A build-to-order Zoho Creator application for plots, crop cycles, input consumption, harvest yield and grower procurement, posted through to Zoho Books and Inventory. Built for your operation after a fixed quote. Built to order by ECOSIRE for Zoho One (build-to-order) — indicative price from $999.00 USD; request a quote for a scoped proposal.

An agribusiness has a cost object that no standard business system recognises: the crop cycle on a plot. Everything that matters commercially — seed, fertiliser, irrigation hours, labour, spray applications, machinery, yield, grade and realised price — belongs to a specific crop on a specific piece of land in a specific season. Close the cycle and you know your cost per acre and per tonne. Fail to close it and you know your total farm expenses and nothing else.
Zoho Books tracks the money but has no plot and no season. Zoho Inventory tracks stock but treats a fertiliser bag as consumed the moment it leaves the store, with no idea which field it went to. Zoho CRM tracks buyers, not growers delivering at a weighbridge with moisture deductions. So the operational record lives in a field register, a WhatsApp group and a set of season spreadsheets, and the accounts are reconciled to it only at year end, by which point the decisions the data should have informed have already been made.
The procurement side is worse. An organisation buying from smallholder growers is running an advance ledger, a quality-adjusted price calculation and a settlement process — none of which look like a standard purchase order, and all of which have to survive an audit.
This is a build-to-order application. There is no shrink-wrapped product here. After a scoping call and a fixed quote, we build the Creator application, Deluge logic and Zoho integrations described below into your own Zoho account.
The core is a Zoho Creator application because the data model is genuinely vertical. Forms cover Farm, Plot (with area, soil type, irrigation source and ownership or lease status), Crop Cycle, Activity Log, Input Application, Irrigation Event, Scouting Observation and Harvest Record.
A Crop Cycle record ties a crop and variety to a plot for a defined season, with planned sowing and harvest dates and a target yield. Every subsequent transaction — an input application, a labour entry, a machinery hour, a spray — is stamped against that cycle, so cost accumulates against the cycle rather than against a general expense account. Deluge calculates cost per acre and per unit of output as the cycle progresses, not only at closure.
Activity capture is built for the field. Creator's mobile forms work offline and sync when the device reconnects, which matters when the supervisor recording a spray application has no signal. Geolocation stamps and photo attachments on the Scouting Observation form give you a defensible record of what was seen and when. Where you need plot boundaries rather than a single point, we implement a map view in the Creator application against your existing plot coordinates.
Pre-harvest interval enforcement is built where you handle regulated chemicals: a Deluge validation on the Input Application form checks the product's PHI against the planned harvest date and blocks or flags an application that would make the produce non-compliant.
Seed, fertiliser, chemicals, packaging and spare parts are held as items in Zoho Inventory, with warehouses mapped to your physical stores and depots. When an Input Application is recorded in Creator, Deluge calls the Zoho Inventory REST API to raise the corresponding stock issue, so the store balance and the field record cannot diverge.
Where your chemicals are batch-controlled or have expiry dates, we use Inventory's batch and serial tracking so a recall or a residue query can be traced from the batch to the plots it was applied on. Reorder alerts are driven from Inventory stock levels combined with the cycle's planned application schedule, which gives a purchase requisition before the shortage rather than after it.
For operations buying from growers, we build the procurement chain properly. Grower registration lives in Zoho CRM as a dedicated module with land holding, bank details and KYC document attachments. Advances — cash, seed or input credit issued before harvest — are tracked as a running ledger per grower, posted to Zoho Books as an advance or a prepayment so the balance sheet is right.
At delivery, a Goods Receipt form in Creator captures gross weight, tare, moisture, foreign matter and grade. Deluge applies your quality-adjustment formula — moisture deduction schedules, grade differentials, transport recovery — to compute the net payable, then calls the Zoho Books API to raise the Bill or Vendor Credit, net of any outstanding advance. The grower receives a settlement statement showing the arithmetic, which is the document that actually prevents disputes.
Where your jurisdiction applies GST, VAT or a produce cess to agricultural procurement, the tax treatment is configured in Books during scoping — including reverse-charge and exempt-supply handling where unregistered growers are involved — so the postings are correct rather than adjusted later.
Harvest lots flow into Inventory as finished goods with a lot reference that carries the originating plot and cycle. Sales through Books or Inventory retain that reference, so a buyer query resolves to a plot, a season and an input history rather than to a warehouse average.
Reporting covers what the operator and the owner each need: cost per acre and per tonne by crop, variety and plot; yield against target and against prior seasons; input consumption versus recommended dose; grower-wise procurement volume, quality and outstanding advance; and a season profitability summary that reconciles to Books. Where a single screen beats a stack of reports, we build a Sigma widget — for example a season dashboard showing standing cycles, days to harvest, accumulated cost and projected yield together.
Zoho Flow connects the edges: weighbridge or lab-result imports, SMS or WhatsApp notifications to growers on settlement, and scheduled report distribution to management.
Commercial farms, plantations, contract-farming operators, agri-processors and produce aggregators running on Zoho — commonly in South Asia, Africa and the Gulf, where Creator is a frequent choice for vertical operations. It suits an operation with multiple plots or growers, real input cost worth attributing, and a finance function that already uses Zoho Books.
It is a poor fit for a single small holding with one crop and no procurement, where a spreadsheet is honestly sufficient. It is also not a precision-agriculture or remote-sensing platform; we integrate with sensor or imagery data you already have, but we do not generate it.
1. Scoping call. We go through your crops and seasons, plot structure, input catalogue, procurement and quality-adjustment rules, existing Books and Inventory setup, and your tax position on agricultural purchases. We ask for one real settlement statement and one season cost sheet, because those two documents define the build faster than a requirements list. 2. Fixed quote. A written scope with the forms, integrations and reports itemised, at a fixed price with a delivery window. Anything added later is quoted separately. 3. Build. Development happens in our own Creator environment and a test Books organization, against sample data you provide — never in your live records. 4. Install in test. Deployed into your test environment with your real item master and a subset of plots and growers. Your farm manager runs a full cycle and your accountant runs one procurement settlement end to end. Findings are fixed before production. 5. Production go-live. We load plots, growers, opening advance balances and standing crop cycles, configure Creator roles so a field supervisor sees their plots and not the procurement rates, and run a parallel period against your current process. 6. Support window. A stated post-go-live period covering defects, configuration changes and user questions, with all Deluge source, the Creator application definition and written documentation handed over.
The application runs in your own Zoho account. You keep the code, the data and the ability to take maintenance elsewhere.
A short call to confirm the workflow, your platform version and where the integration boundaries sit.
You receive a written scope and a fixed price. Nothing is built until you approve it.
We develop against a copy of your configuration and test it there. Typically two to four weeks.

Knows the total spend for the season but cannot say which plot or variety lost money, because inputs are booked to a general expense account. Cost accumulating against each crop cycle turns the season review into a comparison of plots and varieties instead of an argument about the total.
Settles growers from a weighbridge slip, a moisture reading and a handwritten advance ledger, and spends the peak weeks resolving disputes over deductions. An automated quality-adjustment calculation and a printed settlement statement backed by a Books posting removes both the arithmetic and the argument.
Carries grower advances that no system reconciles until year end, and cannot tie procurement volume to what actually reached the store. Advances posted to Books at issue and netted at settlement, with stock issued through Inventory, means the ledger and the physical record agree continuously.
