Real Estate and Property Management Application — A build-to-order property and lease management application on Zoho Creator, wired to Zoho CRM and Zoho Books so units, leases, rent runs and maintenance live in one system

What we build

  • Portfolio, Property, Floor and Unit hierarchy modelled as linked Zoho Creator forms with unit lifecycle states driving availability everywhere else
  • Lease records as first-class objects holding term, rent, deposit, escalation clause, notice period and renewal option, with prior-term history preserved on renewal
  • Scheduled Deluge rent engine generating billing schedules per lease frequency and raising invoices in Zoho Books through the REST API
  • Escalation handling for fixed-percentage, indexed, stepped and floor-and-ceiling clauses applied automatically on the lease anniversary
  • Proration logic for mid-period commencements, rent-free periods, service charge cadences and move-out final invoices or credit notes
  • Security deposit tracking held as a liability in Zoho Books with release, deduction and refund workflows on lease exit
  • Multi-entity routing that posts each lease to the correct Zoho Books organization where you operate several owning entities
  • Zoho CRM integration reading live unit availability into Leads and Deals so negotiators cannot offer an already-let unit
  • Custom function on Deal closure that creates Tenant and Lease records, reserves the unit and starts the documentation workflow without re-keying
  • Renewal pipeline that raises CRM opportunities at the lease notice date and tracks the renewal through to a linked new term
  • Maintenance request-to-invoice loop with tenant portal intake, vendor assignment, photo and status tracking, and recoverable cost recharge into Zoho Books
  • Owner statements and portfolio dashboards covering occupancy, expiry profile, arrears ageing, maintenance cost per unit and net owner remittance

The pain

Property businesses running Zoho almost always end up with three disconnected systems. Zoho CRM holds the enquiries and the deals. Zoho Books holds the invoices. And the actual portfolio — which unit belongs to which building, who occupies it, when their lease expires, what the rent escalates to next year, which deposit is held and against what — lives in a spreadsheet that one person maintains and everybody else asks about.

The failure modes are predictable. A lease escalation clause is missed because nobody diaried it, and a tenant pays last year's rent for another twelve months. A renewal window passes silently and a good tenant leaves because nobody spoke to them in time. Rent invoices are raised by hand each month, so the month somebody is on leave is the month half the portfolio is not billed. A maintenance request arrives by phone, gets written on a note, and is never linked to the unit, the tenant, the vendor who attended or the cost that should have been recharged. And when an owner or an investor asks for occupancy, arrears ageing and yield by building, the answer takes two days of spreadsheet work.

None of this is a CRM problem or an accounting problem. It is a missing middle: a property data model that both systems can hang off.

What ECOSIRE builds

We build that middle as a Zoho Creator application, integrated into your existing Zoho CRM and Zoho Books rather than replacing them.

The property data model

The foundation is a proper hierarchy in Zoho Creator: Portfolio, Property or Building, Floor or Block, and Unit — each with the attributes your business actually uses. Unit type, carpet and built-up area, bedroom and bathroom counts, parking allocation, orientation, furnishing status, meter references, and the ownership record where you manage on behalf of third-party owners. Units carry a lifecycle state — available, reserved, occupied, under maintenance, off-market — that everything else reads from.

On top of that sits the Lease record: parties, commencement and expiry, rent-free period, security deposit and its status, payment frequency, escalation basis, notice period, renewal option, and the linked documents. A lease is not a text field on a contact; it is a first-class object with its own history, so a renewal creates a new term linked to the prior one rather than overwriting it.

Rent, escalation and billing

We build the rent engine as scheduled Deluge functions. It generates the billing schedule for each active lease according to its frequency, applies escalation on the anniversary using the clause you actually signed — fixed percentage, indexed, stepped to a defined table, or capped between a floor and a ceiling — and raises the corresponding invoices in Zoho Books through the REST API against the correct customer, item and tax treatment. Where you operate multiple Books organizations, for example one per owning entity, the engine routes each lease to the right organization.

The engine handles the awkward cases that break spreadsheets: mid-month commencements prorated to the day, rent-free periods that shift the first billable date, deposits held as liabilities rather than income, service charges and utility recharges billed on their own cadence, and partial-period exits where a final invoice or credit note has to be computed on move-out.

Arrears are tracked back from Books: payment status flows onto the lease record, ageing buckets are maintained, and reminder sequences run on the schedule you define.

CRM integration for the sales and leasing side

On the front end, we wire Zoho CRM so that enquiries land against real inventory. Leads and Deals carry the unit or the unit criteria they are interested in; availability is read live from the Creator unit records, so a negotiator cannot offer a unit that was let yesterday. Viewings are scheduled as CRM Activities against the unit. When a Deal is marked won, a custom function creates the Lease and Tenant records, moves the unit to reserved, and starts the documentation workflow — no re-keying between systems.

We also build the reverse path: expiring leases create renewal opportunities in CRM at the notice date you specify, so your leasing team is working renewals from the same pipeline they work new business.

