Sage Migration Toolkit — A build-to-order SAP Business One migration toolkit that converts Sage 50 and Sage 200 nominal ledger, customers, suppliers, stock and open items into SAP B1 objects with reconciliation proof

What we build

  • Staging User-Defined Tables (UDTs) in the SAP B1 company database holding untransformed Sage 50 or Sage 200 exports, making every migration run repeatable
  • Sage account reference and transaction number preserved in User-Defined Fields (UDFs) on each created SAP B1 record for full traceability
  • UDO-backed mapping forms for nominal code to account, Sage tax code to VAT group, stock category to item group and analysis code to dimension, editable by your accountant
  • Sage nominal ledger restructured into SAP Business One's five-drawer segmented Chart of Accounts with active and title account hierarchy preserved
  • Sage cost centres and departments mapped to SAP B1 profit centres and dimensions rather than flattened into account codes
  • Customers and suppliers created as Business Partners via the Service Layer with invoice and delivery addresses, contacts, credit limits, payment terms, settlement discounts and control accounts
  • Sage stock records converted to Items with item groups, UoM groups, barcodes, reorder levels, supplier part numbers and per-warehouse rows
  • Sage price lists, customer-specific prices and discount structures migrated to SAP B1 price lists and special prices
  • Aged debtors and creditors migrated as open A/R and A/P Invoices and Credit Memos at remaining balance, with original Sage document number and date in UDFs so ageing buckets reproduce exactly
  • Unallocated receipts and payments migrated as unapplied incoming and outgoing payments so allocation continues naturally in SAP Business One
  • Stock loaded per Warehouse via Inventory Postings honouring moving average, standard cost or FIFO valuation, including batch and serial numbers, attributes, expiry dates and bin locations
  • Reconciliation pack as Crystal Reports: object counts and totals, aged debtors and creditors versus Sage at cutover, trial-balance comparison, stock quantity and value by warehouse, and an exception list with reasons

इस उत्पाद के बारे में

The problem

Sage does the accounting job well until the business outgrows it — multiple warehouses, real manufacturing, tighter stock control, group consolidation, proper approval procedures. At that point the move to SAP Business One is a business decision, and the migration becomes the risk.

The risk is specific. Sage's nominal ledger is a flat numeric code list; SAP Business One expects a segmented chart of accounts organised into five drawers with active and title accounts. Sage 50 stores customers and suppliers with account references your team has used for years and knows by heart. Sage 200 adds analysis codes, nominal analysis on transaction lines, stock traceability and multi-company structures that have to land somewhere sensible. Aged debtors and aged creditors have to arrive as open items that produce the same ageing on day one, not just the same total.

Do this with spreadsheets and a generic import wizard and you get a system that balances in total but is wrong in detail — the aged debtors report disagrees with Sage by a few hundred pounds, three suppliers have the wrong control account, and stock value is right while quantity per warehouse is not.

What ECOSIRE builds

This is a build-to-order toolkit. There is no download and no ready-made product. After a scoping call we build a migration engine against your Sage export shapes — Sage 50 or Sage 200 — and your target SAP Business One company database, then install it and run it with you.

Staging and mapping layer

We create User-Defined Tables (UDTs) inside the SAP B1 company database that hold the Sage export exactly as extracted, untransformed. Each created SAP Business One record carries its Sage account reference or transaction number in a User-Defined Field (UDF), so a Business Partner in SAP B1 can always be traced back to its Sage account. Mapping — nominal code to SAP B1 account, tax code to VAT group, stock category to item group, analysis code to dimension or UDF — is held in UDO-backed forms your accountant can review and edit directly in SAP Business One.

Nominal ledger conversion

The Sage nominal ledger is restructured into SAP Business One's segmented ChartOfAccounts across the five drawers, preserving the reporting hierarchy your management accounts depend on. Where Sage cost centres and departments are in use, they map to profit centres and dimensions rather than being flattened into account codes. Opening balances are posted as balanced JournalEntries, with debtors and creditors posted via their control accounts so the subsidiary ledgers and the nominal agree from the first day.

Customers, suppliers and stock

Sage customers and suppliers become SAP Business One Business Partners through the Service Layer, with delivery and invoice addresses, contacts, credit limits, payment terms, settlement discount terms, default nominal/control accounts, and price list assignment. Sage stock records become Items with stock categories mapped to item groups, units of measure and UoM groups, barcodes, reorder levels, supplier part numbers, and per-warehouse rows. Sage price lists, customer-specific prices and discount structures are migrated to SAP B1 price lists and special prices.

Open items and aged balances

Outstanding sales and purchase transactions are migrated as open A/R Invoices, A/R Credit Memos, A/P Invoices and A/P Credit Memos at their remaining balance, keeping the original Sage document number and document date in UDFs so ageing buckets reproduce exactly. Unallocated receipts and payments are brought across as unapplied incoming and outgoing payments so allocation can continue naturally in SAP Business One. Open sales orders and purchase orders are migrated with delivered and received quantities so only genuinely outstanding quantity remains open. Foreign-currency documents carry original currency, base amount and rate.

