The problem with running a travel agency on a generic CRM
A travel agency does not sell a product with a price. It sells an assembled thing: three hotel nights sourced from a consolidator, two internal flight sectors, an airport transfer, a guide for a half-day city tour, entrance tickets, travel insurance and a visa application — each bought from a different supplier, in a different currency, at a different cost, with a different cancellation deadline.
A standard CRM deal record can hold an amount and a stage. It cannot hold that structure. So agencies end up quoting from spreadsheets, retyping the itinerary into a Word document for the customer, tracking supplier payments in a second spreadsheet, chasing visa documents over WhatsApp, and discovering the real margin on a booking weeks after the group has flown home. When a customer asks to move the trip by four days, somebody rebuilds the whole quotation by hand.
Zoho CRM, Books and Inventory are good at what they do. None of them models a tour package with a per-day itinerary and a per-component cost sheet, because that is a vertical structure. What Zoho does give you is Creator, Deluge, Flow and a complete REST API surface — everything needed to build that structure properly and wire it into the finance and CRM records you already run.

Package and quotation engine (Zoho Creator)
A Tour_Package form holds the sellable product — destination, duration, inclusions, exclusions, seasonality and validity dates. A Quotation record is created from a package or from scratch, and carries a subform of Quotation_Component rows: accommodation, transport, transfers, activities, guides, insurance, visa fees, miscellaneous. Each row stores supplier, cost currency, cost amount, markup type (percentage or absolute), sell amount and cancellation deadline.
Deluge functions recalculate the quotation total whenever a component changes, apply per-component or per-quotation markup rules, and convert supplier costs into the customer's selling currency using the exchange rate you nominate — either a rate captured on the quotation, or one pulled from Zoho Books via the API so the quoted margin and the eventual invoiced margin agree.
Quotation versioning is built in. Revision 2 of a quotation is a copy with its own components, so when the customer moves the trip you amend a copy rather than destroying the original, and both versions stay auditable.
Day-by-day itinerary builder
An Itinerary_Day child form gives every quotation a structured day plan: day number, date, city, overnight location, meals included, activities and free-text narrative. Because days are records and not paragraphs in a document, they can be reordered, duplicated across similar packages and shifted in bulk when travel dates change — a Deluge function re-dates every downstream day when day one moves.
Customer-facing output is generated from Creator's print/PDF templates so the itinerary, quotation and terms come out on your letterhead in a consistent layout, and are attached to the record and emailed from within Zoho.
Supplier cost sheet and payables
Each confirmed component becomes a Supplier_Booking record with a confirmation reference, a supplier due date and a payment status. A cost sheet view rolls these up per booking so you can see committed cost against sold value before departure, not after. Where you want the payable to live in finance, a Deluge custom function creates the corresponding Bill against the supplier's Vendor record in Zoho Books via the Books API, and writes the Books bill id back onto the Creator record so the two systems stay linked.
Visa and document tracking
A Visa_Application record per traveller tracks the destination, consulate, application type, submission date, appointment date, decision and expiry. Required documents are held as a checklist subform with file upload fields, so the passport scan, photograph, bank statement and covering letter live on the record. Zoho Flow or a scheduled Deluge workflow sends reminders ahead of appointment dates and flags applications with missing documents. Passport expiry is checked against the travel date and raises a validation warning at booking time rather than at check-in.
Commission, margin and consultant performance
Every booking carries gross sell, total supplier cost, gross margin and margin percentage as computed fields. Where a consultant earns commission, a commission rule per consultant or per package computes the payable amount on the booking. Creator reports and dashboard charts break margin down by destination, package, supplier, consultant and month.
CRM, Books and Inventory integration
Enquiries entering Zoho CRM as Leads or Deals are pushed into the booking application through the CRM REST API or Zoho Flow, so the sales conversation stays where your team already works while the operational detail lives where it belongs. On confirmation, the customer invoice is raised in Zoho Books against the correct Books organization, with your tax treatment — GST, VAT or tour operator margin handling — configured to match how your accountant already files. Where you sell physical items such as branded kits or SIM cards, Zoho Inventory records the issue against the booking.
A Sigma widget can be embedded in the CRM Deal detail page so a salesperson sees the live itinerary and booking status without leaving CRM.

Fixed quote. You receive a written scope and a fixed price. The listed price is the starting point for a standard build; complex supplier integrations or unusual tax handling are priced explicitly rather than discovered later. 3. Build. ECOSIRE builds the Creator application, Deluge functions, workflows, Flow connections, print templates and reports. Typical lead time is two to four weeks depending on scope. 4. Install in a test environment. The application is deployed into a sandbox or test section of your Zoho org and loaded with your own sample data, so you validate against real quotations before anything touches live records. 5.
