In pharmaceutical distribution the inspection does not test your intentions, it tests your records. An inspector picks a batch and asks who supplied it, where it was stored, which licensed customers received it, what happened to the returns, and who authorised the destruction of the remainder. If any hop in that chain lives in a spreadsheet, a signed paper register in a cupboard or a colleague's memory, the finding writes itself.
SAP Business One gives a wholesaler a solid commercial and financial core, with batch management, warehouses, purchasing, sales and the ledger. What it does not carry is the regulated distribution layer: it has no concept of a customer licence that expires, a controlled-substance running register with a witness, an aggregation hierarchy from unit to carton to pallet, a temperature-excursion hold, or a returns assessment that must precede any return to saleable stock. Distributors improvise those with parallel logs, and the audit trail develops exactly the gaps that inspections are designed to find.

Batch master data is extended with manufacture date, expiry, country of origin, licence holder and marketing authorisation number through User-Defined Fields, so the compliance attributes travel with the stock rather than sitting in a product spreadsheet. Allocation on Sales Orders, Deliveries and A/R Invoices runs first-expiry-first-out, with hard blocking rather than a warning where it matters: an expired batch, a quarantined batch or a batch under recall hold cannot be picked, invoiced or transferred at all. Where a customer contract sets a minimum remaining shelf life, that rule is enforced against the delivery lead time so short-dated stock is not shipped into a rejection.
Expiry exposure is reportable by value and by weeks remaining, which is what lets you act on slow-moving short-dated stock while it can still be moved, and lets finance provision honestly when it cannot.
Serial numbers are captured at unit or pack level, with the product code, serial, lot and expiry held together so a scanned two-dimensional barcode resolves to a single stock unit rather than just an item code. Parent-child aggregation records the hierarchy from unit to carton to pallet, so scanning one pallet identifier on a Delivery resolves every serial inside it instead of requiring the picker to scan hundreds of units.
Every serialization event — commissioning, aggregation, packing, shipping, receiving, decommissioning, return — is written to an append-only User-Defined Table with the user, workstation, timestamp and the SAP Business One document key that caused it. That structure is deliberately event-shaped so the data can be extracted for whichever reporting scheme your market requires; the exact export format is agreed at scoping, because it differs by jurisdiction and changes over time.
Customer and supplier licences are held on the Business Partner as structured data: licence number, category, jurisdiction, issue and expiry date. A restricted product cannot be shipped to a lapsed or missing licence — the block sits on the document, not on a reminder email — and licences approaching expiry are alerted on before they bite.
Controlled substances get a register implemented as a User-Defined Object: a running balance by schedule and storage location, with every receipt, issue, transfer, return, adjustment and destruction recorded against a reference document, an authorising user and a witness where your jurisdiction requires one. Destruction and denaturing run as a workflow — Goods Issue to a destruction warehouse, a destruction certificate record, an SAP Business One Approval Procedure gate, and a Journal Entry to the write-off account you nominate — so the stock movement, the authorisation and the accounting entry are one linked chain rather than three separate acts of faith.
Quarantine, cold-chain, controlled-storage and destruction warehouses are modelled as real SAP Business One warehouses with bin-location control, so status is a location and a stock figure rather than a note. A temperature-excursion hold freezes affected batches across every open document until an assessment releases or rejects them.
Returns follow Good Distribution Practice logic rather than commercial convenience: returned goods land in quarantine, an assessment record must be completed, and only an authorised approver can move stock back to saleable — with the reason, the storage-condition evidence and the approver captured. Recall runs from any batch or serial in both directions and produces the notification pack: affected customers, quantities shipped, quantities recovered and outstanding, with the elapsed time recorded.
The audit layer combines the SAP Business One change log with the append-only event table, so who changed what, when, from which value to which value, and against which document, is answerable without a database forensics exercise. A report pack built in Crystal Reports and Service Layer extracts covers batch genealogy, dispatch register by licence, controlled-substance movement register, expiry exposure and the recall notification pack. Which registers you get is decided at scoping, because a register that does not match your regulator's expected format is not a register.