Stock valuation

Stock is loaded per Warehouse using InventoryPostings (or opening goods receipts against a suspense account, depending on how you want the audit trail to read), honouring the valuation method configured in SAP Business One — moving average, standard cost or FIFO layers. Batch and serial numbers with their attributes and expiry dates are migrated where you track them, and bin locations where bin management is enabled.

VAT and compliance

Tax codes are mapped explicitly rather than assumed. Sage T-codes map to SAP Business One VAT groups with the correct rate, effective dates and reporting boxes, so the first VAT return produced from SAP B1 reconciles to what the business expects. Where you file digitally, we make sure the tax group configuration supports the return your accountant submits.

Reconciliation proof

Every run produces a reconciliation pack, delivered as Crystal Reports inside SAP Business One: record counts and totals per object, aged debtors and aged creditors compared against the Sage ageing at cutover date, a trial-balance comparison, stock quantity and value per warehouse, and an exception list naming every record that did not convert and why.

Who it is for

Sage 50 and Sage 200 users moving to SAP Business One 10.0 — typically businesses with growing stock complexity, multiple locations, or a group structure that Sage handles awkwardly. It fits companies where the finance team will not accept re-keying the ledger and where the first VAT return and the first month-end close after cutover have to be defensible.

Technical basis

Delivered as a SAP Business One add-on using the Service Layer (REST/OData) for bulk object creation, the DI API where the Service Layer does not expose an object or field, and UDT/UDF/UDO extensibility for staging, mapping and traceability. Compatible with SAP Business One 10.0 on Microsoft SQL Server and SAP HANA, on-premise or cloud-hosted. Installed per tenant into your test company database first, and into production only once you have signed off reconciliation. Where approval procedures and Crystal Reports are part of your target configuration, the migration is built to respect them rather than bypass them.

How delivery works

1. Scoping call — we review your actual Sage exports, transaction volumes, nominal structure, VAT codes, stock model and multi-company setup. You receive a written mapping document. 2. Fixed quote — fixed price and delivery date against that agreed scope. 3. Build — typical lead time one working week depending on object count, Sage version and whether analysis codes and multi-company are in scope. 4. Install in test — installed into your test company database, full trial migration run, reconciliation pack handed to your accountant. 5. Iterate — mapping corrections and re-runs are part of the engagement. Because raw data sits in staging tables, a re-run is a reload, not a rebuild. 6. Production cutover — final run at the agreed cutover date into the production company database, reconciliation signed off before users are let in. 7. Support window — an included post-go-live period so anything found during the first VAT return and first close is fixed by the team that built it.

Who this is for

Financial Controller

They have closed every month in Sage for years and know what the aged debtors report should say. This toolkit reproduces ageing from open items with original document dates, and hands them a Crystal report comparing SAP B1 against Sage before production cutover is approved.

Operations / Stock Manager

Their reason for leaving Sage is usually stock — multiple warehouses, batches, bins, traceability. Stock is loaded per warehouse with the configured valuation method, batch and serial attributes and bin locations intact, so quantity and value are both correct on day one, not just the total.

Managing Director of an SME

They approved the SAP Business One investment and are exposed if the first close after go-live is a mess. A fixed quote after scoping, unlimited trial runs into a test company database and signed-off reconciliation before production means the cutover date is a decision, not a gamble.

Frequently asked questions

Is this available to download or trial?
No. This is build-to-order and nothing is pre-built. After a scoping call we build the migration engine against your actual Sage exports and your target SAP Business One company database. Typical lead time is one working week from a signed fixed quote, depending on your Sage version, volumes and whether analysis codes or multi-company are in scope.
Which SAP Business One versions and which Sage products are supported?
Target: SAP Business One 10.0 on Microsoft SQL Server or SAP HANA, on-premise or cloud-hosted. Source: Sage 50 and Sage 200 exports. Other Sage lines can be scoped, but we will confirm at the scoping call from your real export files rather than promising it in advance.
How is data extracted from Sage?
You or your Sage administrator produce the exports; we define exactly which reports and export files are required, with the columns needed, as part of the mapping document. We build against files under your control and your licence. If your team can provide direct database access to a Sage 200 instance, we can consume that instead, but we do not require it.
Will our nominal codes stay the same in SAP Business One?
Usually not identical, and that is deliberate. SAP Business One uses a segmented chart of accounts across five drawers, so a flat Sage nominal list has to be restructured to report correctly. We agree the new structure with your accountant during scoping and hold the mapping in a UDO form you can inspect. Every migrated transaction records its original Sage nominal code in a UDF, so the old code is never lost.
How much transaction history comes across?
Standard scope is master data, opening balances and open items — enough for SAP Business One to operate correctly and for ageing to be right on day one. Deep historical transaction migration is possible as a separate scope, but we will say plainly that it enlarges the database, seldom reconciles perfectly, and for most Sage users is better handled by retaining read-only access to Sage for the statutory retention period.
Will our VAT return be right after cutover?
Tax mapping is explicit, not assumed: each Sage tax code is mapped to a SAP Business One VAT group with the correct rate and reporting treatment, agreed with your accountant in the mapping document. The reconciliation pack includes the tax-relevant balances so the position can be checked before you file. We are not tax advisors and do not sign off your return; we make sure the configuration produces figures your accountant can verify.
