ما هو Nonprofit Fund & Grant Accounting؟

A NetSuite layer for restricted funds, grant budgets, release of restrictions and donor reporting. Built to order for your account after a scoping call and fixed quote. Built to order by ECOSIRE for Oracle NetSuite (build-to-order) — indicative price from $1499.00 USD; request a quote for a scoped proposal.

Nonprofit Fund & Grant Accounting — A NetSuite layer for restricted funds, grant budgets, release of restrictions and donor reporting

What we build

  • Custom fund records carrying restriction class, purpose, opening balance and the net asset accounts the fund rolls into
  • Custom grant and award records with funder, award reference, award amount, period, reporting calendar, match requirement and indirect-cost rate
  • Custom segments for fund and grant applied to Journal Entries, Vendor Bills, Expense Reports, Invoices and Deposits so classification flows into native GL reporting
  • Grant budget records by cost category and period, including the mapping from funder category names to your accounts and segments
  • Map/Reduce recalculation of grant position — committed, spent, remaining, burn rate and percentage elapsed versus percentage spent
  • User Event and Client validation of grant coding against the award date window, allowable cost categories and remaining category budget, with warn, approve or block behaviour per rule
  • SuiteFlow approval routing for over-budget lines, closed-period recoding and allocation reversals, with reason capture
  • Automated release-of-restriction Journal Entries generated from qualifying expenditure, with drill-down to the transactions that justified each release
  • Reversible cost-allocation batches distributing shared costs across funds and grants by headcount, floor area, direct labour or a fixed percentage schedule, with the basis recorded for audit
  • Indirect-cost recovery calculated on the award-defined base at the agreed rate, capped where the award caps it, and posted as a transaction rather than a memo
  • Saved searches and Suitelet reports for statement of activities by net asset class, fund balance rollforward, grant financial reports in funder format, donor contribution statements and restricted-balance schedules
  • Role-scoped Suitelet dashboards so programme managers see only their own grants, with subsidiary-aware reporting on OneWorld and scheduled CSV or PDF report delivery

The problem

Nonprofit accounting asks a question commercial accounting never does: whose money is this, and what were we allowed to spend it on? A grant arrives with a budget by cost category, a spending window, an allowable-cost policy and a reporting obligation. A restricted donation arrives with a purpose the board is legally bound to honour. Your general ledger, meanwhile, records debits and credits against accounts — and has no native concept of a fund balance, a restriction, or a release of that restriction when the condition is satisfied.

The result is a finance team running the real books in spreadsheets. One workbook per grant tracks budget versus actual. Another tracks which donations are temporarily restricted and which have been released. A third assembles the funder report, hand-mapping your account codes to the funder's cost categories, three weeks before the deadline. Every one of those workbooks is a reconciliation risk, and none of them survives an audit query cleanly. Meanwhile a programme manager who wants to know whether there is budget left on their grant has to ask finance and wait.

The classification exists in NetSuite as segments — classes, departments, locations, custom segments — but nothing enforces them, nothing computes a fund balance from them, and nothing stops a transaction being coded to a grant that closed last quarter or a cost category the funder does not reimburse.

ECOSIRE builds the fund and grant layer on top of your NetSuite financials so the restricted-fund position, the grant budget and the donor report all come from posted transactions rather than a parallel spreadsheet.

What ECOSIRE builds

Fund and grant records

Custom records for funds and for grants and awards. A fund carries its restriction class — unrestricted, temporarily restricted, permanently restricted, or whatever taxonomy your auditors use — a purpose statement, and its opening balance. A grant carries the funder, the award reference, the award amount, the start and end dates, the reporting calendar, the indirect-cost or overhead recovery rate, and any match or cost-share requirement.

Both are wired to a custom segment on transactions, so every Journal Entry, Vendor Bill, Expense Report, Invoice and Deposit can be tagged to the fund and the grant it belongs to. Because a custom segment is a native NetSuite dimension, that tagging flows into standard financial reporting, saved searches and the general ledger without a separate reporting database.

Grant budgets and budget-versus-actual

A grant budget record holding the funder's budget by cost category and by period, including the mapping between the funder's category names and your own account and segment structure. Actuals are computed from posted transactions carrying the grant segment, so budget versus actual is live rather than assembled monthly.

A Map/Reduce script recalculates grant positions on a schedule and on demand: committed, spent, remaining, percentage elapsed of the award period against percentage spent, and the burn rate implied by the remaining months. Programme managers see their own grants through a Suitelet dashboard restricted by role, so they stop asking finance and finance stops rebuilding the same spreadsheet.

Spending controls

User Event and Client scripts that validate coding at the point of entry rather than at month end. A transaction line coded to a grant is checked against the grant's date window, its allowable cost categories, and the remaining budget in that category. Depending on the rule you choose at scoping, a breach either warns the user, requires an approval, or blocks the save outright.

SuiteFlow handles the approval routing: an over-budget line goes to the grant manager, a coding change on a closed period goes to the controller, and an allocation reversal is logged with a reason.

Release of restrictions and allocations

When restricted funds are spent on their intended purpose, the restriction is released. ECOSIRE builds that as a generated Journal Entry rather than a manual one — a Scheduled or Map/Reduce process identifies qualifying expenditure by fund and period, computes the release amount, and posts the transfer between net asset classes with full drill-down to the transactions that justified it.

The same engine handles cost allocations: shared costs such as rent, utilities or a programme director's salary distributed across funds and grants by a basis you define — headcount, square footage, direct labour, or a fixed percentage schedule. Each allocation run is a reversible batch with an audit record of the basis used, so an auditor can see exactly why a given cost landed where it did.

