Etsy sellers are usually small teams doing everything, and the bookkeeping is the part that quietly falls behind. Orders come in through the shop, get made or drop-shipped, and get posted out. Etsy then deposits money into the bank with listing fees, transaction fees, payment processing fees, advertising costs and refunds already netted off. At the end of the month somebody sits down with the payment account statement and tries to work out what the shop actually earned.
That gap costs more than time. Without the fee detail in the ledger, gross revenue is understated and marketplace expense is invisible, so pricing decisions are made on a number that is not real. Made-to-order sellers have a second problem: the item sold is not the item held. A framed print consumes a print, a frame, a mount and packaging, and unless those components are drawn down as orders arrive, the stock count is fiction and the reorder point arrives too late. Print-on-demand sellers have a third: the cost of goods only exists on the supplier invoice, so margin per listing cannot be calculated inside Zoho at all.
The usual answer is either a manual routine that only survives while the owner has time, or enterprise-priced middleware sized for a business ten times larger. Neither fits a lean shop.
What ECOSIRE builds
We build a connector that runs inside your own Zoho org: Deluge custom functions, a Zoho Creator application for mapping, scheduling, exceptions and logging, and direct calls to the Zoho Inventory and Zoho Books REST APIs against the Etsy Open API. It is deliberately narrow and reliable rather than broad and fragile, and it runs on your credentials.
Orders into Zoho, automatically
Etsy receipts are pulled on a schedule and created as Zoho Inventory Sales Orders, with the buyer resolved to a contact, the shipping address, the personalisation or buyer note carried onto the order, and the Etsy receipt number stored for traceability. Listing and variation combinations are mapped to specific Zoho Inventory items, so a size and colour choice deducts the right SKU rather than a pooled parent. Where the same physical product sells under several listings, the mapping table handles it explicitly.
Made-to-order and print-on-demand
Items you assemble are mapped to Zoho Inventory Composite Items, so a sale draws down its components: blanks, frames, mounts, ink, packaging. That keeps the on-hand count honest and makes reorder points meaningful. For print-on-demand listings, the connector records the item as a non-stock line with a cost taken from your supplier price list or the supplier bill, so cost of sale exists in Zoho Books even though you never physically hold the goods. Production status can be tracked on the Sales Order or in a Creator form if your workflow needs a queue, and packages shipped from Zoho Inventory push tracking back to the Etsy order.
Fees and payouts posted properly
This is the core accounting value. The connector reads the Etsy payment account ledger and decomposes each entry: gross sale, listing fee, transaction fee, payment processing fee, advertising and offsite advertising charges, regulatory operating fee, shipping label purchases, refunds and adjustments. Gross revenue posts as an invoice in Zoho Books, each fee type posts to its own expense account in your Chart of Accounts, and the net deposit posts as a bank transaction that ties exactly to what hit the bank. Reconciliation becomes a tick rather than an afternoon.
Refunds, cancellations and sales tax
Refunds and cancellations create the matching Zoho Books Credit Note, and where goods return, a Zoho Inventory receipt restores stock to the correct variation. Refunded fee credits post back against the same expense accounts. Where Etsy collects and remits sales tax or VAT on your behalf, the connector records it so it is not double-counted as your own liability, mapped to the tax settings on your Zoho Books organization.
Multi-currency and multiple shops
Listings priced in one currency and deposits received in another are handled explicitly: the invoice is raised in the transaction currency, the payout posted in the deposit currency, and the difference recorded against your nominated exchange gain or loss account. If you run more than one shop, each gets its own credentials, mapping set and account configuration in the same install.
Who this is for
Handmade and made-to-order sellers who need component stock to move as orders arrive. Print-on-demand sellers who want real cost of sale and margin per listing inside Zoho Books. Lean shops reconciling Etsy deposits by hand every month. Sellers running one or more Etsy shops alongside Zoho Inventory and Zoho Books who want automation sized to their business rather than enterprise middleware.
How delivery works
This connector is built to order for your shop, your item structure and your chart of accounts. There is nothing to download and no trial version, because the software does not exist until we build it for you.
1. Scoping call. We look at your listings and variations, which products are made to order and what their components are, which are print-on-demand and where their cost comes from, your currencies, your tax situation, and how you want each Etsy fee posted in Zoho Books. 2. Fixed quote. A written scope naming the shops, sync directions, composite structures, fee categories and postings, with deliverables, timeline and a fixed price. Nothing is built before you approve it. 3. Build. Typical lead time is two to four weeks, shorter for a single shop with straightforward mapping, longer where there are deep composite structures or several shops. 4. Install in test. We install into a test Zoho environment and run a scripted pass: receipt import, variation mapping, composite component drawdown, tracking push, ledger decomposition against a real Etsy statement, refund, cancellation and a duplicate-run replay to prove nothing double-posts. 5. Production. We install into your live org, map your existing listings, and reconcile your first real deposit alongside you before handover. 6. Support. A support window follows go-live for defects and configuration adjustments, extendable if you want ongoing cover.
Scope boundaries
We work with the Etsy API as published, under your own application credentials and rate limits. We do not write or optimise listing content, manage advertising spend, or affect shop search placement. Bulk listing creation from Zoho is possible only where the API supports it and is quoted separately if you need it. If something you want is not exposed by the marketplace API, we say so at scoping rather than after you have paid for a build.