Maintenance and work orders

Maintenance is built as a request-to-invoice loop. Tenants raise requests through a Creator portal page or by email; the request is linked to the unit and lease automatically. Requests are triaged by category and priority, assigned to an internal team member or an external vendor, tracked through status with photographs and notes, and closed with a cost. Where the cost is recoverable, the app raises the recharge in Zoho Books against the correct party, and where it is an owner cost, it posts to the owner's ledger instead. Preventive maintenance schedules — lift servicing, fire systems, HVAC — generate work orders on their own cadence.

Owner and portfolio reporting

For managed portfolios we build owner statements: rent collected, costs incurred, management fee, and net remittance for the period, generated per owner and per property. Portfolio dashboards cover occupancy by property and unit type, lease expiry profile over the coming quarters, arrears ageing, maintenance cost per unit, and rent roll against market benchmark where you maintain one.

Who this is for

Landlords and property companies managing residential or commercial portfolios on their own account, managing agents acting for third-party owners, mixed-use and retail operators with service charges and turnover rent, and developers who need to carry inventory from sales through to post-handover management. It suits organisations already on Zoho CRM or Zoho Books that do not want a separate property platform sitting outside their stack.

How delivery works

Scoping call. We walk your portfolio structure, a representative set of real lease agreements including the escalation and renewal clauses, your current billing practice, your Books organization structure and tax setup, and how maintenance actually reaches you today. Lease clauses are where property builds succeed or fail, so we read the documents rather than accepting a summary.

Fixed quote. You receive a written scope covering the data model, the rent and escalation rules, the CRM integration points, the maintenance workflow, the reports and the migration approach, at a fixed price.

Build. Development happens in a separate Creator environment against a test Zoho Books organization. Typical build time is one working week for a standard portfolio, longer where escalation clauses are unusual, where multiple owning entities are involved, or where a substantial legacy data migration is in scope.

Install in test, then production. We install into your test environment and load a sample of your real leases and units, then run at least one full billing cycle in test so you can compare generated invoices against what you would have raised manually. Only when those reconcile do we install into production, migrate the live portfolio and cut over.

Support. A defined post-go-live support window covers defect fixes, escalation rule adjustments as new lease types appear, and support through your first live rent run and first period-end.

Für wen das ist

Property Manager

Tracks units, tenants and lease dates across spreadsheets and email, and finds out about an expiry or a missed escalation after it has cost money. A single unit-and-lease record with diarised escalation and renewal triggers makes the portfolio state visible without asking anyone.

Leasing and Sales Head

Runs a CRM pipeline that has no live view of what is actually available, so negotiators quote units that are gone and renewals are worked separately from new business. Live availability inside Deals and an automatic renewal pipeline put both revenue streams in one funnel.

Finance Manager

Raises rent invoices manually every cycle, reconciles deposits by memory, and rebuilds arrears ageing in a spreadsheet each month. An automated rent run posting into Zoho Books with deposits held as liabilities and ageing maintained on the lease turns the cycle into a review rather than a rebuild.

Häufig gestellte Fragen

Can I install this today?
No. This is a build-to-order application. After a scoping call — where we read your actual lease agreements, not a summary of them — we issue a fixed quote, and on approval we build the application for your portfolio. Typical lead time is one working week from approved quote to production install, longer where escalation clauses are unusual, multiple owning entities are involved, or a large legacy migration is in scope.
Which Zoho apps and editions are required?
The application itself is built on Zoho Creator, so every user who touches units, leases or maintenance needs a Creator licence; tenants can be given portal access rather than full licences. Rent invoicing requires Zoho Books at an edition with API access and, where you bill multiple entities, multi-organization support. The leasing pipeline requires Zoho CRM at an edition supporting custom modules or custom fields with functions — we confirm the exact edition during scoping against what you already hold, and we size any additional licence requirement in the quote.
Our leases have unusual escalation clauses. Can they be handled?
Usually yes, but this is exactly why we read the documents during scoping. Fixed percentage, stepped schedules, index-linked with a floor and ceiling, and turnover-based components on retail leases are all buildable. Where a clause requires an external index value, we build the input mechanism and you supply or feed the value. If a clause genuinely cannot be automated deterministically, we will say so and build a review step rather than pretend otherwise.
Can it handle multiple owning entities and owner remittances?
Yes. Units carry an ownership record, and the rent engine routes each lease to the correct Zoho Books organization so entity ledgers stay clean. For managed portfolios we build owner statements showing rent collected, costs incurred, management fee and net remittance per period, generated per owner and per property.
What happens to our existing portfolio data?
Migration is part of the build. We take your current spreadsheets or system export, map units, tenants and active leases into the new model, load them into the test environment first, and reconcile against your own records before production cutover. Historic invoices already raised in Zoho Books stay where they are; we link them to the new lease records rather than re-creating them.
How do we know the rent run is correct before we trust it?
We run at least one full billing cycle in the test environment using your real leases, and you compare the generated invoices line by line against what you would have raised manually. Discrepancies are resolved before production install. We do not cut over on the strength of a demonstration.