Indirect cost recovery

Calculation and posting of overhead or indirect-cost recovery at the rate agreed with each funder, applied to the correct base as the award defines it, with the recovery capped where the award caps it. This is the number nonprofits most often under-recover, and computing it from posted direct costs rather than an estimate is usually worth real money.

Donor and funder reporting

Saved searches and Suitelet report builders producing the outputs your obligations actually require: a statement of financial position and statement of activities by net asset class, fund balance rollforwards, grant financial reports in the funder's own cost-category structure, donor contribution statements, and restricted-balance schedules. Reports export to CSV or PDF and can be scheduled by email to a distribution list.

On OneWorld, everything respects subsidiary boundaries so a federated organisation can report per entity and consolidated.

Roles and visibility

Role and permission design so a programme manager sees their grants and nothing else, a fundraiser sees donor history without seeing payroll, and finance sees everything. Permissions are set on the custom records, segments and Suitelets themselves.

Who this is for

Charities, foundations, NGOs, faith-based organisations, research institutes, universities and social enterprises running NetSuite for financials and managing money that is restricted, granted or otherwise accountable to a third party. It is most valuable to organisations with more than a handful of concurrent grants, multiple funders with different reporting formats, or an audit that has raised findings about fund accounting.

It also suits organisations preparing for a first major institutional grant, where funder reporting requirements are about to become a compliance obligation rather than a courtesy.

How delivery works

1. Scoping call. We review your fund taxonomy, your current grant portfolio and reporting formats, how you allocate shared costs today, your indirect-cost agreements, and your existing NetSuite segment structure. We look at what your auditors ask for and what your largest funders require, because those two define the output.

2. Fixed quote and specification. You receive a written specification covering the fund and grant data model, the segment design, every script and saved search, the allocation and release logic, and the report set — with a fixed price and delivery schedule. Nothing is built until you approve it.

3. Build. Developed as an SDF project using SuiteScript 2.1 — User Event, Client, Map/Reduce, Scheduled, Suitelet and RESTlet scripts — with custom records, custom segments and SuiteFlow approval routing. Typical build time is one working week from approval, driven mainly by how many allocation bases and funder report formats are in scope.

4. Install into your sandbox. We deploy to your sandbox or development account and configure it against your real chart of accounts, subsidiaries and segments. We load a representative set of your actual grants so you can test budget-versus-actual and a real funder report against numbers you recognise.

5. Promote to production. After sandbox sign-off we deploy the same SDF project to production, migrate configuration, and run a parallel period alongside your existing spreadsheets so you can prove the numbers agree before you retire them.

6. Support window. A defect-fix and question-answering window follows go-live, agreed at quote time. Adding a new funder report format or allocation basis later is quoted as enhancement work.

What this is not

This is not accounting advice and it is not a certified compliance product. It implements the fund accounting policy that you and your auditors define. It is also not an off-the-shelf download — every organisation's fund taxonomy, allocation bases and funder formats differ, so each build is scoped and quoted against your account before any development starts.

Director of Finance

Closes each month by reconciling the general ledger against a folder of grant spreadsheets, and dreads the audit query that asks how a release of restriction was calculated. Gets fund balances and releases posted as real transactions with drill-down to the expenditure that justified them.

Grants Manager

Assembles each funder report by hand, mapping account codes to the funder's cost categories under deadline pressure, and only discovers overspend after it has happened. Gets live budget versus actual in the funder's own category structure and coding rules that catch a breach at data entry.

Programme Manager

Has to email finance and wait days to find out whether there is budget left before committing to a supplier or a hire. Gets a role-scoped dashboard showing remaining budget and burn rate on their own grants only, without access to the rest of the organisation's finances.

الأسئلة المتداولة

Is this ready to download and install today?
No. This is build-to-order. Nothing is pre-built and there is no trial or instant download. After a scoping call we issue a fixed quote, then build against your account. Typical lead time is one working week from approval to sandbox delivery, driven mainly by how many allocation bases and funder report formats are in scope.
Which NetSuite versions and editions does this support?
It is built for current NetSuite releases using SuiteScript 2.1 and custom segments, and it works on NetSuite ERP and NetSuite OneWorld. Subsidiary-level fund reporting and consolidation only apply on OneWorld. Your account needs SuiteCloud development features enabled — SuiteScript, SuiteFlow, custom records and custom segments — and we confirm exactly which are switched on during the scoping call before quoting.
Do we need to change our chart of accounts?
Usually not, and that is deliberate. Fund and grant classification is carried on custom segments alongside your existing accounts, classes, departments and locations rather than by proliferating account codes. If your current chart already encodes funds into account numbers, we will discuss whether to keep that in parallel during transition, but we do not require a chart rebuild as a precondition.
Can it produce our specific funder's report format?
Yes, within the formats agreed at scoping. Each funder format is a mapping from your accounts and segments to that funder's cost categories, plus a layout. We build the formats you bring to the scoping call and quote them in the fixed price. Additional formats added after go-live are quoted as enhancement work — the mapping mechanism is already there, so it is configuration and layout rather than a rebuild.
How are shared costs allocated across funds, and can an allocation be undone?
Allocation runs distribute shared costs by a basis you define — headcount, floor area, direct labour, or a fixed percentage schedule — and each run is a batch that records the basis and the driver values it used. Batches are reversible, so a mistaken run can be backed out and rerun with corrected drivers, and the audit trail keeps both. Auditors can see precisely why a cost landed where it did.
Does this replace our auditor's judgement on fund accounting policy?
No. It implements the policy that you and your auditors set. We build the taxonomy, release rules, allocation bases and indirect-cost treatment that you specify at scoping — we do not supply accounting advice or claim compliance certification. If your policy changes, the rules are configuration and script logic that can be adjusted, and you hold the source code to do it yourself if you prefer.
