account. Currency conversion fees charged by the processor are posted separately from the exchange difference, because they are different things and treating them as one hides real cost.

Subscription and recurring billing

If your processor handles recurring billing, we sync the subscription lifecycle — created, renewed, payment failed, retried, cancelled — into Zoho Books recurring invoices or into Zoho CRM, so dunning and churn are visible to the people who need them. Failed payment events can trigger a Zoho CRM workflow or a Books reminder rather than being discovered a month later.

Tax and reporting

Fees charged to you by a processor may or may not carry recoverable input tax depending on your jurisdiction and where the processor is established. We configure that treatment against your existing Zoho Books tax rates on your accountant's instruction, per Books organization. Reporting is delivered as Zoho Books and Zoho Analytics-ready records rather than as a separate silo.

Who it is for

SaaS businesses, e-commerce merchants and service companies that take card payments through a global processor and use Zoho Books as their accounting system. It is most valuable when you process enough volume that manual reconciliation is a recurring monthly cost, when you sell in more than one currency, or when chargebacks and refunds are frequent enough that netting them off distorts your reported revenue.

It is less relevant if you invoice a small number of customers on bank transfer, or if your processor deposits gross and bills fees separately — in that case much of the decomposition work is already done for you.

How delivery works

Scoping call. We look at your processor account structure, your Zoho Books chart of accounts, how your checkout writes metadata, your currencies, and a real payout you have already received. Bringing one actual payout report to this call shortens everything that follows.

Fixed quote. You get a written scope naming every line type we will handle, the account mapping approach, the matching strategy, and what is out of scope. The price is fixed against that scope.

Build. We develop against your processor's test mode and a sandbox Zoho environment. Typical lead time is one working week depending on currency count and how clean your invoice metadata is.

Install in test, then production. We install into a test Zoho org or duplicate Books organization and replay your real historical payouts against it, so you can compare our output to what you booked manually. Discrepancies are resolved before go-live, not after. Production install follows your sign-off.

Support. A defect-fix and configuration support window follows go-live. Processor API version migrations after the window are quoted separately.

How delivery works

  1. 1

    Scoping call

A short call to confirm the workflow, your platform version and where the integration boundaries sit.

  2. 2

    Fixed quote

You receive a written scope and a fixed price. Nothing is built until you approve it.

  3. 3

    Build and test

We develop against a copy of your configuration and test it there. Typically two to four weeks.

  4. 4

    Install and support

What you get

  • Live training for your finance team plus a defect-fix support window after go-live

Who this is for

Financial Controller

Cannot tie the processor's monthly statement back to Zoho Books without rebuilding it by hand, and knows the suspense account is growing. Gets every payout decomposed into typed lines posted to real accounts, with a bank deposit that matches the statement exactly.

SaaS Finance Operations Analyst

Spends the first week of every month matching charges to invoices and chasing failed subscription payments discovered too late. Gets automatic matching with a short exception queue, and failed-payment events surfaced in Zoho CRM the day they happen.

Head of E-commerce

Sees revenue figures that are quietly net of fees and chargebacks, which makes margin analysis unreliable. Gets gross revenue, processing cost and dispute cost as separate, reportable lines in Zoho Books instead of one blended number.

Frequently asked questions

Is this an off-the-shelf connector I can install now?
No. It is built to order for your processor account, your chart of accounts and your matching rules. After a scoping call and a fixed written quote, expect roughly one working week of build time before installation in your test environment, and longer if you settle in several currencies or your invoice metadata needs work first.
Which Zoho editions and apps are required?
Zoho Books is required, on a plan that supports custom functions, scheduled functions and the API call volume your payout frequency demands — we verify your specific plan limits during scoping. Zoho Creator is used for the reconciliation workspace. Zoho CRM is optional and only needed if you want subscription and dunning events surfaced to sales or success teams. Zoho Flow is used for orchestration and error routing.
Which card processors do you support?
Any global processor that exposes a documented REST API with balance transactions and payout endpoints. We do not name third-party products. Bring the processor's API documentation and one real payout report to the scoping call and we will tell you exactly which line types their API exposes, because that determines how granular the reconciliation can be.
What happens to charges that cannot be matched to an invoice?
They go to an exception queue, never to a guess. A finance user matches them in the Creator workspace, and the app records the pattern so similar charges match automatically afterwards. Unmatched charges still appear in the payout total, so your bank deposit stays correct while the allocation is pending.
Can it reconcile payouts I have already received?
Yes, subject to how far back your processor's API allows you to query balance transactions. We routinely replay historical payouts in a test environment so you can compare our postings against what you booked manually. Whether you then re-post historical periods in production is your accountant's decision, not ours.
How are foreign currency payouts and conversion fees treated?
Presentment and settlement amounts are both recorded. The invoice payment posts through the Zoho Books multi-currency mechanism, the realised exchange difference posts to your nominated gain or loss account, and any conversion fee the processor charges posts separately as an expense. Keeping the fee and the exchange movement apart is deliberate — merging them hides the real cost of accepting foreign currency.
