Expense claims fail at the edges, not in the middle. An employee takes a taxi on a Tuesday, puts the receipt in a jacket pocket, and submits it four weeks later in a batch of eleven, half of which are missing documentation. A manager approves it on a phone without seeing whether it breached the per-meal cap. Finance discovers the wrong subsidiary and a missing tax code at the point of posting, sends it back, and the cycle restarts.
Every one of those failures is a capture problem or a policy problem. If the receipt is photographed at the point of spend, coded then, checked against policy before submission, and routed to an approver who can act from a phone, the work finance does at the end collapses to review rather than repair.
We build a mobile-first capture and approval layer that posts into NetSuite's native Expense Report record. Nothing is parallel-tracked — the claim ends up where your accounting already expects it.
A mobile-responsive Suitelet, usable from a phone browser and installable to the home screen, lets an employee photograph a receipt, attach it to a new or existing draft claim, and code the line. The image is stored in the File Cabinet against the expense line, not emailed to anyone.
Expense categories, currency, subsidiary, department, class, location, custom segments, customer or project for billable items, and tax code are all presented as selection lists driven by the employee's own record and role, so they only see what applies to them. Where you use a receipt-reading service, we integrate the one you nominate and pre-fill amount, date, currency, and merchant as editable suggestions — the employee always confirms the values, and we never present extracted text as if it were verified.
Foreign currency claims capture the transaction currency and amount, apply the rate basis you specify, and show the employee the reimbursable amount in their subsidiary's currency before they submit.
Mileage claims capture start and end locations, distance, vehicle type, and journey purpose. Rates are held on a custom record with effective-from dates and a per-vehicle-type band structure, so a rate change is configuration rather than a script edit. Employees can log a journey and its return leg in one action, and a running total per period supports tiered rates where your policy steps the rate down after a threshold.
Policy rules are custom records evaluated by a SuiteScript 2.1 client and server pair, so the employee sees the breach before they submit rather than after. Rules cover per-category caps, daily and per-trip limits, receipt-required thresholds, allowable date ranges, duplicate detection against previously submitted lines, blocked categories per role or grade, and required fields such as attendee names on entertainment.
Each rule is configured as blocking or as a soft warning with a mandatory justification. Justifications are stored on the line, so a reviewer sees why a claim exceeded policy without asking.
SuiteFlow drives the approval routing: supervisor from the employee record, escalation by amount threshold, a second approver for claims over a limit, project manager approval for billable lines, and finance review as a final gate where you want it. Approvers act from the same mobile interface — they can see the receipt image full screen, approve or reject a whole claim or individual lines, and reject with a reason that returns to the claimant.
A User Event script creates the native Expense Report on final approval with the correct subsidiary, expense account mapping, tax treatment, and billable flags, then links the source claim so both directions are traceable. Reimbursement can flow through your existing payables process or payroll, whichever you already run.
Saved searches give finance the unsubmitted-claims ageing, policy breach summary by department, claims pending approval by approver with age, billable expenses not yet invoiced, and a per-employee history. Scheduled scripts send reminders for claims sitting unsubmitted, approvals sitting untouched, and month-end cut-off warnings. A RESTlet exposes claim status where you want it surfaced in another internal tool.
NetSuite customers with employees who spend away from a desk — field service, sales, consulting, construction, logistics — and a finance team currently reconciling paper receipts against a spreadsheet or a generic form. It suits organisations with a written expense policy that is not currently enforced by any system, and multi-subsidiary groups where coding errors create rework at period end.

1. Scoping call. We work through your expense policy in detail — categories, caps, receipt thresholds, mileage rates and bands, approval hierarchy, subsidiary and tax treatment, billable handling, and reimbursement route. 2. Fixed quote. A written scope, an object list, and a fixed price, agreed before work starts. 3. Build. Typical lead time is two to four weeks depending on policy complexity, the number of approval paths, and whether a receipt-reading integration is in scope. 4. Install in your sandbox. We deploy to your sandbox, load your real policy rules, and run a pilot group of employees through genuine claims on their own phones before anything touches production. 5. Production. After pilot sign-off we deploy to production, onboard by department or subsidiary in waves, and stay close through the first full claim cycle. 6. Support. A defined post-go-live support window covers defect fixes and configuration questions.
