The problem
Zoho Books already predicts field values from what you entered before. That works when a vendor is regular and the coding never changes, and it stops working exactly where bookkeeping gets expensive. A new supplier has no history. A supplier you code three different ways depending on the project has a history that argues with itself. A bank feed line reading as an acquirer settlement reference tells the predictor nothing. And a suggestion with no confidence attached gives the reviewer no way to triage: everything has to be checked, so nothing is really automated.
The practical result in most Zoho Books organizations is a month-end where someone opens uncategorised transactions one at a time, applies knowledge that exists only in their head, and repeats the same corrections next month because nothing captured what they decided. Bank rules help for exact string matches and become unmanageable past a few dozen. Multi-entity groups multiply the problem, because the same supplier may be coded differently in different Books organizations for perfectly good reasons.
What accountants ask for is narrower than general automation: a categorisation suggestion with a number attached to how sure it is, a way to accept or fix hundreds at once, and a system that remembers the fix.
What ECOSIRE builds
ECOSIRE builds a categorisation assistant into your Zoho Books environment. It is built to order against your chart of accounts, your entity structure and your actual transaction history. There is no downloadable version and no trial build.
Confidence-scored categorisation
Each uncategorised transaction, bank feed line, expense or bill is scored against your chart of accounts and returns a ranked set of candidate accounts with a confidence value and a plain-language reason: matched on this vendor's prior coding, matched on description pattern, matched on amount and recurrence shape, or no strong signal found. The scoring blends deterministic signals drawn from your own history through the Zoho Books REST API with a language-model pass over transaction descriptions and vendor names for the cases history cannot answer. Thresholds are yours to set: above the high threshold the assistant can apply the category automatically, between thresholds it queues for review with the suggestion pre-filled, below the low threshold it is flagged as needing a human decision with no suggestion offered.
Bulk review queue
A Sigma widget inside Zoho Books gives reviewers a working queue rather than a record-by-record slog. Transactions group by suggested account, by vendor, by confidence band and by entity. A reviewer can accept an entire group, reassign a group to a different account, split out exceptions, and see the confidence and reason on every line. Actions write back to Zoho Books through the API as proper categorisations, and every accept or override is recorded.
Learning from corrections
Corrections are the point. Every override writes a learning record capturing the transaction signature, the suggested account, the account the reviewer actually chose, the entity and the reviewer. Those records feed the next scoring pass, so a supplier corrected once is scored differently the next time. Where a correction pattern is stable enough, the assistant proposes a promoted rule for a human to approve, which turns a repeated judgement into a deterministic match rather than leaving it to inference. Learning is scoped per Books organization by default so one entity's coding conventions do not bleed into another's.
Tax and compliance awareness
Categorisation carries the tax treatment with it. Suggestions respect the tax settings configured on the Books organization, so a GST or VAT registered entity gets suggestions that include the applicable tax rate and treatment rather than an account alone. Where a vendor's historical coding and its tax treatment disagree, the transaction is flagged for review rather than silently resolved, because a wrong tax code is more expensive to unwind than a wrong expense account.
Guardrails
The assistant is constrained deliberately. It only ever selects from accounts that exist in your chart of accounts, and never invents one. Auto-apply is off until you enable it and is configurable per account or account group, so control accounts and anything sensitive can be held for review permanently. Every automated action is logged with its confidence, its reason and its inputs, and an audit view lists everything auto-applied in a period for spot-checking. Nothing is posted or approved beyond categorisation.
Automation and reporting
Zoho Flow schedules the recurring work: scoring newly imported bank feed lines, notifying reviewers when the queue crosses a threshold, and issuing a month-end summary of items still uncategorised. Reporting covers auto-apply rate by confidence band, override rate by account and by vendor, and the queue trend over time, which is how you decide whether to raise or lower your thresholds.

Accounting teams running high transaction volume in Zoho Books, bookkeeping and outsourced-accounting firms handling several client organizations, multi-entity groups with different coding conventions per entity, and finance teams whose bank rules have grown past the point of maintenance. How delivery works
Scoping call. We review your chart of accounts, entity structure, transaction volume and mix, current bank rules, tax registrations and where categorisation currently costs the most time. We look at your live Zoho Books configuration and a sample of historical transactions.
Fixed quote. You receive a written scope covering the scoring signals, review interface, learning mechanism, guardrails and integrations, with a fixed price. Anything additional is quoted before work begins.
Build. We develop the Deluge functions, scoring logic, Creator configuration, Sigma widget and Flow automations. Typical lead time is two to four weeks depending on entity count and chart complexity.
Install in test. We install into a test Zoho Books organization and score a period of your own historical transactions where the correct answer is already known. You see the accuracy and confidence distribution on your own data before deciding on thresholds. Auto-apply stays off during this phase.
Install in production. We deploy to production in suggest-only mode. You run it, review, and turn on auto-apply per account group when the measured accuracy in your own reports justifies it.
Support. A defined support window covers defect fixes, threshold tuning and configuration help after go-live.
A note on scope: this is an assistant, not an accountant. It proposes categorisations and learns from your corrections. Reviewing, approving and filing remain with your finance team.
